Research Grants Manager (Maternity Leave Cover) (175635) This post may be offered as a secondment opportunity.

Grade 7: Salary in the range of £37,524 - £45,763 per annum.
Although this job is advertised at grade 7, we are willing to offer grade 8 to a candidate with significant experience and skills in managing a similar portfolio size and leading the administration of the Biomedical Research Centre.

We are seeking to recruit a highly experienced and organised Research Grants Manager to join our busy Research Grants team at the Nuffield Department of Orthopaedics, Rheumatology and Musculoskeletal Sciences (NDORMS), located at the Botnar Research Centre, Oxford.

This exciting position combines line management responsibilities for a small team alongside directly managing a portfolio of research groups. The postholder will be required to act as a financial guide, providing professional and flexible financial management to research groups, to support the achievement of the department’s strategic objectives. The post provides a crucial role in the running of the Botnar Institute, liaising between Botnar academics, University Professional Services teams and external grant funders.

You will work closely with colleagues within the Institute, departmental colleagues and Research Accounts throughout the lifecycle of grants; ensuring all eligible costs have been added to each grant and confirming total spend to allow accurate reporting to the funder. You will provide timely, regular and accurate reports and detailed analysis on the research funding portfolio, and associated risks, to the Principal Investigators and senior management, so that they have a sound financial evidence base to assess how best to utilise their grant budgets. You will liaise with external sponsors, collaborating Universities and other University of Oxford Departments on grant award management.

You will be educated to a degree level or equivalent qualification. You will have a sound and in-depth knowledge of grant funders and post-award management together with ability to create, analyse and understand financial data. You will be a highly organised and accurate with ability to work well as a member of close-knit team and independently. Experience of using online grant application forms and working knowledge of X5, Oracle Financials and PeopleXD are desirable.

This is a full-time maternity leave cover appointment for 12 months. This post is available from 1 December 2024.

Main Tasks and Responsibilities Operational management, including financial management and business development Co-develop and be responsible for the operational delivery of the research group strategy alongside the consultants / researchers. Manage, collate, maintain and monitor existing research, publications and audit activities and outputs of the research group. Seek out and support research opportunities in a bid to increase the numbers of new trials undertaken within the group and in collaboration with other units and external organisations. Provide overall financial management of the research unit budget, and effective management of individual clinical trial budgets, including financial reporting as required. Act as an authorising signatory for the research budget within limits agreed. Manage finances and developing systems in compliance with the relevant standing financial instructions. Work with external groups to ensure that research activity is promoted externally and internally with relevant stakeholders. Identify gaps in procedure, policy, information and staff knowledge relevant to research within the area of responsibility and devise appropriate systems to fill them and improve performance. Attend and represent the group at relevant meetings. Ensure facilities and other resources are available to meet service needs, including analysing and managing space requirements Build alliances and working partnerships. Observe and comply with the relevant policies and procedures for health and safety ensuring the environment in which you and your staff work is safe, clean and tidy. Comply with standard infection control precautions to prevent or minimise the spread of micro-organisms and communicable diseases to patients, staff and surrounding community. Clinical research management Ensure that all clinical trials are delivered in accordance with Good Clinical Practice, relevant Standard Operating Procedures, and relevant legislation and governance. Ensure performance against external NIHR benchmarks and internal metrics. Conduct feasibility assessments on all research proposals in line with the group research strategy prior to site selection, providing expert advice to the consultants / researchers. Be responsible for the prompt set-up of clinical research, trouble-shooting to prevent delays. Oversee the collection and entry of data into relevant case report forms and into trial databases in a timely manner, and the correct updating of the data validation tool to record patient visits and raise correct invoices in a timely manner. Lead on the development and implementation of procedures to ensure continued streamlining and efficient delivery of all clinical trials within the portfolio. Meet with the administrative, operational, clinical and consultant colleagues regularly to ensure efficient management of the trials running, providing support and advice on logistical issues. Attend meetings with outside organisations, including academic and commercial partners, to support / advise when hosting and / or managing multi-centre trials. Oversee and be responsible for full cost recovery from the delivery of hosted trials in particular for commercial trials during the national contract value review process and local costing stage. Understand and utilise costing methodology for non-commercial trials (AcoRD). Be the named group archivist for all trial related documentation. Have oversight of the coordination of safety review for all trials within the portfolio and ensure systems meet sponsor and regulatory requirements. Supervise the group portfolio including overseeing feasibility, protocol development, submissions, design of databases and study amendments. People management and leadership Line manage the administrative and operational team of the research unit, providing expertise and guidance (trial coordinators and trial administrators). Be responsible for the co-ordination of annual and all other leave for research staff ensuring minimal disruption to the service provided by this team to patients and the wider Clinical Research Directorate. Promote a safe working environment and carry out staff assessments in line with occupational health policies. Identify workforce requirements with the appropriate skill mix to meet the team objectives and responsibility for the recruitment processes within the team. Take the lead for performance and conduct issues in their clinical research unit. Ensure staff are appraised annually, have clear objectives which link to department, care group or corporate objectives and a personal development plan Identify training and development needs of staff in line with unit and institutional objectives and ensure all new staff receive core and departmental induction. Ensure performance issues are dealt with in an appropriate and timely manner and follow the relevant disciplinary or capability procedures where formal action is necessary. Ensure that satisfactory systems are in place to maintain effective communication within your area and be responsible for ensuring that any communications systems are utilised. Education and professional development To keep up to date with relevant statutory research or clinical developments for the management of clinical research ensuring timely and effective implementation of any required changes. To educate and update research team about current and forthcoming clinical trials; and to lead on the professional and educational development of administrative / operational staff. Participate in educational programmes, study days, courses, meetings or conferences as identified in the development plan, and deemed appropriate for their professional development by their line manager Lead on training, induction and orientation of administrative / operational staff in the unit. Take a leading role in supporting understanding of the historical and political context in which clinical research has developed and is currently being undertaken. Act as an expert resource to staff and consultants / researchers. Corporate contribution Participate in relevant meetings including study specific, role specific and wider team meetings as required with responsibility for taking and distributing minutes if required. Be an expert on the regulatory requirements for conducting clinical trials. Act as a champion of the Renal, skin & Melanoma clinical research unit and the wider The Royal Marsden, representing at national and international meetings and conferences as required. Your new role

