MAJOR DUTIES AND RESPONSIBILITIES:

Performs a combination of record keeping, reporting and liaison (family and program) duties in one or more CYP component. These tasks are summarized below.

RECORD KEEPING AND REPORTING:

Prepares and maintains assigned correspondence, office files, records, statistical and financial data pertaining to CYP components (CDC, SAC, FCC and YP). Prepares required daily, weekly and monthly reports in compliance with reporting policies and procedures and ensures submission in a timely manner. Ensures required child registration and enrollment paperwork is current and complete. Provides required information to requesting agencies. Operates technology, associated office equipment and a wide variety of software programs to produce a correspondence, spreadsheets, charts, reports and graphic materials. Proofreads prepared correspondence and checks for accuracy. Conducts research of files and records in order to resolve discrepancies. Notifies supervisor of discrepancies, to include any issues/ problems that cannot be resolved. Organizes flow of operational program processes in an office environment.

LIAISON WITH FAMILIES AND PROGRAMS:

Provides front desk coverage and logs participants in and out of the facility. Informs and answers questions regarding programs and services, patron financial obligations, waiting lists, events, and policies and procedures. Asks questions to determine, verify and solve problems. Checks for satisfaction on the quality of provided services. Takes action to solve problems quickly. Takes telephone calls and responds to inquiries, referring calls to supervisor or other personnel as appropriate. Performs assigned resource and referral duties and assists in maintaining current waitlist is needed. Understands and articulates policies relating to patron fees, waiting lists, and program events. Alerts supervisor or proper point of contact for assistance as needed.

FEES AND SUPPLIES:

Oversees administrative management of the reception area to include the operation of an automated record and payment system. Collects fees, administers charges, and records payments in accordance with proper procedures. Notifies supervisor of delinquent payments. Completes a daily activity report and ensures proper deposit of funds in accordance with established cash handling procedures. Receives annual cash handling training from local Human Resource Office. Responsible for monitoring front desk supplies and resources; notifying supervisor of items to be replenished.

ADDITIONAL RESPONSIBILITIES:

Provides World Class Customer Service with an emphasis on courtesy. Performs other duties as assigned. This is a white-collar position where occasional lifting up to 20 lbs may be required.  Serves as a mandatory reporter to Family Advocacy and Child Protective Services as prescribed by policy in the case of suspected incidences of child abuse and neglect. 

• Receives telephone calls and visitors to the clinic, determines the nature of call or visit, obtains identifying information, and verifies the patient's eligibility for treatment. and updates the existing medical record or prepare new record.
• Schedules appointments, completes the client admission forms. Screens/Updates the existing medical record or collects sufficient information to prepare new record. Reviews discharge information or handouts with client.
• Maintains clinic exterior, reception area and exam rooms to ensure general cleanliness (to include cleaning urine, feces and blood). Dispenses medications, annotates prescriptions and refills prescriptions accordance with polices and procedures
• Completes bi-weekly payroll reports. Prepares and submits required end of month reports. Assists with preparation of the yearly clinical budget. Initiates personnel actions at the direction of management. Monitors and replenishes inventory.
• Receives payments for services rendered. Balances cash and checks daily; makes daily bank deposit. Monitors and replenishes inventory. Serves as clinic ordering official and Government Purchase Cardholder. Processes purchasing documents.

What to Expect

• Coordinates and performs a wide variety of responsible administrative functions in support of upper level management functions. Organizes flow of operational program processes in an office environment.
• Advises staff on development and implementation of local administrative directives and procedures. Develops internal policies, procedures and work methods affecting administrative management operations.
• Ensures compliance by managers and supervisors by reviewing and revising studies, reports, correspondence for accuracy and format. 
• Uses a personal computer to transmit correspondence, create reports, databases, spreadsheets, graphics, slide shows and presentations.
• May perform support functions such as gathering statistical data; monitoring and reporting on support budgets; assisting in developing financial plans, obligating funds, liquidating travel claims; maintaining stock of office supplies, making arrangements for special events; collecting and reviewing section timecards for supervisor's signature, preparing and conducting briefs, presentations and training sessions; monitoring and distributing personnel paperwork such as selection and recruitment requests, personnel actions, training notices, performance reviews, position descriptions, individual development plans.

As an ADMINISTRATIVE ASSISTANT, GS-0303-7, you will advise regarding the practical and technical aspects of office administration, include budgeting, purchasing, supply, personnel, word processing, files management; performs staff support work in each of these areas; update the office's supply sources; purchases supplies, equipment, services through open market purchase by blanket agreement, cash/field purchase order, or similar methods; process/track purchase documents; collect data for office-operating budget, reviews submissions for proper format and compliance with budget requirements, consolidate material into an annual office budget; serve as the Records Management Coordinator for the organization; collect operations maintenance and logistics program information from personnel, enters it into electronic or manual information systems, search for it as requested; schedule use and maintenance of computer equipment; enter/retrieve information from a variety of systems; help field office employees to use the various computer systems; serve as the focal point for all personnel actions in the organization; initiate personnel actions as needed to include performance evaluations, standards, job announcements, SF-52 actions; accomplish travel arrangements for the office to include travel/ hotel reservations, travel orders, coordinate visits; prepare/monitors appointment/delegation letters and other additional appointments for all subordinate activities; coordinate joint directorate inspections such as NGB, Army IG, Army Audit Agencies, other external agencies; assist in the development of policy letters, which may require researching applicable directives from higher authority, to ensure that no conflict will result from issuance of new policy; work require general knowledge of the operations, maintenance, and logistics mission and functions of the facility; understanding of how the office's various administrative services relate to one another and to the office's mission; contact are with co-workers/managers in the organization for which services are performed, staff specialists at higher echelons; knowledge of OA systems to use several types of software for various work needs; supervise/control access to SIPR data equipment, assists the TACOPS officer with access rosters, management and security of all classified documents; remodel projects through AGAV/JFHQ offices, Repairs of facility, OSHA inspection, ARMS Inspection (FORSCOM), Environmental (EPA).
