Working closely with the Operations Manager you will take a lead role in health and safety compliance across the academy and ensure staff are appropriately trained where required. You will have management responsibility in ensuring the academy develops systems and processes that maintain a high standard of premises management and maintenance.

You will effectively lead and manage contractors and capital works, ensuring work is carried out to the work specification and delivered within agreed time parameters. Post holders will care for patients with a wide range of pathologies, including those relating to non-malignant and malignant haematology, acute oncology and palliative care, as well as those patients receiving anti-cancer treatment but who present with a wide range of medical pathologies. Doctors in these posts will additionally be encouraged to attend specialist multi-disciplinary cancer meetings, Friday morning departmental education meetings, outpatient clinics and radiotherapy planning and review sessions. Role Overview

The Accounts Assistant would join a dedicated team that would support our Care Home network with credit control activities. What you’ll do:

• Action appropriately all correspondence from customers/internal Bupa departments regarding credit control queries.
• Provide a high standard of service and administration to all internal and external customers including adding comprehensive notes onto the billing system.
• Take responsibility for the debt position on a portfolio of customers and liaise closely with the care home administrators, Senior Financial Administrators and regional teams.
• Monitor the account balances of each customer in their portfolio to ensure that the debt position is under control and that problem areas are investigated and reported where necessary and payment plans are agreed or forwarded on to relevant area to resolve.
• Manage the total and individual debt position on their portfolio and ensure the timely collection of monies outstanding in line with stipulated policies and procedures.
• Ensure central billing is undertaken on a timely basis and in line with business policy and procedures.

• Experience within a Credit Control environment is desirable but not essential - training provided
• Technical appreciation of systems and processes and the ability to offer suggestions for process improvements.

Joining our bank

Picking and choosing the shifts that you want to work, whether this is evenings, weekends or Waking Nights, you’ll be helping to ensure the smooth running of our service. This will include monitoring CCTV, regularly patrolling the premises, monitoring visitors to and from the building and ensuring tenancy conditions and service rules are adhered to. You’ll also be our first point of contact for customers out of normal working hours needing to report an emergency maintenance issue and will need to work with our on-call managers and contractors to fix the problem! A colleague from our fantastic care team will be on site with you around the clock also, to help customers with any unexpected support needs.

You’ll ensure that our buildings and customers are safe and secure, and that we get on with our neighbours!

Role:

We are currently seeking an experienced office manager to join our administration team. The successful candidate will have experience of managing a team and will be responsible for assisting with the planning, development, and management of key administrative and organisational processes within the school office.

• General Duties and Line Management Responsibilities:

• Lead and management the administrative team as Office Manager ensuring the Academy has an effective and supportive administrative support service.
• Oversee the admissions & administration officer, ensuring the full admissions process is quality assured. Oversee termly management progress reports on admissions and in-year transfers and the admission appeals process.
• Support Assistant Principal for Cover in the absence of the Senior Cover Supervisor ensuring there is adequate cover in place for absences. Liaising with supply staff agencies to secure good quality staff and continuity of personnel. Ensure agencies adhere to all relevant Safeguarding protocol when supplying staff.
• To contribute towards the planning, development and organisation of administrative systems, procedures, and policies.
• To liaise with the Academy Business Manager, Operations Manager, and other Senior staff to ensure the provision of an effective administrative support service is provided.
• To manage the school reception to ensure the Academy provides an efficient service and welcoming experience for all external visitors.
• To update and maintain the third parties tab of the single central record with all current suppliers and services, visitors and contractors.
• To carry out line management / performance review duties for the office team including all office apprentices, reprographics technician and receptionists.
• To manage and support office staff as appropriate ensuring workloads and work streams are monitored.
• To chair regular team meetings with the administrative staff.
• As an EVC manage and process and quality assure Educational Visits processes, providing administrative support assisting trip leaders to use Evolve in line with Leeds City Council’s requirements supporting the ABM and Operations Manager to review trip proposal forms.
• Provide detailed summary of all trips and visits ensuring proposals are issued to SLT for approval in advance.
• Update general office procedures to reflect current practice and embrace new technologies. For example, ensuring the academy uses Arbor effectively.
• To co-ordinate the cashless catering school debt letters, emails, and messages to parents for school dinners.
• To arrange the secure offsite storage of confidential records.
• To manage the confidential waste contract and arrange collections.
• To ensure the resilience plan is in line with key administrative functions and can operate in times of staff absence.
• Support the collation and preparation of data and other management information.
• To analyse and evaluate data/information and produce reports as required.
• Maintain management information systems accordingly.
• To ensure the accuracy and completeness of student contact information held on Arbor and associated parent contact details.
• To administer the parent, pay system on Arbor ensuring the optimum number of students utilise the system.
• Support the Senior Team with arrangements for Open Evenings, Transition Day, and other events.
• Coordinate and oversee the Student Welfare Officer roles and responsibilities including immunisations.
• Oversee the academy free school meals records ensuring all eligible students are accurately recorded on the MIS and Civica.
• You may be deployed in other White Rose Academies Trust locations within a reasonable distance from your main place of work from time to time; you will be compensated for your additional travel costs.
• Working collaboratively with third party stakeholders wherever necessary
