Business Management Executive

As a Business Administration Executive, you will be actively involved in the day-to-day operations of the business. If you have an interest to explore and learn about the general administration of a business, this would be a good role for you.

Administrative

• Providing administrative support to Business Operations Manager on all administrative matters and operational matters.
• Supporting Business Operations for E-invoice implementation and readiness
• Assist and managed monthly tasks of quality checks, monthly reporting, record keeping, compliances, routine checks on internal databases for consistency and accuracy.
• Keep business activity documents well organised and up to date (ie, expenses, claims, etc)
• Organise and archive old business documents.
• Using spreadsheets to track and keep AP up to date.
• Supporting HR in crafting job role description and vetting through CVs.
• Work diligently to support other departments.
• And other tasks as may be assigned from time to time. – develop Travel Policy or Compliance Documentation, Travel approval process, etc.

Project Admin & Scheduling – to collaborate with Project Coordinator

• Manage the time tracking system to generate weekly reports. Identify gaps and follow through to ensure the gaps are addressed accordingly.
• Keep management up to date of resource availability and leave plan.
• Time tracking system – back up to operations manager to manage the system on project creation, assignment permission, creating document template, checklist, etc.
• Assist to manage day-to-day operation activities related to active projects and providing project system support to consultants.

Requirements:

• A relevant bachelor’s degree or higher diploma in business administration, management, marketing or related fields.
• Fundamental knowledge on accounts, taxes or marketing experiences would be a plus.
• Good command of language in Bahasa Malaysia and English.
• Proficiency in Microsoft Office Suite
• Good verbal and written communication skills, and the ability to present ideas clearly.
• Have a positive attitude in learning and completing work.
• Having the following skills would be a plus – Office Management, Filing, Bookkeeping, Proficiency in Microsoft Office Suite, Communication, Attention to Detail, Problem Solving, Reporting and Scheduling, Accountability and able to complete tasks assigned in a proper time frame and manner.

• Troubleshoot, repair, modify and maintain a variety of heavy mobile equipment, such as: construction, industrial, combat, tactical, and powered support equipment.
• Equipment may include bulldozers, graders, tractors, trucks, tracked recovery vehicles, ambulances, generators and forklifts.
• Remove and replace major systems or components of equipment to include power packs, transmissions, transfers, gear reduction units, injector pumps, air conditioners, fuel pumps and alternators.
• Make idle speed, current, brake, and transmission linkage adjustments.
• Perform initial and in-process inspections; perform mechanical diagnostics and troubleshoot to localize defects and determine cause of malfunction; perform mechanical maintenance on defective parts; and perform minor body work.
• Provide technical assistance to unit personnel.
• Operate motor vehicles to perform the duties of this position.

• Troubleshoot, repair, modify and maintain a variety of construction, industrial, combat, tactical and power generation equipment.
• Repair and replace components of the cooling, braking, exhaust, power train, or hydraulic systems on combat and tactical, automotive, and powered support equipment.
• Remove, adjust or replace defective or worn parts and components.
• Perform operational inspections and insure vehicles are properly serviced and repaired; perform preventative maintenance checks and services; and perform minor body work.
• Assist higher graded repairers in the performance of more complex repairs such as removing, repairing or replacing major components such as engines, transmissions, differentials, steering boxes, and fuel injection pumps.
• Operate motor vehicles to check work.

• Serve as primary advisor for matters involving personnel training, and the planning and preparedness to support domestic emergencies and natural disasters.
• Coordinate with Federal, State and local executives along with foreign partners and non-governmental agencies in response to requests for military assistance.
• Represent the command at various related forums.
• Coordinate with other agencies and services to establish policies and procedures.
• Serve as technical advisor across multi-domain environments including cyber and space for matters related to Homeland Defense Programs.
• Evaluate emergency response operations to ensure effectiveness of programs and plans.
• Develop informational briefs and related materials.
• Develop policies and procedures to support and standardize the Defense Support to Civil Authorities function.

• Assist in developing plans affecting logistical support of operations.
• Determine needs to support logistical operations.
• Advise on logistics status and type of logistics support required.
• Coordinate activities concerned with supply distribution and use of equipment.
• Analyze and evaluate maintenance programs for compliance.
• Conduct staff visits to render assistance and provide base operations support.
• Develop and/or interpret regulation, directives and policies.
• Initiate request for contracts for various services relating to logistical support.

What will I do in this position if hired?

In this Local Hire (Intergovernmental Congressional Affairs) position, you will work within the External Affairs cadre to assist local communities in recovery efforts.

Typical assignments include:

• Providing support on activities associated with Congressional members and representatives, governmental officials, constituency groups and other stakeholder organizations.
• Participating in various outreach opportunities with governmental organizations.
• Participating in conferences, planning sessions, meetings and briefings for a variety of external stakeholders to include assisting with the development of agendas, logistical needs, and briefing materials.
• Communicating stakeholder initiatives and concerns to program liaisons for information sharing.
• Analyzing data and compiling reports on sensitivities and issues communicated by stakeholders for inclusion in messaging strategies.

This announcement is for a position as a FEMA Local Hire. Local Hire employees help FEMA respond to, recover from and mitigate hazards by performing a variety of emergency management functions which are not limited to disaster survivor assistance, conducting and verifying damage assessments, and providing administrative, financial and logistical support.

Local Hires are Temporary Positions. The Local Hire Program is an appointment type granted under the Robert T. Stafford Disaster Relief and Emergency Assistance Act, Section 306 (b), which authorizes FEMA to appoint such temporary employees as necessary to accomplish work authorized under the Act. Appointments under this authority within FEMA are made to the excepted service and are nonpermanent in nature. A local hire's term of employment is 120 days. Local Hire appointments may be extended, in 120-day increments, based on the needs of the disaster.
