Job DetailsThe Personal Assistant to the Principal is a pivotal role within the Executive Leadership and Senior Management Team support function. The incumbent will join an existing team to provide comprehensive secretarial support to the Principal, ensuring the efficient management of day-to-day college tasks, activities, and strategic priorities.
Duties & Responsibilities
Manage realistic and manageable diaries for the Principal.
Schedule, moderate, and minute college committee meetings, ensuring all aspects are organised, agendas developed, and prompt minutes and actions taken.
Receive, sort, and prioritise mail and emails, responding to routine correspondence with a high level of communication skills.
Produce documentation such as briefing papers, reports, and presentations.
Support impending work deadlines for both internal and external commitments.
Manage internal logging and reporting processes or systems as allocated within the PA team.
Screen calls, enquiries, and requests in compliance with college process and policy.
Meet and greet visitors, ensuring hospitality arrangements are in place.
Coordinate CPD arrangements including travel and accommodation.
Provide cover across the team, supporting other ELT or SMT members as required.
Perform ad hoc duties as required.
Personal Assistant experience with diary management at a senior level, preferably at C-suite level.
Strong problem-solving ability and customer service skills.
Flexible proactive approach with the ability to work on own initiative.
Excellent attention to detail and time management skills.
Experience dealing with sensitive information with discretion and confidentiality.
Excellent IT skills including Microsoft Office package.
The right candidate will have:
Minimum of two years’ experience as a Personal Assistant working at senior/C-suite level.
Proficiency in IT systems.
Data protection and confidentiality awareness.
Previous experience within a college or educational institute.
Job Requirements:
Good level of general education to GCSE standard in Mathematics and English or equivalent.
Advanced IT Skills in MS Office.
Administrative or secretarial qualification.

The primary responsibility of this position is to provide comprehensive and professional support to the College Principal and Vice Principal Quality & Innovation. The post holder is also expected to extend support to the wider Executive Leadership Team (ELT) and Senior Management Team (SMT) whenever necessary. In some instances, the post holder may be required to deputise for the Executive Assistant to the Chief Executive Officer (CEO). Additionally, the post holder will be responsible for office organisation, project management specific to the College Principal, ensuring deadline compliance, and managing important documentation. Duties & Responsibilities Solely manage the diaries of the College Principal and Vice Principal Quality & Innovation allowing sufficient working time for working priorities. Coordinate college committee meetings including preparation of agendas and relevant paperwork and capturing minutes and actions where appropriate. Act as the point of contact between the SMT and staff/external parties, giving accurate advice and guidance where required. Maintaining and supporting the Clerk to Corporation with management of signed papers and Corporation files. Maintain the College wide Policies and Procedures database, ensuring compliance and effective monitoring of policies management, College website, student platforms, liaising with Clerk to Corporation as to the mandatory and statutory updates in line with Corporation meeting calendar. Drafting accurate, professional communications on behalf of the relevant Senior Management Team members and sending communications to College Management Team (CMT) and Team Leaders, and act as deputy to send to all staff in the absence of Executive Assistant to CEO. Proactively support with College Principal’s impending deadlines and project management, monitoring set actions via log/ tracking system. Managing internal logging and reporting processes as allocated within the team. Ensure ELT and SMT coverage and presence is in place cross-campus, liaising with the wider management team and executive support where required, updating the ELT/SMT whereabouts on a regular basis (inc. Campus Management rota) and ensuring this is communicated to CMT, Team Leaders and Front of House in a timely manner. Produce documents, briefing papers, reports, and presentations in line with both executive and college house-style. Support to College Principal and CPD Co-ordinator on College Staff CPD Days. Specific Responsibilities and Duties Deputise for the Executive Assistant to CEO on specific set tasks and/or in the absence of, supporting the CEO and supervision of staff where appropriate. Act as Corporate Project Governance Support to Project Governance Lead as follows: Collaborate with project teams to integrate compliance measures into project plans as agreed with the Lead. Produce and maintain standardised project governance processes, templates, and documentation. Support in the preparation of regular executive reports on project progress, compliance status and key performance indicators. Foster strong relationships with stakeholders and project leads. Identify opportunities for process improvement within the project governance framework. Job Requirements: Minimum of 5 years Personal Assistant experience with diary management at a senior level, preferably C-Suite level. Your new role
Southend City Council are looking to appoint a full-time, agency Senior Personal Advisor who is able to undertake the role of liaison officer between aftercare Personal Advisor, the social worker and other colleagues, to make sure that there is a planned transition of the care lever to adulthood.

The Senior Personal Advisor, oversees that the care leavers are living in suitable accommodation, have the opportunity of being engaged in work, training or education and that they are not socially isolated.You will be required to provide consultation on casework and contribute to the development of colleagues within the team and, where appropriate, the wider service by virtue of being an experienced and reliable practitioner.You will provide an efficient and cost-effective service to young people, ensuring that their needs are professionally assessed. Making sure that every young person will have a professional and comprehensive Pathway Plan and risk assessment.

Within this post, you must be on-site a minimum of 4 days a week.

What you'll need to succeed
To be successful in this position you must have worked within front line services, preferably as a Personal Advisor. You must have knowledge of the issues that young people face along with experience of looked after children and practice experience of applying assessment skills within a statutory social work setting.

You are required to have excellent communication skills, inc. verbal, written. Knowledge of methods of social work interventions, relevant legislation regulations, guidance and policy issues.
