This role is to provide a high-quality secretarial and administrative service to the Senior Management Team and manage the Practice Meeting Structure. This will include diary management, preparation and distribution of Agendas and associated papers and production of accurate notes/Minutes. In addition the post holder will carry out a range of administrative functions including management of the Practice website and social media accounts. The post holder will maintain effective working relationships at all levels within the Practice and liaise with other NHS Organisations as necessary. MAIN DUTIES To provide secretarial and admin support to the Senior Management Team including timely provision of information, diary management, and support in their day to day work. To deal with confidential and sensitive documents and information maintaining the strictest of confidentiality and discretion at all times. To assimilate, manage and communicate a wide range of information to Partners and Practice staff and Patient Groups. To Implement and manage the Practice schedule of meetings including scheduling meetings, invitation of attendees, preparation and distribution of agendas and papers. To attend meetings, take and transcribe accurate notes or minutes of meetings in a timely fashion, ensuring all follow-up action is taken To prepare correspondence, papers and reports as required. Maintain accurate and effective filing systems ensuring files and specific information can be easily retrieved. To Manage room bookings for meetings and other Practice Events To manage and update the Practice Website and other social media accounts To ensure waiting room information and display boards are maintained with accurate and up to date information To maintain the Practice Asset Register To process stationery and other orders on behalf of the Practice. To work as part of a wider multi-disciplinary team employing excellent interpersonal and communication skills To undertake specific assigned tasks or projects as requested by the Senior Managers To work independently on all aspects of the role, managing own workload and working autonomously whilst recognizing when it is appropriate to seek advice or assistance.

Following internal career progression of the current postholder, the school is seeking to appoint a personable, enthusiastic and highly effective Business Support Officer with the skills and ability to collate and produce accurate data and reports to inform on the progress and achievement of students and the school.

Ideally, the successful candidate will be experienced in SIMS.net and have an understanding of the organisation and administration of exams, although training is available. A good knowledge of Microsoft Excel is essential.

The successful candidate must be able to communicate effectively with staff, students and parents. They must ensure deadlines are met and work flexibly and on their own initiative to prioritise their workload.

Job Description:

We are currently seeking an organised, motivated Admin Officer for our public sector client in Burnley. Duties will include but not be limited to; general admin duties including filing, processing fees and end of day accounting, opening post; dealing with customer queries over the telephone and face to face at the public counter; drafting Judicial orders, lodging documents on court file; processing and answering various forms of correspondence. Supporting the Judiciary while in Court and with remote hearings - Teams, CVP.

Use of Outlook, Word and bespoke systems. Full training will be provided on the internal systems.

Requirements:

• Able to follow well established processes and detailed instructions.
• Strong administrative skills with proficiency in Microsoft Office packages
• Excellent communication skills, both written and verbal.

Burnley General Hospital - Outpatient Department, Receptionist – 37.5 hours

37.5 hours Monday to Friday to work between the hours of 8am and 8pm, 7.5 hours per day.

General Duties will include the following:


· Prepare clinic case notes with specific attention to the data items required for commissioning purposes and data quality in line with the Trust’s Clinical Records Policy, ensuring that all appointment details are entered onto the Patient Administration System (PAS)

· Arrange when necessary the attendance of interpreter/link workers for patients who require communication assistance when attending clinics.

· Booking in patients attending outpatient clinics and issuing return appointments as directed by the consultant/nursing staff prior to the patient leaving the Department.

· Request and ensure delivery of health records for patients either attending a clinic or an admission, from all departments within this Trust and other hospitals.

· Prioritise own workload ensuring agreed timescales are met each day involving the provision of case notes.

· Adhere to departmental policies and procedures and participate in audits in order to maintain data quality and provide an efficient service

· Maintain the confidentiality of any information obtained regarding patients and be aware of Data Protection and Freedom of Information policy

· Work within the departmental shift patterns to cover the opening hours of the service, i.e. 8.00am – 8.00pm as and when required, including Bank Holidays

· Act as first point of contact for all patients and visitors to the Department, providing a comprehensive reception and clerical Service to patients, relatives, carers, consultants and their teams

Your new role
As Purchase Ledger Clerk, you will play a crucial role in the finance team. Your responsibilities will include managing the end to end Purchase Ledger, conducting regular supplier payment runs, and handling bank postings and reconciliations. You will also be involved in supporting at month-end, performing month-end statement reconciliations. The primary system used is Sage Line 50, which will be a significant part of your daily tasks. This is a full-time role, working Monday to Friday.
