The finance manager is responsible for all financial and management accounting functions of Team Domenica. The post holder will be recognised as the organisation’s finance expert by their peers.


The Finance Manager’s responsibility is to ensure that the financial systems and information we have supports the trustees and staff to make informed decisions and that we remain compliant with all relevant regulations and donor restrictions. They will be assisted in this by a part-time bookkeeper.



CONTRACT DETAILS

CONTRACT: Permanent. Full Time, 40 hours per week (with some flexibility).

SALARY: Up to £40,000, depending on experience.

ANNUAL LEAVE: 25 days holiday per annum plus 8 English bank and public holidays.

RESPONSIBILITIES AND DUTIES

Work with the Co-CEO to ensure efficient, modern financial management and planning systems, ensure that financial reports effectively inform business development and fundraising strategies and that the organisation demonstrates value for money across all activities and services.

Work with other members of SMT to improve their knowledge of the financial risks and opportunities for Team Domenica, mentoring them to develop a commercial attitude to their work.

Responsibility for all month end processes resulting in monthly Management Accounts reporting.

Oversee the timely operation and upkeep of accounting systems in accordance with financial procedures. We use Xero accounting software, and are in the process of bringing our (monthly) payroll in-house.

Prepare key account reconciliations and review those carried out by the Finance Officer to ensure completeness. This includes credit control with local authorities and others.

Review and analyse financial reports, with the manager, on performance against budget, to inform management decisions and strategic planning processes.

Prepare information for our Funders on the projects spend and work with the Fundraising team to present this in a meaningful way.

With the bookkeeper support the CEOs and Trustees to ensure efficient preparation of the annual financial accounts and budget, and the effective production of financial information to support funding bids, tenders and the generation of new income.

Work with the auditors to ensure that the annual audit is conducted in a timely manner.

Main Duties and Responsibilities Partnering Supporting the delivery of the business partnering function providing future focused decision support, technical financial advice, business intelligence and reports to management to enable them to effectively manage resources for their area of responsibility. Promote the use of financial and operational management information to review, assess and forecast unit performance. Support the production of multi-layer forecasts of Trust financial performance at all points in time, ensuring incorporation of the effects of all risks, opportunities and actions being taken across the Trust. Identifies and highlights quickly and appropriately any evidence and/or risk of divergence from financial plans, targets or forecasts at any level in the Trust and work with management to develop mitigations to return performance to plan/forecast. Support the monthly review of the Trusts financial performance at all levels within deadlines and make recommendations on actions to ensure that financial performance meets targets and is fully understood and agreed by relevant stakeholders. Support the Deputy Director of Finance and Assistant Director of Finance to hold divisions and corporate directorate budget holders to account through formal periodic reviews of all financial performance. Month end Resource Utilisation Support with business case development, financial modelling, detailed financial analysis (including demand & capacity modelling), and investment appraisal in support of improving the quality of business cases and expediting decision-making, implementation and benefits realisation. This should include the evaluation of alternative models of service delivery to ensure the achievement of performance targets and long-term financial stability. Support the production of business cases, including taking responsibility for the accuracy of the financial analysis. This includes the application of recognised investment appraisal techniques to proposals to improve decision making and ensure that developments can withstand robust financial scrutiny. Support the development and monitoring of non-financial performance indicators (e.g. length of stay, theatre utilisation) to identify areas where the use of resources can be improved. Work with operational managers and clinicians to improve productivity and demonstrate the impact of this on financial performance. Support negotiation of commissioning agreements with external organisations for services provided or received to ensure that income is maximised or best value for money is achieved respectively e.g. local price reviews, PLICs/Reference costs. To work to the Trust Director to provide high level support undertaking a wide rangeof activities to ensure a focus on key priorities.To manage the full range of duties contributing to the efficient and effectiveperformance of the Trust Director and senior team.To provide a high standard of administrative and secretarial support and ensuring aprofessional, efficient and confidential service at all times.The post holder will need to work autonomously and will be responsible forimplementing team administrative processes to support the effective running of theteam. This will require effective planning, organisation and communication in acomplex environment.To be responsible for ensuring pro-active and responsive daily management of diary,emails, telephone calls and other correspondence. Responsible for ensuringprogress on actions are delivered within agreed timescales, often dealing withmatters relating to the Trust Director.Personal Assistants have one work-base, however post holders may be asked totravel to other locations to respond to business needs.
