We are looking for an approachable, enthusiastic, self- motivated and hard-working individual to join our administration team as a Finance Assistant. Alongside finance duties you will be part of the team who are the first point of contact to all visitors and callers to the school and to support the school office manager in the provision of effective administrative services undertaking a wide variety of clerical and financial duties in our busy 2 form entry school.

The successful candidate will:

• Ideally have experience of finance.
• Have good ICT skills and knowledge of every day computer packages particularly SIMs.
• Be pleasant, patient and have a welcoming manner.
• Be motivated and creative and be able to work on their own initiative, but also contribute to the office team.
• Have good organisational skills, be able to work flexibly and have the ability to multi-task in a busy office.

About the role
Reporting into the Licensing team but managing all the financial processes on behalf of the department, you will undertake and stay on top of a range of finance administrative tasks.

This will include raising invoices and running sales reports as well as tracking royalty statements against advances and Minimum Income Guarantees. You will also assist with picture library requests, responding to enquiries. And as we update our picture library platform, you will ensure the changeover is smooth and the new process is successful.

This role can be based at any of Science Museum Group sites, depending on your preference - London, Bradford, York or Manchester although you will be required to visit London where the team is based. We can also offer hybrid working that includes flexibility to work from home on a regular basis.

Contract: Permanent, Full time 35 hrs
Salary: £26,531 per annum

Well organised and proactive, you have experience in tracking budgets, raising and follow up with invoices and relevant contracts, and providing essential support for income focused financial processes, ideally in a commercial environment.

The main purpose of this post is to support a Charitable Fund function through the processing of trust fund transactions, monthly control accounts and assistance with the production of the charity year-end accounts.

The post will support the Assistant Finance Manager in the provision of a financial service to the charity trust fund holders but will have specific responsibility for the elements described in section 6 below.
The post-holder will carry out their duties in line with departmental accounting policies, and with reference to Trust Standard Financial Instructions (SFI's) & Standing Orders.
PRIMARY DUTIES & AREAS OF RESPONSIBILITY

• Maintain the charity financial ledger system (Sage), including posting of all income and expenditure transactions and recording of all the charity's debtors and creditors.
• Ensure all petty cash receipts are checked and are in line with the purpose of the trust fund and have been signed in accordance with the Trust's SFI's.
• Maintain up-to-date knowledge of The Charity Commission regulations for NHS Charities and the legal difference between charity and Exchequer funds.
• Co-ordinate with the cashiers to ensure that donations are accurately and correctly receipted into the charity bank account.
• Manage outstanding orders and chasing of any goods not delivered as requested by fund managers.
• Maintain monthly reconciliations, including a cashbook, accurately recording all payments out of and donations into the Charity bank account.
• Reconcile this cashbook to the bank account, identifying differences and taking corrective action where necessary.
• Reconcile monthly control accounts.
• Arrange payments to suppliers via cheques or BACS. Ensure appropriate authorisation for each method of payment. Process and upload journals when required.
• Liaise with suppliers to arrange payment of purchase invoices, and to answer any purchase queries.
• Raise invoices to recharge external bodies (including the main Trust) for expenditure initially funded via the charity.

KNOWLEDGE, SKILLS, AND EXPERIENCE REQUIRED

• The ideal minimum qualifications are 5 GCSE's (including Maths & English), 2 A' levels and be working towards AAT (or equivalent) accounting studies.
• The post holder will also need excellent interpersonal and communication skills, analytical and problem-solving skills, enthusiasm, commitment, initiative, and the ability to work well under pressure and to strict deadlines.
• A high level of computer skills is required (especially for Microsoft Word and Excel spreadsheets) with a very high level of accuracy. A detailed understanding of charitable accounting procedures (especially the regulations of the Charity Commission) is required as is a high level of organisational skills to manage own varied workload.
