Providing scalable, quality conveyancing support and services to buyers and sellers across the retail residential market, the Legal Delivery team works across all states in Australia and includes a large team of operational specialists in the Philippines.

We are seeking for a Admin Officer to work as part of a team providing service and support to Client Services team through lead conversion, assisting Lawyers in preparation of contract review, assisting Paralegals and Australian clerks in accomplishing some clerical works from matter creation to settlement.

Duties include:

• Opening files for Client by creating matters and do basic checking of the contract and client details based on the procedure
• Manages contract review calendar booking
• Assigns matter to file handlers based on their daily capacity
• Prepares contract review for the Lawyers
• Carry out administrative duties such as partial data entry and forwarding of emails to file handlers
• Report to and update the leader of any issues encountered by the team for resolution
• Ensure tasks are verified and completed in a timely manner
• Participates in the investigation of the problem and implementation of actions 
• Ensure compliance with the procedures
• Perform other tasks assigned by Management

Your assignment

• You will be reporting to the Payroll & HR Admin Manager, Philippines

• You are responsible for the centralised payroll and salary administration of co-workers; manage the year-end income tax activity and 13th month reporting with DOLE.

• You ensure payroll & HR practices are in compliance to the national legislation and timely submission of statutory related documents.

• You will participate on payroll audit and support the rewards team in external compensation and benefits-related surveys for market benchmarking.

• You will be involved in both HR Admin activities, from data management, recruitment, on boarding, benefits administration to off boarding and work-pass related matter which includes mobility support for our co-workers in Service Office.

• You will participate in continuous improvement projects related to payroll and HR Admin matter.

• Monitor and manage surveillance equipment and database, including:
  • Access control systems: ID card management, access control data report
  • Space management systems: tool management, space & seat management
  • Security camera system
• Enforce company policies and procedures to maintain a safe and secure environment
• Involve in internal/external audits and support to fulfill findings/ reports
• Support team activities/events
• Other tasks as assigned

The Reinsurance Administrator will assume responsibility for all aspects of administration for the reinsurance accounting team.

Job Responsibilities

• Triaging of technical accounting inbox
• Prepare claim payment packs
• Cash identification and logging in finance system
• Save support for all cash transactions.
• Investigate and solve cash queries.
• Monthly reconciliation of cashbook to the bank.
• Support the reinsurance accounting team in their management of their portfolios.
• Correspond with clients and internal stakeholders to complete administrative tasks (e.g. complete forms, provide required documentation ,tax certificates).
• Complete call back procedures for new bank details
• Review excess of loss contracts against the underwriting system and save down paperwork.
• Other projects and/or tasks as required

Drawing on your existing experience in Corporate, Company or Fiscal law you will be responsible for coordinating the day to day administrative and legal formalities for our varied and complex client portfolios. This will include regulated and unregulated real estate and corporate entities including funds, trusts and companies.

You’ll be highly organized, pay close attention to detail and know your subject matter as you will be dealing with queries relating to account opening, acquisitions, board resolutions, official publication and filing, notarial and private deeds, incorporation and liquidations.

You will build strong customer relationships with existing and new clients, banks and other external parties, gaining insight into their needs and delivering customer-centric solutions also ensuring we meet our legal and contractual requirements.
