The post holder will be proactive in organising the full range of administrative/secretarial support to the Care Group Senior Management Team: Care Group Director, Deputy Care Group Director, Director of Nursing and Director of Psychological Professionals and Medical Director. They will provide PA support to the Senior Leadership Team in relation to their corporate activities within the Care Group maintaining the highest degree of confidentially at all times.
• Ensure the provision of a comprehensive administrative / PA service to the Care Group Senior Management Team prioritising workload and forward planning as necessary.
• Production of confidential correspondence, reports, presentations, minutes and agenda, etc. which may emanate from written drafts or be self-drafted, using Microsoft Word, Excel and PowerPoint. Create databases and spreadsheets as required. Ensure copying and distribution of relevant documentation is undertaken in a timely manner.
• Oversee the receipt and recording of incoming correspondence and emails, identifying urgent matters and bringing them to the attention of relevant managers. To draft responses to correspondence as required and action responses to routine mail - distributing information to managers and departments as appropriate.
• Arrange, attend and minute both formal and informal meetings as requested by the Care Group Senior Management Team.
• Maintain and develop department filing, archiving and records systems. Devise procedures to cover administration processes. Ensure effective use of the department ‘bring forward/reminder’ system.
• Act as first point of contact for the Care Group Senior Management Team; assess appropriate referral/action in the absence of senior colleagues.
• Initiate action as appropriate on behalf of the Care Group Senior Management Team in response to telephone, e-mail and direct enquiries.
