We are looking for a dynamic thinker to support our local planning of patient journeys. The role involves effectively planning patient journeys to and from home / health care setting using our cleric system and against set key performance indicators.

Our patients have varying clinical and mobility needs, some of our patients travel regularly with us into renal and oncology units. Our patients and staff are our priority, ensuring we show care, compassion and empathy.

You will need a calm approach under pressure, have a general geographical knowledge of the Bedfordshire, Hertfordshire, Cambridgeshire, Essex and outlying areas. We are seeking an Estates and Facilities Coordinator to support the Estates and Facilities Team with a variety of administrative tasks, depending on the needs of the Department.

You will work closely with the Senior Estates Manager for Bedfordshire, Hertfordshire and Essex to oversee the day to running of the Estates office, toinclude provision of an efficient and comprehensive administrative/secretarial service maintaining confidentiality at all times.

The post holder is expected to work largely unsupervised, using their own initiative and to able to plan and coordinate multiple projects.

A key element of the role is creating and maintaining accurate databases to monitor both Financial and Estates specific data.

The post holder will communicate effectively with all Department users and communicate with a wide range of external companies to coordinate planned and reactive Estates maintenance works.

Acting as an initial point of contact for the Trust on Locality Estates Services matters.

Acting on own initiative in absence of Estates Manager, referring to other Estates Managers only if necessary.

Actioning enquiries appropriately using own initiative within scope of delegated authority referring to an appropriate manager when necessary.

Keeping up to date with any required training in order to maintain effective use of the Estates Management and Database Systems, including Planet FM and Micad, and providing in-house training to other users/new staff, as required.

Updating and ensuring accurate recording of all Estates-related Locality site defects on Estates management software.

Providing professional accurate information to the Estates Management Team and Trust Managers as requested.

Liaising with contractors to ensure all work is carried out, and invoices received in a timely manner.

A hybrid working arrangement is likely whereby the post holder will work between home and the office in Chelmsford on days agreed with the Estates management team.

The post holder will be responsible for the smooth day to day running of the Scheduling function, ensuring the most cost effective and efficient use of resource supply to meet demand. Use and maintain the workforce management system to enable the department to meet its goals and objectives. Support the delivery of high-quality patient care according to Trust standards, policies, and procedures through being responsible for matching resource capacity to forecasted demand to improve clinical care and patient outcomes.

Provide assistance with planning rotas to include new starters, leavers and students to ensure rotas are planned accurately and efficiently.

Plan rotas to meet forecast demand, and adjust making shift amendments, for cancellations, shift swaps, sickness cover and team changes.

Plan and publish rotas according to process, ensuring adherence to demand profiling and system status planning. Contribute to the design of new rotas and oversee implementation. Use and maintain the workforce management system to plan relief shifts and review resources in line with forecasts, making changes as needed.

Analytical, Judgemental, and Decision Making

Use the workforce management software to deliver complex plans for operational delivery in a timely and accurate manner matching resource plans to forecasted demand profiles.

Receive requests for staff abstractions from rotas. Authorise/decline requests for staff abstractions from rotas according to protocols and where necessary liaise with line managers/HR to progress requests, ensuring fairness, equity, and consistency.

Communicate abstractions to staff and managers, both verbally and in written report form, where necessary.

Produce reports and other statistical data as required using a variety of information systems and formats.

Resource Management

Provide effective cover within the Scheduling Team, ensuring that the Department is adequately staffed and deputise for the Resource Planning Manager when required.

Liaise with the Managers and the Trust’s payroll provider on issues pertaining to timesheets, including sickness, annual leave and overtime.

Monitor abstractions, overtime spend and other designated KPI's and provide reports as required.

Work closely with the Private Provider Contract Manager to manage the planning of PAS resources and payments. Monitor and check Private Provider invoices against data held in the workforce management system and ensure any discrepancies are dealt with.

An exciting opportunity has arisen to join the Emergency Clinical Advice & Triage Centre (ECAT Team) in one of our EOC sites based in Bedford, Chelmsford or Norwich (negotiable) for an experienced Administrator. The role of an ECAT Assistant is to primarily to assist in the smooth running of a busy triage hub within the Ambulance Emergency Operations Centre (EOC). A varied and busy role, the ECAT Assistants will take calls for clinical staff, relay messages, arrange appointments and take clerical notes for other staff.



