JOB PURPOSE/SUMMARY To undertake administrative duties at ward level including the accurate and timely recording of patient activity data on Trust systems. To undertake clerical and related duties on the ward and enable Sister/Charge Nurse and other ward staff to concentrate more freely on direct patient care. This will involve considerable liaison with other departments and wards on behalf of the ward staff. The jobholder will contribute to the maintenance of an environment for effective care. The jobholder will work within both J95 + J96. J95 is an acute assessment area seeing around 20-30 patients per day and J96 is an area caring for 22 in-patients. JOB PURPOSE/SUMMARY To provide a comprehensive and high quality medical secretarial service to support clinical teams (Consultants, their medical teams e.g. junior medical staff or specialist nursing staff as appropriate) in delivering high quality care to the patients of Leeds and beyond. This role will additionally make a key contribution in improving the patient experience by supporting Directorate teams with the movement of patients through their 18-week pathway or other national waiting time standards as appropriate. Ensure that health records are tracked on entering and leaving the Department and stored in an appropriate manner in line with Trust Policy and patient confidentiality. Ensure that health records are maintained to a high standard at all times. All documentation and investigation results must be securely filed in the correct section in chronological order. Support Data Quality Indicators by ensuring that patient information is accurate and updated on relevant paper and computerised systems. Access information systems to obtain clinical information as required by the medical teams including investigation results or other information e.g. from results server, PPM or WinDIP. Work as part of the team to ensure that all phone calls are answered within the department during core office hours. Provide information to PSC/Assistant PSC, as appropriate, relating to workload and work outstanding. Provide cover for other team secretaries/clerical staff when on annual leave or sick leave. Obtain a set of case notes for every patient attending specified clinics. Prepare case notes to ensure they are tidy and contain complete information including a referral letter, up to date results, patient labels and blank continuation sheets. Where patients have had a test or and an X-ray prior to their clinic appointment, the results should be traced and obtained and made available at clinic. Ensure all case notes are tracked to the appropriate location using the Case Note Tracking functionality on PAS and hand written logs where necessary. Provide a professional, efficient and friendly reception service for patients and relatives attending clinics. Ensure patient information is accurately recorded on PAS including attendance, cancellations and Do Not Attends. Clinic outcomes should also be recorded in accordance with the Trusts policy and procedure. Ensure all follow up clinic appointments are either booked on PAS or added to the appropriate outpatient waiting list. Collect additional information as requested, with the aim of monitoring the quality of the service provided in accordance with the Trusts Performance Management Framework. Obtain information on each patient attendance and in a timely manner accurately record on the Patient Administration System in line with Trust Policy. Respond to the receipt of test requests and follow-up, where appropriate. Provide suitable cover for other clerical staff in cases of absences, as delegated by the Assistant Patient Services Co-ordinator. (1) Advises regarding the practical and technical aspects of office administration, to include budgeting, purchasing, supply, personnel, word processing, and files management; and performs staff support work in each of these areas.

(2) Updates the office's supply sources; purchases supplies, equipment, and services through open market purchase by blanket agreement, cash or field purchase order, or similar methods; processes and tracks purchase documents;

(3) Collects data for the office-operating budget, reviews submissions for proper format and compliance with budget requirements, and consolidates material into an annual office budget.
