Your new company:
Livestock Information Ltd is owned by the Department for Environment, Food and Rural Affairs (Defra) and the Agriculture and Horticulture Development Board (AHDB). The company was established in 2019, with the aim of building new products and services using modern digital techniques to improve the quality of livestock movement data.The Livestock Information Service was launched in 2022 and is now used to record movement data for sheep, goat and deer by users in the supply chain.
Cattle and pig movement services will soon follow, to create a single, digital movement service for all species that is simple and convenient for livestock record management. We also work with counterparts in Wales, Scotland and Northern Ireland to create compatible and seamless services for livestock movements across UK borders.
Your new role:
- Organising and preparing agendas, minutes, and documentation for board meetings and general meetings.
- Maintaining records of board discussions and decisions and ensuring follow-up on actions decided during meetings.
- Managing corporate documents, contracts, and ensuring their safekeeping.
- Facilitate effective communication with the board and between the board and management, ensuring that directors have access to relevant information.
What you'll need to succeed:
The Corporate Operations Team requires the support of a Corporate Secretariat Officer to provide Board support and administration.
- Excellent written communication skills to draft clear and concise minutes, agendas, and correspondence.
- Effective verbal communication skills for liaising with board members, executives, and stakeholders, ensuring clarity and professionalism.
- The ability to plan, organise, and coordinate board meetings, ensuring all required materials and information are available and prepared in advance.
- Meticulous in recording accurate and comprehensive minutes, ensuring that all key decisions, discussions, and actions are documented correctly.
- Ability to manage time effectively, ensuring that agendas are prepared well in advance, meetings run on time, and minutes are distributed promptly after meetings.
- The ability to anticipate potential issues and find solutions to ensure meetings run smoothly (e.g., managing changes in schedule or preparing additional documents on short notice).
- Being proactive in addressing questions or challenges that arise before, during, or after meetings.
- Building positive working relationships with board members, executives, and other stakeholders.
- The ability to diplomatically manage different personalities and viewpoints, ensuring a professional and productive meeting environment.
What you'll get in return:

- Full-time work, 3months contract with the vision to extend to 6 months (to the end of the financial year)
