Business Support Assistant

Please note the working style for this role is an Anywhere Worker but we will require you to attend the office in Harlow on average 1 day a week around business need.

Business Support teams deliver outstanding administration and customer service to all Essex County Council (ECC) functional areas. Our multi skilled teams deliver services from Business Centre hubs, providing a wide variety of support to high volume processes and tasks such as minute taking, data input and management, finance tasks, managing high volume calls, receptions and requests for assistance. We also support front line teams and social care functions that require a more integrated approach to support.

The Role:

This role involves working as part of a business support team within our meetings and events hub to deliver effective, minute taking services for a variety of meetings within ECC and routine administrative support within a business centre; learning and developing an understanding of existing processes and systems and develop knowledge of various functions within ECC.

As a Business Support Assistant, you will provide general administrative support to ECC, dealing with day-to-day work as instructed from the Business Centre Manager. Accurate and efficient data entry onto ECC systems is required, to ensure that all customer service requests are met within a specified time frame and are in line with data protection policies.

Accountabilities:

• Providing high quality, efficient and effective Business Support services to internal and external customers within agreed timescales and Service Level Agreements (SLAs).
• Responding to customer requests and queries in a timely and efficient way.
• Acting as a professional representative of the Business Support service at a local level.
• Delivering the required activities of the respective business centre(s).
• Providing high quality self-directed administrative support, checking own work and proactively looking to raise standards.
• Maintaining confidential records according to Essex County Council guidance.
• Sharing knowledge and good practice with colleagues and highlighting more efficient ways of completing tasks.
• Some onsite work may be required.

The Experience You Will Bring

Essential:

• Good Standard of basic education - 5 GCSEs grade C and above (including Maths and English) or comparable experience/qualifications.
• This position will require minute taking duties, therefore relevant transferable skills are desirable, however full training will be provided.
• Ability to take ownership of work and fulfil agreed commitments, checking work for accuracy.
• Ability to communicate in a manner which is easily understood and tailored to meet the needs of the audience, any customer service experience would be beneficial.

Desirable:

• As part of the role, you will have access to sensitive and/or personal information, therefore maintaining confidentiality is important.
• Ability to use computerised systems with a high level of speed and accuracy - including Microsoft Office applications and internal ECC databases.
• Ability to think about alternative ways of doing things and being open to new work practices and responsive to change.
• Previous experience of managing electronic or hard copy filing systems is desirable.

Receptionist (Business Support Assistant)

This role is being offered as a Fixed Term Contract for a period of 18 months and will involve working on-site 5 days a week at the main reception desk at Goodman House, Harlow providing face to face customer service. Days and Hours are: 9am to 5.30pm Monday to Thursday and 9am to 4.30pm Friday. Occasional flexible working when approved in advance.

Community Marketing and PR Assistant

Fixed Term, Part Time

£23,344 per annum, pro rata

Location: Colchester

Please note that this is a fixed term contract / secondment opportunity till the 31st of December 2025 and is a part time role, offering 18.5 hours per week which will ideally be 2 full days and 1 half day, but all possible working patterns will be considered and can be discussed at interview, but there will need to be some flexibility to meet business need.

Most of the time you will be based in an ACL centre or out in the community so remote/home-based working will be minimal.

The Opportunity

Adult Community Learning (ACL) is Essex County Council's (ECC) provider of lifelong learning experiences for Essex residents.

ACL offers qualifications to help people move nearer to, enter or progress within the workplace or gain skills to enhance life chances.  The service focuses many of its programmes and activities on the hardest to reach communities within Essex.  ACL learners have access to a diverse range of non-accredited courses which encourage, healthy lifestyles, social inclusion and access to work. 

The Community Marketing and PR Assistant will raise awareness of ACL services across Essex. They will work within the community supporting the existing ACL Marketing Team.

Accountabilities

• Under the direction of the ACL Marketing & PR Lead, create and support the co-ordination of multichannel communications to raise awareness of ACL courses.
• Work with the Marketing & PR Officers to create localised social media campaigns that increase enrolments
• Liaise with relevant internal and external stakeholders to promote ACL services in community places and spaces
• Create and update website content as required
• Assist in the production of offline marketing materials, for instance posters, leaflets, campaign flyers, letters and adverts.
• Attend relevant events, and as required set up events, to promote the ACL offer
• Assist with paperwork including collation of digital feedback forms
• Carry out other relevant tasks as identified by the ACL Marketing & PR Lead

The Experience You Will Bring

Essential:

• Excellent communication skills and ability to talk to people from all walks of live.
• Previous experience of professional use of social media and marketing.
• Able to work under own initiative to achieve targets and positive outcomes
• A proven track record within a sales / target led role.

Desirable:

• Level 2 IAG qualification or be prepared to work towards one.
• Experience of sales and marketing within an educational setting.
• Previous experience of organising events.
