Key Responsibilities

1. Compliance Monitoring & Reporting

• Assist in implementing and enforcing compliance policies and procedures to ensure alignment with regulatory requirements.
• Maintain compliance records: Organize and update documents, policies, and procedures in accessible formats.
• Conduct preliminary audits and support the audit process by gathering and reviewing necessary documentation, tracking findings, and coordinating corrective actions.
• Monitor regulatory updates: Research changes in regulations, prepare summaries, and communicate relevant updates to team members.
• Incident management: Track, document, and assist in investigating compliance incidents, following up as necessary to close out issues.
• Coordinate compliance training: Help develop training materials and schedule sessions for team members across departments.

2. Risk Management

• Perform risk assessments: Identify potential compliance risks and propose actions to mitigate them.
• Support compliance testing to evaluate effectiveness of policies, controls, and compliance programs.
• Follow up on remediation actions: Ensure timely follow-up and completion of required actions to address identified risks.

3. Administrative Support

• Meeting coordination: Schedule and manage meetings, prepare agendas, and organize compliance training sessions.
• Document preparation: Create and format documents, presentations, and reports for internal and external stakeholders.
• Manage correspondence: Handle incoming and outgoing communications for the department, including emails, phone calls, and memos.
• File organization: Organize physical and digital files, ensuring data protection and easy retrieval as per company protocols.
• Order office supplies and manage inventory for the department, ensuring adequate resources are available for operations.

Requirements

Education & Experience

• Bachelor’s degree in Business Administration, Compliance, Finance, Law, or a related field (or equivalent experience).
• Experience: Minimum of 1-3 years in a compliance, administrative, or similar support role, ideally within a regulated industry (e.g., finance, healthcare).

Skills & Competencies

• Attention to Detail: Strong ability to identify and address discrepancies in documentation and processes.
• Organizational Skills: Excellent time-management and multitasking skills; able to manage multiple priorities.
• Analytical Skills: Capable of analyzing compliance documents, identifying regulatory issues, and supporting risk assessments.
• Communication Skills: Strong written and verbal communication skills for preparing reports, presentations, and interacting with team members.
• Technology Proficiency: Advanced skills in Microsoft Office (Excel, Word, PowerPoint) and familiarity with compliance software or databases.

Job Description & Requirements

• Daily administration of front desk duties such as answering calls, handling clients enquiries via email/phone, filing and etc
• Simple accounting works using a user-friendly accounting software to generate sales invoices
• Handle incoming or outgoing couriers, postages and mailing of documents.
• Handle any administrative and clerical work given
• Candidate must possess at least minimum GCE O' Level or Diploma in any field
• At least 1 year(s) of working experience in the related field will be an added advantage for this position
• Assisting Auditors with bank confirmations, audit schedules & formalities.
• Organized, meticulous, able to multi-task and work independently with positive working attitude.
• Be proactive, ready to take on new responsibilities and willing to learn new things
• Having a good eye for details
• Good interpersonal and communication skills and able to relate well with staff from all levels
• Must be proficient in English (both verbal and written)
• Proficiency in MS Excel and MS Word
• Able to commence work immediately or within short notice will be an advantage.
• Basic training will be provided

Responsibilities:

• Efficiently manage end-to-end customer complaint processes, including acknowledgment, SAP system updates, continuous tracking, closure, and monthly summarization for reporting purposes.
• Conduct in-depth tracking of supplier quality through incoming inspections triggered by customer complaints or as required.
• Demonstrate familiarity with and adherence to international cable testing standards and procedures.
• Update SAP system with inspection results, ensuring the release of lots aligns with defined usage decisions.
• Assist customers with technical inquiries, including Product Test Reports, RoHS, REACH, and CE compliance.

Requirements:

• Minimum Diploma or Degree in Engineering (Electronics / Electrical) or an equivalent field.
• minimum of 1 year of hands-on experience in electrical/electronic product testing and qualification.
• Proficient in Microsoft Word and Excel.
• Demonstrated ability to operate a range of laboratory equipment, including calipers, visual scopes, resistance checkers, and high voltage testers.
• Proven ability to address immediate issues independently.
• Proficient in Microsoft Word and Excel.
