NATURE OF WORK This is technical work assisting the Director of Senate Security in the management of Sensitive Compartmented Information Facilities (SCIFs) within the Senate, ensuring compliance with Intelligence Community Directive (ICD) 705. The areas of responsibility include routine inspections, updates, and construction of secure spaces. Additional work includes projects to support cleared facilities management as well as assisting the Office with technical and communications security matters. Work is bound by Secretary of the Senate policies and procedures; the U.S. Senate Handbook; and the Senate Ethics Manual, but requires independent judgment in setting priorities and handling assignments. ESSENTIAL FUNCTIONS Ensure Senate SCIFs are in compliance with ICD 705 and act as a liaison on behalf of the Senate to the accrediting authority. Engage in thorough and routine inspections of existing SCIFs and certify established security procedures are being adhered to. Manage SCIF construction projects, working with various Senate Security Managers and accrediting authority officials to approve and oversee any necessary updates to secure facilities. Act as subject matter expert on physical security SCIF requirements; maintain awareness of technical based threats; and develop mitigation strategies. Assist with technical security; support Technical Surveillance Counter Measures (TSCM) engagements as necessary. Help maintain the Office’s classified local area network (LAN) and support various classified networks and secure communications programs and equipment. Support the Office’s facilities maintenance work, which may include working outside of normal business hours. Maintain security records and manage personnel access to Senate Security SCIF. Maintain current knowledge of Senate Security’s Emergency Action Plan (EAP) and the Continuity of Operations (COOP) Plan; participate in periodic exercises and drills. As part of the Secretary’s customer service initiative (known as R.A.T.E.), provide all customers with the highest level of customer service.

Job Purpose:

Job Description

• Manage teams on a daily basis to ensure that they work safely and maintain high standards of work
• Being proactive in identifying and resolving site problems, complaints or difficulties.
• Managing of all subcontractors on their sites ensuring that works are carried out safely, to agreed standards, and are profitable.
• Raise / Check Staff Time Sheets weekly and submit to accounts and Agency on a Monday
• Raise and update Maintenance Schedules in line with contract, BoQ, Specification and Drawings

• Organising the summer watering schedule, labour, bowsers, standpipes, standpipe licences etc and ensuring all trees and large shrubs and GM sites including planters that are under warranty/defects liability / contract are watered
• Organising Winter Drain Down & Spring Start Up on irrigation systems for all Contracts
• Profitable running of Grounds Maintenance (GM) Contracts
• Raising a Master GM Work Schedule
• Ensuring GM Contracts do not suffer excessive plant and tree defects
• Liaising Suppliers to ensure GM Machinery is well maintained
• Monthly checks of all GM Staff spray books
• Keeping the GM Stores and Pesticide stores tidy
• Organising staff parking in London, paying for parking on the credit card or organising advances from accounts, collecting staff parking receipts and returning them to accounts
• From time to time helping to manage small Construction Soft Landscaping projects
• Assist the company in complying with our Carbon Reduce policies, targets and objectives

Job Purpose

The post holder will deputise for the Head of Facilities Management in their absence for all non-security related Soft FM Services, ensuring that they are efficient, effective, of high quality, and value for money.

Contract Management

* Assisting with regular contract meetings to an agreed schedule to discuss and record progress, performance, stakeholder feedback, commercial matters, resources and any areas for improvement as per Contract Checklists.

* To undertake regular quality audits in support of Key Performance Indicators and customer satisfaction. * To provide monthly management information to give an objective picture of contractual performance.

* To assist the Head of Facilities Management to procure, mobilise and establish contracts working with Procurement, PAF Managers and key stakeholders to procure high quality, effective, value for money facilities services contracts.

H & S Compliance

* To ensure compliance with all Health and Safety Legislation relating to areas of operation reporting to the post. Conduct risk assessments and spot checks of PaF contractors and staff to ensure compliance with Health and Safety legislation and the University's own policies.

Job Purpose:

You will conduct and organise maintenance of our client's electrical network and assets, whilst ensuring that there is no unplanned disruption to the electricity supply. You will help manage engineering and craft resource to ensure maintenance activities are undertaken in a safe and efficient manner.

The Commercial Buildings Team holds responsibility for the control, operation and maintenance of High and Low voltage electrical networks at multiple sites. These sites are primarily on the Canary Wharf Estate.

You will be at the operational heart of this arrangement, and hold responsibility for operational and maintenance duties, including Management responsibility for staff, contractors and network assets / maintenance.

You will report into the Client Delivery Manager and manage the daily operational work. In delivering the Operation & Maintenance activities. You must ensure accurate records are maintained and prepared for the clients to demonstrate auditable compliance against commercial contracts.

Principal Accountabilities:

• Undertake and planning of maintenance of the Commercial Buildings HV/LV networks to meet scheduled targets.
• Produce an annual maintenance plan for acceptance by relevant building management.
• Ensure all work is undertaken following UKPN procedures for health, safety, quality, environmental and welfare.
• Deliver (and comply with) safety related audits and actions

Key Tasks includes –

Ensure all equipment are maintained in good working order and all necessary checks are regularly completed.
Carry out training as necessary to ensure all staff work safely, and to the required company standard.
To identify and report hazards and maintenance requirements.
Carry out regular checks on work to help illustrate an improvement in the quality and finish of the Hotels.
Ensure that any subcontractor on-site works to the required standard, completes all the necessary paperwork and completes the job to the specification set out.
Maintain continued improvement in the Environmental performance of Hotels and monitor.
Ensure materials are kept safe, accounted for, and also ensure a base stock of certain items is at hand to make speedy repairs.
To comply with statutory and legal requirements for Fire, Hygiene, Health and Safety, Licensing and Employment Law, and water hygiene to ensure that members of the Team are also aware of these requirements.
Maintain stock control and process orders
Be part of the escalation process and be available to attend emergencies when necessary
Develop and maintain relationships with our preferred suppliers to drive quality.
Undertake mains repairs in a timely and efficient manner minimising disruption to guests
