Job Summary
At Katalon, the role & responsibilities of a Lead Total Rewards Specialist shall encompass both strategic and operational scopes. This will include the Design, Management, and Delivery of Total Compensation Programs (Fixed, Short-Term Incentives, Long-Term Incentives, Well-Being), Benefits Plans, Total Rewards Policies and Guidelines, and End-to-End Payroll Operations. This position will be responsible for the aforementioned scope for all Katalon locations, mainly Vietnam, US, India, and other Employee-of-Record locations.
Job Description:
Payroll and Compliance in Vietnam
- Manage end-to-end payroll process for Vietnam-based employees
- Responsible for statutory insurance management, annual Personal Income Tax Finalization and all items related to Personal Income Tax
- Prepare and submit all relevant labor reports and manage end-to-end labor audit with labor authority
Payroll and Compliance in other locations
- Collaborate closely with Deel (EOR platform) and US Payroll teams for all payroll and compliance related issues.
- Work closely with HR Operations and Accounting teams to ensure the timely and accurate recording and payment for the employees.
Benefits Administration
- Manage and process the premium medical plan (PTI), Service Awards and the monthly benefit offered by the company to the employees (Birthday, Wedding, Condolence, Newborn Gift, etc.)
- Review and proceed requests related to Total Rewards on HR Service Center, including: Referral payment request, Overtime payment request, Relocation request, and Professional Development Benefit request following the company’s policy.
Program Design & Delivery
- Provide support to the Senior Total Rewards Manager in ensuring the alignment of Katalon’s compensation structures and benefit plans to its Total Rewards Philosophy and Market Position Strategy, i.e. Salary Structure, Short-Term Incentives, Long-Term Incentives, Benefits, Allowances, and Perquisites.
- Provide support in creating HR policies based on market data, best practices, and company values and principles.
- Create and update necessary tools (Excel, Google Sheets, Google Forms, etc.) to implement and operationalize Total Rewards processes and policies, including salary planning and calibration (monthly internal equity data update), market data analysis and projection, and other auxiliary forms.
Annual Salary Action/Merit Increase Cycle
- Provide support to the Senior Total Rewards Manager in gathering annual salary increase data such as average increases, country-specific inflation rate, etc. to propose optimal merit increase budget for all Katalon locations.
- Create/Update and Calibrate the Salary Action Tool based on approved compensation planning formulas and budget utilization guidelines via Google Sheets.
- Preparation of Payroll Submissions for the payout of salary increases in Vietnam, US, India, and all EOR locations, ensuring timely delivery.
Long-Term Incentives
- Provide support in ensuring the competitiveness of LTI structure by way of regular benchmarking and adaption of best practices.
- Review the accuracy and internal equity of all proposed grants, i.e. Initial Grant, Promotion Grant, and Refresh Grants.
- Complete and submit quarterly consolidated file to Legal containing all proposed grants, for their review and submission to the Board.
- Proven work experience (3 to 5 years) as a Compensation & Benefits or Total Rewards Specialist, with particular focus on Payroll Delivery and Operations.
- High proficiency in Microsoft Office 365 and Google Suites is a MUST, especially Excel and Google Sheets.
- Excellent English communication skills in both written and verbal. Specialist will report to a foreigner/non-Vietnamese and support multinational stakeholders.
- Bachelor's degree in Business Management, Human Resources, Accounting or related fields.
- High proficiency in SHUI applications (preferably TS24 or BKAV), HTKK, and other government sites.
- Comprehensive understanding of relevant labor, statutory benefits, and tax regulations, particularly in Vietnam, as well as Total Rewards trends and best practices.
- Robust analysis & synthesis skills; strong ability to handle huge amounts of data with accuracy & tight deadlines, as well as the ability to draw insights from data.
- Possess a high level of integrity, initiative, commitment, & a sense of urgency.
