Administrator / Programme Team Support Administration Officer who has excellent organisational, time-management and administrative skills is required for a well-established organisation based in High Wycombe, Buckinghamshire.
SALARY: £23,000 pro rata
LOCATION: High Wycombe, Buckinghamshire (100% Office Based)
JOB TYPE: Full-Time, Temporary Contract (until March 2024)
WORKING HOURS: 37.5 Hours per Week

We have a fantastic new job opportunity for an Administrator / Programme Team Support Administration Officer who has excellent organisational, time-management and administrative skills.
Working as the Administrator / Programme Team Support Administration Officer you will primarily support the Building Futures Team to continue to deliver support to those people furthest away from the job market in Buckinghamshire.
Based in the office in High Wycombe, as the Administrator / Programme Team Support Administration Officer you will support the team with day to day administration duties needed to help deliver targets set out in the UK Shared Prosperity contract which will include:
• Providing cover and support to staff delivering short term courses and one to one support to Building Futures customers.
• Ensuring the office runs smoothly on a day-to-day basis
• Ensuring a welcoming and safe environment is maintained at all times.
• Coordinating, and often carrying out, health and safety checks across the organisation’s buildings

DUTIES
Your duties as the Administrator / Programme Team Support Administration Officer include:
• Support the team of talented individuals, staff and volunteers, who access or deliver the Building Futures project
• Provide administrative support to the Building Futures team, this includes occasional contact with customers and coordinating data required by contractors
• Be responsible for overseeing the cleanliness of the premises, ensuring the ‘green’ policy is followed and waste disposed of appropriately
• Overseeing the High Wycombe Rota, ensuring staff/volunteer cover is in place for all sessions
• Be responsible for setting up meeting rooms in preparation for Building Futures Groups, one to one meetings and other groups that use the space
• Have direct contact with the organisation’s IT company should any issues arise on site
• Oversee building management which includes external visits from gas/electric providers, cleaners, waste disposal, hygiene bins etc.
• Be responsible for the H&S (and fire safety) of the building in relation to carrying out weekly, monthly, and annual checks and reporting to the H&S lead for the organisation
• Ensuring that weekly and monthly checks are completed across the organisation’s sites and liaising with health and safety leads in these sites to report issues or maintenance needed
• Being responsible for maintaining adequate stock levels in the building including cleaning products, tea, coffee, stationery and general consumables
• Maintain the equipment inventory for the building
CANDIDATE REQUIREMENTS
• Administration experience
• Computing skills, including MS Office 365, Outlook & Microsoft Teams applications and the ability to learn new systems as required
• Knowledge of the potential barriers that client group could face
• Experience of collaborative working with others (volunteers, colleagues and other agencies)
• Knowledge of Health and Safety Practice and Risk Assessments within a relevant environment
• First Aid at Work qualification or willing to undertake
• Strong organisational, planning and time management skills
• Excellent interpersonal skills and ability to form effective working relationships with people from a wide range of backgrounds
• Ability and confidence to work unsupervised, problem solving and using own initiative as required
• Strong verbal and written communication skills
• Team player, able to work collaboratively with a range of internal and external colleagues
• The ability to listen to others and work in a non-judgmental way
• Be reliable and dependable
