Key Responsibilities:
Data Entry: Accurately enter and update information in computer systems and databases.
Filing: Organize and maintain paper and electronic files, ensuring they are accessible and up-to-date.
Communication: Answer and direct phone calls, take messages, and respond to inquiries from clients, vendors, and staff.
Mail Handling: Sort and distribute incoming mail and prepare outgoing mail, including packages and courier services.
Document Preparation: Assist in the preparation of reports, letters, and other documents as needed.
Office Supplies: Monitor and maintain office supplies inventory, placing orders when necessary.
Scheduling: Assist in scheduling meetings, appointments, and travel arrangements for staff.
Customer Service: Provide excellent customer service to clients and visitors, addressing their needs promptly and courteously.
Support Tasks: Perform other clerical duties such as photocopying, faxing, and scanning documents.
Compliance: Ensure all administrative activities comply with organizational policies and procedures.
Qualifications:
Education: High school diploma or equivalent required; additional education or training in office administration is a plus.
Experience: Previous experience in a clerical or administrative role preferred.
Skills:
Proficiency in MS Office Suite (Word, Excel, Outlook, etc.).
Strong organizational and time management skills.
Excellent verbal and written communication skills.
