MAIN DUTIES AND RESPONSIBILITIES 1. To provide secretarial and administrative support to the MCSI Therapy Team.2. Ensuring Statutory & Mandatory Training is up to date and book accordingly3. Dissemination of information to the Team4. Recording Annual Leave and Sickness5. Taking dictation via shorthand6. To assist the team lead in implementation and maintenance of E-Roster7. Produce Reports/correspondence using Big Hand8. Updating DTOC with delayed discharge information9. Assist with projects (eg electronic timetabling) within the department10. To set up new case notes, provide core data and establish contact details of responsible Social Services Departments, wheelchair services and CCG.11. Chase referrals for wheelchairs and cushions, shower chairs, respiratory equipment, standing equipment and Community Therapy.12. To follow up referral to Social Services to ensure allocation of named OT and arrange access visit.13. To notify the community therapy team (PT, COT, wheelchair services, respiratory services), of patient discharge.14. To notify the Community OT of access visits.15. To work closely and effectively with the Therapy Team in order to support communication throughout the service, take messages and relay information.16. On instruction from the Therapist, to liaise with local Wheelchair Services. To follow up applications (by telephone or e-mail ) if there is no sign of progress.17. To manage own time effectively to meet service objectives, prioritising work according to the demands of the service.18. To maintain an effective Therapy Office Environment and systems including patient timetabling.19. To enter patient contact activity onto Lorenzo on behalf of the Therapy Team.20. At the request of the Therapy Service Manager the post holder will provide support and crosscover to the administrative team in the therapies department. COMMUNICATION/WORKING RELATIONSHIPS 1. To work closely with the Therapy Team throughout all stages of the rehabilitation process.2. To establish and maintain effective exchange of patient information between Midland Centre forSpinal Injuries (MCSI), and community colleagues, maintaining confidentiality.3. To protect all confidential information concerning patients, only making disclosures with thepatient consent.4. To discuss in a sensitive manner, information which may cause emotional distress.5. To maintain clear and accurate records in patients therapy notes of the service activity in orderto monitor working practices.6. To maintain clear and accurate records of telephone communications and referrals/applicationsmade.7. To ensure accurate information about patients on hospital computer systems. PROFESSIONAL RESPONSIBILITIES 1. To be responsible for maintaining own competency through continuing professionaldevelopment, maintaining a portfolio which reflects personal developments.2. To be aware of and adhere to Trust and MCSI policies, procedures and guidelines.3. To work within the organisations procedures and policies using own initiative.4. To participate in the staff appraisal scheme and be responsible for agreed personaldevelopment programmes.5. To attend relevant courses and study days to support best working practice, and keep abreastof current legislation and practice development.6. Demonstrate an understanding and awareness of equal opportunities and health and safetyissues.7. Working as part of the multidisciplinary team, assist in development and implementation ofclinical audit and outcome measures within the centre. To participate in the MCSI in service trainingprogramme.8. To adhere to the principles of clinical governance.
