As the Service Operator, you will be required to:

• Log calls / jobs on the Control Hub database utilising service software (IFS). Calls / jobs may be received by telephone, facsimile, email or in person.
• Allocating work orders to directly employed maintenance team and / or supply chain.
• Tracking job progress against pre-determined KPI's including maximum allowable response and rectification times and implementing escalation procedures.
• Report back to clients and contract staff on job progress and completion - produce reports.
• Uploading and amending asset information as held in the Control Hub database.
• Operating paper-based systems as necessary to compliment the operating software, including back-up systems.
• General administration duties as and when required.
• Provide cover on various sites throughout NI & GB as and when required.
• Any other duties required to ensure an effective and efficient helpdesk service is delivered in accordance with the in-house ISO management systems and Quality Control procedures.

Technical Competencies
Essentials:

• Demonstrate a minimum of 1 years previous experience in a similar service role
• Previous experience in a busy office environment
• Competent IT skills to include Microsoft Outlook and Excel

• Previous experience in facilities management industry

Document Production Specialist
Predominantly a remote role - with 4 days per month going to a regional office for meetings.
Hours will be 4pm until Monday night. This is non-negotiable.

Your new role

• Creating, formatting and updating pitches, presentations, posters and other collateral to align with the businesses' branding;
  Supporting the team with transcription of legal documents from digitally-dictated material (BigHand/Speech Recognition/Windows Media Player);
  Supporting the team with creating, amending legal documents, adhering to house styles, using MS Office suite;

Also provide a contact point for Directory Enquiries and connect calls to obtain information they require. Monitor usage of this service and report any abuse to supervisor. Be responsible for the creation of the daily rota sheet which requires information to be transferred from a number of rotas to produce a single on call contact document. Be able to interpret on call rotas across the Trust for Medical and Nursing staff, Executive and Admin, to assist with the task. Collate information on personal call usage and provide information to cashiers for the creation of appropriate billing. Follow defined procedures and guidelines where available, using own initiative to resolve new undefined circumstances, such as unusual calls or enquiries from the public, referring the issue to the supervisor on call when required. Provide on call information to other trust staff regarding on call personnel. This involves looking up sometimes complex rotas with conflicting information on them. Issue temporary mobile phones (out of hours) to on call staff, assess the impact of failed communication equipment and issue temporary when deemed necessary. Maintain equipment inventory for audit purposes. In the event of a lost/stolen mobile phone device (out of hours) advise Trust staff of the procedure to follow and record the information. Issue temporary pagers (out of hours) (crash, fire, security) when original becomes faulty. Record information for supervisor and also inform Trust staff of contact changes when required. Be conversant and able to operate all back up equipment and procedures in case of failure of the bleep system, switchboard consoles or system failure. Use systems including the Patient Administration System (PAS) to advise and help both internal and patients/relatives who are experiencing difficulties getting through to the correct department. Out of hours staff must accurately record extension and payphone faults to the relevant internal/external department or agency as directed. Carry out daily testing of crash team bleeps, record response and provide the information for monitoring/audit purposes. Also ensuring peripheral site bleeps are in working order. To be responsible for own work load and work without direct supervision out of hours. On an ad hoc basis provide switchboard supervisor with changes to telephone numbers and extensions and other information as necessary to update switchboard server. Participate in a regular rolling programme to review, audit and update information held on the switchboard console, by contacting users to ensure data integrity. Complete necessary paperwork to document changes for data input. To work flexibly to maintain adequate staffing levels to ensure a 24/7 service is maintained. All staff working on this flexible contract are required to provide cover at short notice in order to maintain essential first line and emergency services. Any other appropriate duties delegated by the Switchboard Supervisor.

RESPONSIBILITIES

Key Responsibilities
Process works orders so that stock product orders can be processed without delay, and non-
stock orders can be planned into production, including material purchasing, external
processing etc.
Provide quotes for non-standard orders including accurate lead times and pricing.
Monitor the production team to ensure timely production, and maintain quality at all times.
Process orders to completion, dispatch, and invoice.
Identify opportunities of improvement, both efficiency and quality, and cost justify plans to
implement new processes.

Team Leadership
Monitor and cultivate a good working relationship with all staff members, working
collaboratively to help improve their working experience and the aims of the business.
Provide training where applicable, and keep all staff updated with H&S standards, health
monitoring etc.
Effectively communicate goals to staff members, including expectations and performance
requirements. Encourage communication to be a two-way process.

Inventory Management
Manage inventory levels and implement the use of software packages provided to support
production management processes.
Monitor levels of our own stock products which need planning into production, sometimes
requiring purchasing months ahead.
Communicate with suppliers to maintain good working relationship, monitoring supply prices,
and ordering in good time to reduce delays, whilst minimizing excess stock held and keeping
shipping costs to a minimum.

Quality Control
Establish Quality control procedures, working with staff and the managing director to
improve standards and reduce waste.
Regularly review quality standards to actively prevent issues.

Health and Safety
Ensure compliance with health and safety regulations and standards to maintain a safe
working environment for all. Assess any changes and update risk assessments regularly.

Business Development
Communicate frequently with the managing director about any issues which you feel could
benefit the business and the staff.
Work pro-actively to improve any element of the business within your remit/scope.
Simplify manufacturing processes to remove the reliance of engineering skills that are
currently provided by the managing director.

The successful candidate must possess a valid Counterbalance FLT Licence, as well as experience of working in a bonded warehouse and have an understanding of FLT/logistics operations.
