An opportunity has arisen for a highly motivated and enthusiastic individual to join the Out Patient Booking and Reception Team at Royal Lancaster Infirmary and Queen Victoria Hospital. You will be joining a well established team, working on a number of different reception areas, meeting and greeting patients with an emphasis on customer service.

You will be expected to demonstrate good communication and computer skills, and previous customer service experience would be an advantage but not essential. A full training package will be available to support the start of your Administration career in the NHS. You will be working with highly confidential information.



You will be expected to demonstrate excellent communication and computer skills; previous reception experience and knowledge of Lorenzo an advantage but not essential.

There are part-time and full-time opportunities available. The reception services run from 8am to 5pm, five days a week. There maybe a requirement to work flexibly to support the needs of the service and there is also the opportunity to work occasional weekends.

We operate from three main hospitals - Furness General Hospital (FGH) in Barrow, the Royal Lancaster Infirmary (RLI), and Westmorland General Hospital (WGH) in Kendal, as well as a number of community health care premises including Millom Hospital and GP Practice, Queen Victoria Hospital in Morecambe, and Ulverston Community Health Centre.

FGH and the RLI have a range of General Hospital services, with full Emergency Departments, Critical/Coronary Care units and various Consultant-led services.

WGH provides a range of General Hospital services, together with an Urgent Treatment Centre, that can help with a range of non-life threatening conditions such as broken bones and minor illnesses.

All three main hospitals provide a range of planned care including outpatients, diagnostics, therapies, day case and inpatient surgery. In addition, a range of local outreach services and diagnostics are provided from community facilities across Morecambe Bay.

Our community services for adults are provided in people’s homes, community centres, clinics, GP Practices, community hospitals and our main hospitals. Our aim is to work with people to help them remain independent, improve their health and manage their conditions through high quality care, advice and support.

We need our Aides at this level to g ather statistics and general data; reviews and combines this information into established reports for use within and outside the unit.  In this role you will perform various administrative, clerical, data collection, data entry, and report writing tasks specific to assigned project or work group.  Responsibilities:   Gathers statistics and general data; reviews and combines this informa tion into established reports for use within and outside the unit. Such reports may be in spreadsheet or graphical formats, or narrativestyle word documents. May be responsible for verifying data gathered, such as matching supplier invoices against file copies. Reviews time reports to verify accuracy of hours worked and Job#/WBS charges. Follows up to ensure timely processing of corrections. Prepares general correspondence and maintains general files. Answers telephone, taking and relaying messages. Receives, sorts, and distributes mail. May establish and maintain records of equipment, including a log of equipment service dates. May obtain basic data for completion of the unit's overhead budget and prepare associated recurring reports. May coordinate physical space requirements for the assigned unit. May periodically prepare an occupancy report by project or gather information to complete staffing reports for the unit and/or several projects, as directed by immediate supervisor. Performs other responsibilities associated with this position as may be appropriate. Qualifications: High school diploma (or equivalent) 1+ years of relevant work experience. Good general office practice skills are required.  A demonstrated proficiency in keyboard skills, as well as a working knowledge of MS Windows and related word processing, spreadsheet, and database software, is required.

JOB SUMMARY

This job supports an Executive and performs a wide range of secretarial and general office duties as assigned and ensures timely and accurate completion of assignments to enhance the efficiency and effectiveness of their manager in meeting operational objectives.  Responsibilities include typing, word processing, proofreading, handling phone calls, maintaining and organizing files, copying, reviewing and distributing mail, greeting visitors, ordering supplies, scheduling calendars, and making travel arrangements.  The incumbent organizes/expedites workflow and provides secretarial support, as required, to support the communication or presentation needs of the principal when not delegated elsewhere and edits documents for grammar and punctuation. Requires the continuous use of technical and business vocabulary and a detailed knowledge of organization operations, organizational procedures, and personnel.

ESSENTIAL RESPONSIBILITIES

• Communicate effectively.  Display effective communication skills while performing the following functions. Interacting and responding, both written and verbally, with internal and external entities on behalf of assigned management.

Perform typing, word processing transcribing and proofreading activities concerning correspondence, memoranda, schedules, reports, presentation materials and statistical information; maintains a communication flow by receiving and distributing correspondence via mail services or on-line communication networks; schedules reservations, meeting arrangements, conference rooms and audio/visual equipment as needed; receive visitors and telephone calls in a courteous and efficient manner, direct inquires to the appropriate staff based on an overall knowledge of departmental policies and procedures.  Compile various information and perform minor calculations as required for departmental reports.  Maintain hardcopy and on-line correspondence and administrative files.
• Provide telephone coverage and screen telephone calls, letters, and/or visitors, answering routine questions.        
• Review and prioritize information and inquires received for the consideration of the Executive, makes high-level contacts from both inside and outside the Corporation, and address and answer inquiries and solicitations, paying constant attention to formal clearance, procedural controls, and organizational sensitivity. Attend selected meetings in a non-participatory manner to take appropriate notes and conserve principal’s time while assuring familiarity with meeting developments.
