Manpower is recruiting a Directorate Support Officer on behalf of our public sector client.

Location: Cwmbran
Job type: Temporary
Duration: 9 months with the possibility of an extension
Hours: Full time, Monday to Friday, 8 am - 4 pm or 9 am - 5 pm
Hourly rate: £11.67

The role
To provide comprehensive administrative support to the team and to be the first point of contact for any queries or request from both internal and external stakeholders.

Main duties and responsibilities

• Maintain and update calendars for the Service Manager and Operations Support Manager
• Manage incoming requests for information and respond to queries via telephone, email or direct communication
• Arrange and coordinate meetings, including booking rooms and setting up equipment
• Prepare and distribute meeting agendas and documents
• Take minutes during meetings and prepare formal records
• Organise and maintain paper based and electronic filing systems
• Greet and register visitors ensuring compliance with security protocols
• Management of incoming and outgoing mail.
• Co-ordinate travel bookings and accommodation for staff
• Typing, to include audio typing transcriptions

Requirements

• NVQ Level 3 in Business and Administration or equivalent experience
• Proven experience in using Microsoft Office (Microsoft Word, Excel, Teams)
• Experience of working in an administrative environment
• Experience in co-ordinating diaries/rotas and allocating tasks
• Advanced keyboard / Microsoft Word skills
• Team player and able to work as a part of the team

Operationally manage and lead designated areas of responsibility within the Complex Care Team . Responsible for the delivery of effective Performance Management, Service and Financial Framework Targets, Communication and Information Governance for the designated area of responsibility. Responsible for the line management of staff involving recruitment, appraisal, CPD and performance. Liaise with other senior managers and professionals to ensure the effective delivery of a safe and effective care within designated areas of responsibility within the Directorate. To lead on the development of designated business cases. Lead and support the Divisional Manager in effectively managing the patient pathway performance and service improvement within a Directorate. Be required to interpret and implement national guidelines & CHC Framework to ensure effective delivery of clinical services within areas of responsibility as well as interpret national policy relating to patient pathway and access targets and make recommendations to the Service Group on changes to ensure compliance.

An exciting opportunity has arisen for a forward thinking, dynamic Directorate Manager to join the Complex Care Team, Mental Health & Learning Disabilities, on a 12 month secondment.

As Directorate Manager you will be work closely with Associate Service Group Director and be operationally accountable for provision of key services within Complex Care and Long Term Care Service, being accountable and responsible for standards of care, environment of care, patient experience and care outcomes of patients, that we commission services for across a wider range of independent provider settings.

You will promote multi-professional and multi- agency team working to improve patient care pathways, lead and direct staff within the team on commissioning of services to meet the client needs.

You will actively contribute to the delivery of strategic, operational performance targets working within financial resources and ensuring management of resources relating to identified cost savings and efficiency targets and promoting innovative ways of working through further development of Complex and Long Term Care services. A background in management leadership and financial/ budgetary roles would be beneficial.

Strategic Management– responsible for development, delivery & monitoring of strategies for the complex care service, focusing on person-centred approaches to care to deliver a service that prioritises the care needs of patients & embodies the principles of prudent healthcare.

Performance Management -operational management, organisational & delivery of Complex Health Care across MH & LD Service Group

Finance Management- working within financial resources, ensuring breakeven on delegated budgets, including monitoring of cost savings & efficiency targets.

Service Delivery & Improvement - review delivery of services within service group & independent sector to maximise efficiency for patients & staff, ensuring effective financial management when commissioning services.

Communication & Engagement- build, maintain strong influential relationships with colleagues, staff, all stakeholders to enable the Service Group to develop a culture of collaborative working & commitment to delivering quality services & outcomes for patients, ensuring the patient’s voice is heard.

Information Resources- compliance with policies & procedures and support development of appropriate systems and clear processes to support effective and timely patient flow.
