Key Duties and Responsibilities:
Legal Document Preparation and Review
• Draft, review, and prepare visa applications and supporting documents.
• Assist with lodging immigration-related applications (e.g., visas, sponsorships, citizenship).
• Ensure compliance with migration laws and regulations.
Case Management and Client Support
• Monitor client files and keep clients updated on case progress.
• Liaise with clients to collect required documentation and information.
• Maintain accurate case notes and manage deadlines for submissions.
Communication with Authorities and Institutions
• Correspond with the Department of Home Affairs and other relevant authorities on behalf of clients.
• Follow up on applications and appeals where required.
• Prepare briefs for migration agents or lawyers for complex cases.
Legal Research and Compliance
• Stay updated on changes to immigration laws, visa subclasses, and regulations.
• Assist with research and analysis for legal advice provided by registered migration agents.
• Ensure all activities comply with the Migration Act, Code of Conduct, and agency policies.
Administrative and Support Tasks
• Maintain organized client records and filing systems, both digital and physical.
• Prepare templates, forms, and checklists to streamline processes.
• Manage appointments and coordinate meetings between clients and migration agents.
Client Relationship Management
• Provide exceptional service and empathetic support to clients navigating the migration process.
• Handle sensitive information with discretion and confidentiality.
• Guide clients through legal processes and requirements, ensuring clarity at every stage.
Support to Registered Migration Agents and Lawyers
• Assist with appeals and complex cases, such as Administrative Appeals Tribunal (AAT) matters.
• Help with the preparation of legal submissions and statements.
• Attend meetings with clients and agents to take notes and provide follow-up actions.
These responsibilities ensure the agency operates efficiently, provides accurate and compliant migration services, and supports clients throughout the visa process.
Qualifications:
• Proven experience as a legal assistant in a migration agency.
• Other legal admin and judicial assistance as well as office management experience will be a plus
• Excellent organizational and time-management skills.
• Strong communication abilities, both written and verbal.
• Proficiency in Microsoft Office Suite and other relevant software.
• Ability to work independently and as part of a team.
