JOB DESCRIPTION

Job Title: On-Line Testing Administrator

Grade: Band 4

Location: Churchill Hospital

Accountable To: Service Manager

MAIN PURPOSE OF POST
• To assist in the administration of the on-line testing service
• To provide excellent customer facing service at all times in the clinic's reception areas.
• To deal with patient enquires by telephone and face to face
• To provide a comprehensive administrative support service to the outpatients clinics

DUTIES AND RESPONSIBILITIES
• Coordinate requests from patients and clinical staff to book appointments into Inform and other systems at times appropriate to individual patient request, clinical priority and procedure using a knowledge of clinical procedures and booking systems to resolve appointment arrangement conflicts and minimise patient journeys.
• Maintain high levels of customer service, always delivering compassionate excellence.
• Provide appropriate information and instructions to patients and carers and to healthcare staff regarding a range of sexual health department procedures.
• Enter relevant clinical and demographic information into clinical database system (Inform) or other clinical data systems.
• Arrange patient transport/translators where appropriate in line with Trust protocol.
• Take part in the roster for the receptions of all clinic locations* welcoming patients and ensuring they are checked in and out of clinic in a professional and courteous manner.
• Ensure that all appointments are checked in and out and that appropriate coding is completed to ensure Trust income is secured.
• Ensure patient clinic lists are checked prior to the start of clinic paying particular attention to young people attending the Service.
• Contribute to the development, maintenance and implementation of local policies and operating procedures.
• As necessary and appropriate, demonstrate skills to new and junior administrative and clerical staff.
• Assist with the maintenance of stock control for consumables used in the department.
• Contribute to and assist with generalad hocoffice management procedures.
• Maintain confidentiality of all patient information.
• Promote and maintain personal and team development.

GENERAL RESPONSIBILITIES
• To show flexibility should the need arise in covering for other personnel and on different sites when on planned or unplanned leave and to ensure that reception is always covered during hours of opening.

• To keep up to date with all core skills training

Medical Staffing Workforce Coordinator

We are seeking to recruit aMedical Staffing Workforce Coordinator to deliver an efficient and effective recruitment and advisory service for Medical Staffing team supporting the wider organisation.

We need a talented recruiter to attract the right candidates and ensure they are onboarded efficiently while maintaining our high standards of safety and care.

The post holder will be responsible for day to day management of the Medical Recruitment team whilst providing expert advice to all stakeholders and customers.

The role will also support colleagues with the professional administration support for the Consultant Recruitment process, providing expert advice and support during the Advisory Appointment Committee (AAC) for the Trust.

Our Medical Staffing Recruitment team are responsible for the recruitment of all medical staff who come into our Trust, the team work hard to give everyone an excellent experience when they apply to us for employment, and to fill our vacancies swiftly and safely, making a real difference to our front-line staff.

To ensure all directorates in the Trust have the provision of expert advice from medical staffing advisors/recruitment assistants on all medical workforce issues relating to policies and procedures.

To ensure timely completion of employee appointment, amendment and termination forms in order that the payroll department has the correct information pertaining to medical staff. Liaising with payroll department where required

Work in conjunction with Consultants and Divisional teams to proactively plan the recruitment of Resident Doctors. Career Grades ensuring that the medical establishment is kept up to date.

Produce timely relevant reports, information and statistics and contribute to the development of appropriate Key Performance Indicators relating to medical staffing

Attending and participating in meetings as appropriate. These include (coordinating where appropriate) the LNC (Local Negotiating Committee), Medical Managers, Rota Working Group. eTechnical / Clinical Oversee and be responsible for all of the work produced within the setting of the Maxillofacial Laboratory. Use judgement and analytical skills to interpret, understand and to assess suitability of requested work and then provide options where necessary. Offer expert opinion on current technological advances and their application to current or future practice. Liaise with senior clinical staff and undertake highly specialised complex Orthognathic Surgery planning and surgical splint construction for Maxillofacial Surgery. Including model planning and model surgery for mandibular maxillary and bi-maxillary procedures. Organising case conferencring between the post holder and orthodontic and maxillofacial consultants leading to the design and construction of splints, surgical wafers and other associated appliance for orthognathic surgery. Oversee and participate in the prosthetic restoration and management of patients with severe disfigurement following surgery or trauma. To design and manufacture appliances involved in the treatment for syndromic patients, particularly cleft lip and palate, patients with temporomandibular dysfunction and speech therapy techniques. To design and manufacture the complete highly complex range of fixed, removable and functional Orthodontic appliances, intra-oral and extra-oral attachments. To design and manufacture fixed/removable restorative dentistry including implant planning and provision. Undertake intra-nasal sectional impressions and subsequent manufacture of septal restorations/obturators for patients under general anaesthetic. Delivery of digital hub in for all referring hospitals in the BOB STP area including surgical planning and guide delivery for OMFS, Restorative Dentistry, ENT, Plastics and Craniofacial Surgery. This includes the design and delivery of cranioplasties, mid-face implants and orthognathic planning for complex surgical cases. Management and development of digital orthodontic service including model storage and digital surgical planning and case prototyping. Management and delivery of a regional maxillofacial prosthetic referral service. Design and manufacture prototype devices and medical equipment as a result of collaboration and research with other Departments. To give technological assistance and advice in surgeries, operating theatres and wards as necessary. To undertake work from other clinical specialities within the Trust. To operate complex specialist equipment. Competent in the use of specialist equipment e.g. high speed grinding, trimming and polishing for prolonged periods with intense concentration and using high levels of eye hand co-ordination. Use highly developed skills of manual dexterity such as accurately bend and adapt specialist wires whilst working to very fine tolerances. Competent with a wide range of chemicals, specialist dental materials that require an understanding of the materials science of such products e.g. methylmethacrylate monomers and polymers. Will be required to lift weights, including and up to 25kg (with help if necessary). Over 25kg with the use of mechanised lifting equipment. This activity may happen up to 10 times a week for short periods. Be able to stand or sit for prolonged periods in restricted positions e.g. standing whilst casting impressions, trimming models, polishing appliances using machinery for grinding and polishing. The post holder can be expected to be exposed to respiratory irritants and moderate levels of dust which is unavoidable but controlled and monitored.
