Senior PMO Responsibilities:
Work with the Program Manager, Project Managers and Product Managers to assist with
coordination of the S/4 Upgrade Program activities.
This includes:
Preparation and organisation for Stakeholder and Program Working Group meetings
Support for and management of management of program issues, risks,
dependencies and other logs, including supporting risk identification and risk
assessment workshops
Management of the change control process, coordinating change impact
assessments, minuting agreed scope decisions etc
Supporting the update of Microsoft Project Online and S-Curve on a weekly basis.
Drafting of overall program status and financial summaries including
monthly/quarterly technical plans and updates into planview
Organisation and support of program documentation repository
Management of the deliverables process, including tracking of progress and
approvals
Support project governance approval processes, including documentation and
preparation of investment approvals
Managing resource administrative activities, including onboarding/offboarding of
resources, maintaining resource trackers and organisation charts
Tracking and management of program costs and forecasts, including invoices,
internal timesheets and alignment of resource utilisation to forecast.
Raising and managing program purchase requisitions / purchase orders
Organisation of key meetings as required
Technology proficiency: Sharepoint, MS Project Online, MS Office Tools, Planview
Experience
1. Program Coordination and Stakeholder Engagement: Demonstrated experience
working alongside Program, Project, and Product Managers to coordinate large-scale
program activities, including organizing stakeholder and working group meetings and
facilitating collaboration across teams.
2. Risk and Issue Management: Proven background in managing program issues,
risks, dependencies, and maintaining accurate logs. Experience conducting risk
identification and assessment workshops, with strong risk management skills.
3. Change Control and Documentation Management: Hands-on experience with
change control processes, including managing change impact assessments,
capturing scope decisions, and maintaining a well-organized program documentation
repository.
4. Technical and Financial Tracking: Skilled in using Microsoft Project Online, S-
Curve, and Planview for project updates and tracking. Ability to draft program status
reports and financial summaries, along with experience preparing monthly/quarterly
technical plans.
5. Resource and Financial Administration: Experience with resource management
tasks, such as onboarding/offboarding, maintaining resource trackers, and managing
costs, forecasts, invoices, and purchase requisitions. Familiarity with maintaining
accurate financial records and aligning resource utilization with forecasts.
Proficiency in SharePoint, Microsoft Office tools, and Planview is also required.
