The Assistant Manager is a key staff of IREUS as he/she leads the administrative aspect to assist the institute in achieving their vision and mission.
Duties & Responsibilities
Marketing Strategy Development and Execution:
• Plan, develop and implement marketing strategies to promote research initiatives and events.
• Drive operational excellence by reviewing and improving marketing strategies.
• Coordinate with vendors to create marketing materials through social media, email campaigns, and website content to attract and engage target audiences.
• Analyze marketing performance metrics and make data-driven recommendations for improvement.
Budget Planning, Monitoring and Reporting:
• Collaborate with various departments, including IREUS’ Management and Office of Finance, to ensure alignment of budgets with organizational objectives.
• Work closely with IREUS’ Management to provide guidance on budget development, monitoring, and control processes.
• Gather and analyze financial data, including historical records, forecasts, and market trends, to assist in budget formulation.
• Monitor and track actual expenditures against the budget, identifying and investigating any significant variances.
• Prepare regular budget reports and financial analyses for IREUS’ Management, highlighting any areas of concern or opportunities for improvement.
• Assist in the preparation of financial forecasts, projections, and scenario analysis to support strategic decision-making.
Events Planning and Management:
• Plan and coordinate a wide range of hybrid (in-person and virtual) annual and ad-hoc events, including conferences, seminars, workshops, and symposiums.
• Create event budgets, including cost estimates, revenue projections, and financial tracking.
• Manage all logistical aspects of event planning and execution, including venue selection, event setup, vendor coordination, event materials, speaker invitations and maintenance of contact list.
• Manage onsite event operations, including venue setup, attendee registration, and post-event evaluations.
• Collaborate with internal stakeholders to ensure events align with research objectives and the needs of target audience.
Coordination of Academic / Research Visits:
• Handle academic professors / scholars visiting IREUS which include, drafting invitation letters, visa processing where required, arrangement of accommodation and allocation of office space.
• Work closely with HR and Finance business partners to process reimbursements where necessary, tax declaration and departure clearance.
Procurement and Finance Support:
• Responsible for the role of Procurement Assistant and Verifier which include, the handling of procurement and inventory of office (IT supplies, furniture, assets etc).
• Finance payment processor for all IREUS expenses which include, liaison with Finance Business Partners on Accounts Receivables/Accounts Payables, Fixed Asset Creation / Retirement / Changes in Requests and Journals Reclassification & Inter-dept journals.
Administrative Support and Corporate Services:
• Manage IREUS conference room booking systems and provide secretarial support for all meetings.
• Manage the overall day-to-day operations and daily upkeeping of IREUS office.
• Manage pantry and office supplies and postage management.
• Administration of loan for IT equipment and accessories for staff/visitors.
• Manage Smartcard System by granting door access to staff and students.
• Asset administration – for staff departure clearance.
• Serve as the contact point for all enquiries through IREUS’ generic mailbox.
Personal Assistant to Director:
• Manage Director’s calendar and appointments.
• Manage Director’s applications of official leave, requests for financial support and raising financial support reimbursements via Concur.
Others:
• Undertake the Fire Warden role and assist IREUS with safety initiatives and requirements by UCI & OSHE.
• Undertake any other ad-hoc initiatives and assignments by IREUS Director / Co-Director where deemed necessary.
Requirements
- Diploma/Bachelor’s degree or equivalent with at least 5 years’ of relevant work experience.
- Proven experience in an administrative support role, preferably in the education sector.
- Strong analytical and problem-solving skills, with a keen attention to detail.
- Excellent communication and interpersonal skills to collaborate with stakeholders at all levels.
- Strong organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines.
- Proficiency in using office productivity tools, such as Microsoft Office Suite.
