To provide support to the People team in project delivery to drive people related strategy and business objectives, whilst providing high level administrative and secretarial support to the Group Chief People Officer. To provide administrative support to the HR Senior Leadership Team.
As a HR Projects Coordinator, you will provide extensive diary management to the Chief People Officer, ensuring that current organisational priorities are understood to ensure diaries are aligned and prioritised against the business needs. You'll also support the HR Senior Leadership Team with relevant administrative and co-ordination support for key People projects. Other duties include;
- Collate, proof-read and edit key presentations and/or documentation ensuring that briefings for meetings have been prepared and debriefing takes place
- Manage, answer, respond to and filter telephone calls, electronic and written communication and provide secretarial assistance to the Chief People Officer
- Working in line with the objectives and priorities of the People team, and the strategy of the business.
- Arranging events, meetings and conference calls, ensuring all the logistics are in place and the events run smoothly.
- Providing confidential project support, ensuring that governance and actions are managed, and that the correct stakeholders are present for key meetings.
- Arranging internal and external meetings, and maintaining excellent levels of communications with all stakeholders.
- Handle all matters respectfully and confidentially.
- Prepare business and private correspondence for the review of the Chief People Officer.
- Understand and adapt working style to complement and support the efficient and effective working of the Chief People Officer.
- Develop and maintain a strong working relationship with all senior and external stakeholders in order to effectively represent the values and interests of the Chief People Officer.
The successful candidate have prior experience in an HR Project, or Personal Assistant / Secretarial role, and have a base knowledge of key HR processes and best practice. Other requirements include;
- Completed or working towards CIPD level 3 or equivalent (desirable but not essential).
- Must be efficient and proactive, with the ability to prioritise and meet deadlines
- Experience of developing presentations, collating information and producing board level reports
- Excellent secretarial skills including fast and accurate word processing, being able to demonstrate proficiency in Word, Excel, Outlook and PowerPoint.
- Excellent attention to detail and proven administration skills, with the ability to collate, review and standardise information to bring in line with company branding.
- Ability to maintain a high level of confidentiality and trust.