• You'll be a core member of the R&D and Clinical Development Team, working closely with Senior Leadership to execute the team's strategy within budget and timelines.
• Your role includes program managing the Development Teams and associated activities, ensuring active life cycle management to maximise product value and intellectual property.
• You'll create, maintain, and monitor integrated strategic and operational product plans, facilitate meetings, and track progress across projects.
• Additionally, you'll provide project management support for R&D activities, liaise with Program Management, and contribute to portfolio methodology.

Other key responsibilities will include:

• Drive cross-functional collaboration: You'll work across functional boundaries to evaluate product opportunities, develop integrated strategic plans, and ensure alignment with objectives.
• Manage R&D projects: You'll coordinate and track R&D deliverables, monitor project performance, and provide regular reporting. Additionally, you'll act as the primary liaison between teams.
• PMO: You'll support product planning, maintain templates, and contribute to portfolio and program management methodology.
• External alliances and project management: You may participate in committees, alliance management, and implement corporate or functional area projects as needed.

What you'll need to succeed
As well as very strong communication and organisational skills, you should have:

• A track record of leading projects focused around at least one of: late stage / preclinical R&D, clinical studies, CMC, late stage development/commercialisation of drug candidates within the pharmaceutical, biotech or CRO industry
• A BSc (or equivalent experience) within a life sciences or business discipline, ec biology, chemistry, etc
• Excellent understanding of project and programme management principles, eg from having previously defined these for a business
• Experience in designing and implementing integrated product development and portfolio management processes
• The ability to work well within a cross-functional team framework and be highly delivery focused

Previous exposure to immunology projects is an advantage, but is not necessary.

Key Responsibilities:

• Managing and growing a team of Computer/Data Science, HPC and simulation-focused AI/ML experts as well as working closely with the Head of Data Solutions and other leaders/specialists.
• Developing and keeping up to date an engaging and empowering strategy and delivery framework for actionable, scale-out simulation and supporting data science/ AI/ML capability.
• Understanding, regularly monitoring and mitigating CSE risks within the Computing Division and across other divisions.

The ideal candidate will have or be:

• Proven Experience in people management for various teams of 20+ technology professionals and the ability to define and establish new capabilities and develop others as leaders.
• Ability to communicate, build trust and influence at all levels - from fusion specialists to central Government and the general public - this post holder will require confidence and be adept in presenting technological advances and business information at the highest level, attracting keynote presentations at the world’s most prestigious conferences, and communicating with the popular press to publicise our clients CSE mission.
• Experience in digital innovation in the fusion sector, in a national lab, university or pioneering SME esp. powerplant engineering design such as materials simulation, plasma simulation or the engineering design of complex, multi-physics, multi-scale strongly coupled systems.

The NDM Grant Management Team are an ambitious and supportive group, delivering high quality, professional project support across NDM. We have an exciting opportunity a Research Grants Manager to work alongside researchers at the leading edge of science in the largest medical department at Oxford, the Nuffield Department of Medicine, offering an excellent opportunity for career progression in Research Administration.

You will be responsible for the overall research grant management process of an NDM project portfolio including proactively meeting with any grant holders and their business manager within the allocated portfolio, actively managing the administration that underpins collaborations with other institution both in the UK and overseas, and providing additional support as required. You will be representing NDM at meetings to understand the broader research funding landscape and liaise with external funders, as required, and maintain an up-to date knowledge of major funding bodies terms and conditions.

This position also includes delivering training to relevant Professional Services staff as requested, and support with the ongoing training of Senior Grants Officer, Grants Officer and Apprentices within the team. You will implement processes and procedures within your portfolio to ensure compliance with University policies, and provide cover for other Research Grant Managers as required.

It is essential that you are educated to degree level or equivalent together with related experience ideally in the higher education sector or research environment. You will have a working knowledge of the major funding bodies, and of current issues affecting the research funding sector. You will have demonstrable skills in effective people management and the ability to support, develop and motivate staff. Additionally, you will have excellent numeracy skills, high level of accuracy and attention to detail. Prior experience of Oracle Financials software or other financial software is desirable.