You will have an NVQ Level 3 or equivalent education level and be a competent user of relevant Microsoft office packages including Word and Excel. At least 12 months experience within an administrative role and the ability to communicate effectively are essential. The Trust is looking for someone who is able to multi-task and prioritise as you will be dealing with a high volume of work and a variety of deadlines.



Ensure contractual obligations; punctuality, attendance, attitude, flexibility.

Receive calls and input into Cleric, LowCode or other system.

Support CSD by managing calls into and out of the ECATC, identifying and passing to the correct MDT clinician and/or liaising with line managers.

Support and provide administrative assistance to the clinicians working – relay of call information by multiple methods; email, fax, telephone etc.

Ensure GRS is updated weekly.

Act as contact point for the Clinical staff calling into the ECATC.

Input data using Cleric, LowCode, Microsoft or GRS as required to assist the function of the LowCode.

The successful applicant will provide effective administrative support to the Clinical Coordinator, Specialist Clinicians and other MDT Clinicians by taking routine calls, assisting with the administrative duties and requirements of the Emergency Clinical Advise & Triage Centre (ECATC). You will also receive calls from crews, other EOC staff, ECAT staff and other healthcare agencies to assist the clinical staff with information flow; message taking and general telephony administration.

The role is to ensure that all motor vehicle repairs, pre-planned maintenance repairs and vehicle servicing, are completed within an accurate time scale and in a cost-efficient manner on vehicles where appropriate training has been provided.

To provide a safe, effective, and efficient maintenance and repair service within MOT standards for all vehicles and maintained by East of England Ambulance Service.

Responsible for diagnosing faults in vehicles and decide on the extent of the work required, making informed decisions as to the repair or replacement of faulty units.
Suitable candidates will have C1 category licence or be willing to work towards this within 6 months of starting which will be fully funded by the Trust, subject to the individual remaining with the organisation for a period of two years.

Please note we participate in the provision of a 24-hour breakdown service necessitating call out from home on a rota basis occasionally both at night/ weekends with appropriate time off the following day in line with the Working Time Directive.

The Fleet Department is responsible for the design, testing and evaluation of operational vehicles, their procurement and issue to A&E Operations, the in-life compliance, service planning and up-time management (operational life) of the vehicle, and the final decommissioning and disposal at the end of their life. It is also responsible for all ordering of lease vehicles to support functions, including business lease cars.

• The post holder will take full responsibility for taking the initiative, and to make decisions on maintenance and repair of various types of vehicles. Full training with be provided with an expectation to complete in line with Trust compliance standard.
• Responsible for the servicing, repair and preventative maintenance of all vehicles maintained by East of England Ambulance Service, training and equipment will be provided.
• Will be required to work in rotation with other Mechanics: (during normal working hours or as an operational requirement).
• Travel to ambulance stations in EEAST and undertake minor mechanical, electrical and body work repairs and undertake preventative maintenance on all vehicles on such stations.

• Servicing of cots/ stretchers and carry chairs.
• Complete all necessary documentation, including job cards, service sheets and parts sheets and ensure all are submitted in a timely manner.
• To arrange vehicle servicing & MOT tests with various Ambulance stations and external customers.
• Maintains security of stock and equipment used.
• Keep workshops and equipment clean and tidy, reporting any defective equipment.
• Account for all stores and equipment used by means of booking out of parts onto job cards.
• Adhere to and deliver EEAST policies and procedures.
• Responsible for ensuring that service centre equipment, portable equipment and hand tools are fully checked and maintained in line with Trust policy to meet Health & Safety requirements.
• Responsible for the maintain compliance with all statutory requirements relating to the disposal of waste produced as a result of the activities of the vehicle, this includes waste oil, oil filters, brake fluid, batteries, waste paint products etc.
• Travel to breakdowns working outside in varying weather conditions anytime within a 24-hour period when on call.
• Includes direct exposure to dirt, dust, grease, smell, noise, chemicals and solvents, exhaust fumes, hot engines, manual lifting of weight up 25kg is required, risk of being in the vicinity of body fluids, foul linen sometimes found in the ambulance saloon.
• All post holders have a responsibility to report risks such as clinical and non-clinical accidents or incidents promptly. They are expected to be familiar with the Trust’s use of risk assessments to predict and control risk, as well as the incident reporting system for learning from mistakes and near misses to improve services.
• Post holders must also attend training identified by their manager or stated by the Trust to be mandatory.
• All staff are responsible for undertaking scene specific or activity specific risk assessments for non-EEAS premises and reporting identified problems to their line manager for consideration and resolution.
