Provide initial telephone and email support for job planning queries, responding to enquiries within remit of work in a timely fashion or escalating/referring to the JPO as appropriate. Using the New Starter Actions Tracker spread sheet contact Consultant and SAS doctors new to the Trust to invite them to the Job Planning induction session and complete all relevant actions. Initiate the administration of the New Doctors induction programme by preparing the paperwork ahead of the session, ensuring completion of training by new starters, setting up diary invitations, and completing the post-session follow-up actions. Support the training of doctors programme on the Trusts job planning system both in scheduled group training sessions, and on a one to one basis. To be responsible for ensuring that Job Plans are signed off on the Trusts electronic job planning system, using template emails, on a weekly basis. Undertake actions to obtain approval for financial assurance and arrears payments in line with standard operating procedures (SOPs), maintaining appropriate records and following up response. Provide support to the Head of Medical Staffing in the absence of the JPO. Assist with extraction of documents and reports from the Trusts current electronic job planning system. Support the JPO in producing and distribution the divisional monthly compliance reports, manipulating data and reviewing anomolies. To be responsible for actioning changes in hierarchy within the Trusts electronic systems to ensure the correct signatures are allocated to job plan sign-off. Create and activate user accounts within the Trusts electronic systems, ensuring closure of accounts as per departmental SOPs to support management of licence limitations, identifying where concerns of licence numbers arise. Book meeting rooms across the Trust sites as necessary for training sessions and other meetings. Maintain the electronic filing systems. Data manipulation and data cleansing of information as required. Assist with the response and maintenance and of the generic team inbox responding to queries where appropriate and filing items that have been actioned. Maintain and update a number of operational process spreadsheets/databases to ensure that accurate records are maintained including updating data and adding/deleting doctors who have joined/left the organisation. Participate and play an active role in projects / meetings / forums as required, including recording actions. Provide cross cover within the Medical Resourcing Team, as required.

The Assistant Project Support Officer will support the Improvement Team in delivering a variety of projects both across the Trust and in conjunction with wider healthcare system partners. The post holder will provide assistance with tasks to support the delivery of Improvement projects and programmes run by the Improvement Team and support the wider workplace leaders and colleagues throughout our Trust using the tools and techniques of the Improvement System. The Project Lead for each Improvement Project will usually be an Improvement Facilitator, Improvement Specialist or Senior Improvement Specialist. The post will be a blended role in conjunction with the Project Management Office providing project support. The postholder will be specifically involved in supporting the acceleration of share and spread of improvement initiatives across the organisation. Key Duties: To ensure all staff within the Improvement Team are fully supported with Improvement projects and programmes work including timely completion of associated administration tasks. Develop a working knowledge of all aspects of the Improvement System Support the accurate production of project and programme correspondence and documents utilising Microsoft Office suite to a high standard. Collate, analyse, monitor and present project and programme data and information as required using Improvement System tools and techniques. Build and maintain positive working relationships with stakeholders across all levels of the Trust and with our wider healthcare partners. Job Summary As a Business Management Assistant, you will support the Practice Manager and Assistant Practice Manager with overseeing the day-to-day operations of the practice. You will have a broad understanding and have proven experience in the smooth running of General Practice, as well as the ability to work independently where required, whilst observing confidentiality at all times. This role requires a good team player, with an eye for detail and accuracy in order to support the excellent patient care provided to our patients. Working hours will depend on the right candidate but will need continuity during the working week to ensure the smooth running of the practice. Main Purposes The post-holder will need to quickly become familiar with all functions of the Practice. The post holder will be aware of the various statutory requirements and will assist in implementation as directed by the Practice Manager and Partners. There will be a need to work closely with all staff covering all departments in order to maintain all levels of local and national standards and requirements. Key Responsibilities Practice Management Support Support the Practice Manager and Assistant Practice Manager in the day to day running of the practice across both sites. Provide first line administrative support to the Management Team across all multi-functional areas. Human Resources: Provide support to the Practice Manager with recruitment, onboarding and personnel administration. Support management with new starter inductions. Manage internal training records for all staff. Booking external training courses and resources. Update daily absence and sickness records, liaising with management where necessary. Commissioning: Assist with implementation of new and updated commissioning policies, liaising with other Team Members where necessary. Update weekly and monthly workforce and practice capacity reporting to commissioners. Premises: Manage room bookings for practice, including external bookings of shared Boardroom. Maintain register of premises issues reported by colleagues for both sites, whilst liaising with management to resolve reported problems. Governance, Compliance and Quality: Manage the Policies and Procedures register, support and administer updates and annual reviews, and help support the adoption and acceptance from the wider practice team. Assist with the maintenance of all processes and compliance, in preparation for CQC inspections and ongoing governance. Conduct internal audits, quality control checks, and participate in external inspections to maintain accreditation and certification standards. Assist where directed with the investigation of any incidents, errors, or complaints related to practice activities, implementing corrective actions as necessary. Support Management to investigate complaints and Significant Events, whilst maintaining an up-to-date register of events and outcomes. Support planned meetings such as Clinical Governance and PPG Meetings, and provide minute taking support where needed. Team Collaboration: Support colleagues by monitoring generic email addresses when needed.
