An exciting opportunity has arisen within the Large Joints Services admin team at the Royal Orthopaedic Hospital NHS Foundation Trust for a Support Medical Secretary.

We are looking to recruit an enthusiastic and motivated individual to support the Large Joints medical secretaries. The successful candidate will need to have excellent organisation skills, initiative, and good prioritisation skills.

The position provides the opportunity to work within a very supportive and welcoming team and to further develop your knowledge and skills.

You will need to be educated to GCSE level (or equivalent), have strong audio typing and should be proficient in using all aspects of Microsoft Office, particularly Word and Outlook.

To provide full and comprehensive assistant medical secretarial cover to support the Clinicians and Medical Secretarial department.

Ensure all routine clinical information and correspondence is up to date and available when required.

MAINDUTIES AND RESPONSIBILITIES
1. Provide a comprehensive assistant secretarial service to clinicians and clinical teams in conjunction with the Senior Team Secretaries.
2. To deputise for the Personal Medical Secretaries on an ad hoc basis, for annual and sick leave.
3. To assist/deputise for the Personal Medical Secretaries on an ad hoc basis regarding admissions, waiting lists, ad hoc ward attenders and cancellations ensuring hospital policies are adhered to, with appropriate training.
4. Receive phone calls from patients, relatives and GP’s. Ensure they are dealt with in a timely manner or passed to the appropriate Secretary as required, maintaining the highest possible customer care at all times.
5. Communicate with other sections within patient access and other departments as required.
6. Type clinics and reports into PAS/CRIS system as requested by the Personal Medical Secretaries.
7. Liaise with hospitals and GP surgeries for information.
8. Photocopying and faxing documents as required
9. To open and distribute post, prioritising any urgent post and ensuring relevant documentation is attached. In addition to acting promptly and appropriately to all e-mail correspondence.
10. Track case notes in and out of departments.
11. Ensure loose filing is amalgamated with case notes within the department or health records.
12. Liaise with appropriate staff in making routine appointments or cancellations as directed by the Personal Medical Secretaries.
13. Supports Team Leader to induct and support junior members of the team

1. Posting of all correspondence, internally and externally for the secretarial team.
2. Copy typing/pasting of digital files and the typing of patient’s results correspondence.

4. Enquire using PAS and e-mail to query patient appointments.
5. Collecting medical records from all departments including the Health Records Library.
6. Answering telephone queries, telephoning patients and supplying general information, referring to Senior Team Secretary for advice where necessary.
7. Liaising with Medical Records, Appointments and relevant departments.
8. Collating pathology forms for the relevant clinics and filing pathology forms as necessary.
9. Requesting x-rays both within and outside the Trust, as required.
10. Tracking referral letters using PAS.
11. Opening and dealing with all incoming mail and e-mail.
12. Photocopying and faxing.
13. Liaising with secretarial team for schedule of day-to-day tasks.
14. To provide cross cover with other Secretarial Support Clerks within team for annual leave and sick leave.
15. Co-operating in the introduction of new procedures, policies or technology, including any technology associated with the Patient Administration System, and assisting managers in its implementation.
16. To cover for Team Secretaries when competence achieved.

Checking and cross referencing upcoming clinics to ensure the majority of patients have completed Health Questionnaires prior to their assessments to assist with patient flow through the department.

Photocopying information for the nurses to disseminate to patients.

Based on nurses station answering incoming calls – taking messages as and when needed and liaising with appropriate staff to action those messages.

Ensure case notes are available for all patients attending the pre-operative assessment centre. This may include retrieving notes form medical records library, secretaries offices etc.

The Education and Training Administrator will be joining the 2023 award winning Non Clinical Team of the Year, Education and Training, and fulfilling a key role in facilitating and co-ordinating the effective delivery of administrative functions within the department. • To provide general office and administrative support services to the Education and Training Team, including Training and Development, Undergraduate education, Post-graduate education and Library services.
• Provide a room booking service using an online room diary management system for the Knowledge Hub.
• Be first point of call to Knowledge Hub users, providing a high quality welcome service.
• To undertake general office duties; answering the telephone, taking messages, dealing with requests from people visiting the Knowledge Hub, filing, photocopying, scanning and handling incoming and outgoing post.
• To communicate with staff, trainees, students and visitors on a daily basis, providing support where required and working to help resolve any issues.
• Produce accurate letters, minutes from team meetings, attendance reports and maintain databases when required.
• To assist the Medical Education Coordinator and Training Programme Director with the coordination of SPR weekly teaching.
• Assist the Medical Education Team with the coordination of Internationally renowned training courses (FRCS revision course, ERASMUS course etc).
• Contact and request assistance from volunteer patients for courses, if course delegates are required to demonstrate examination techniques in a clinical environment.
• Assist the Medical Education Manager with Postgraduate doctor Induction/Rotation.
