• To provide administrative cover for the ward, and to perform general receptionist duties
• To provide clerical assistance to the senior sister and Matron.

Managing reception desk as the ward receptionist:
• Welcoming patients and relatives to the ward and undertaking administration duties.
• Answering the ward telephones timely and relating information accurately.
• To answer telephone queries of a non clinical nature.
• Admit, discharge and transfer patients on EPIC.
• Responsible for data entry.
• Act as the EPIC superuser for the ward.
• Maintain all the patient boards with the appropriate consultants names.
• Assist with the completion and collation of menus when required.
• Any other duties as requested.

Obtain, transmit and save information relating to the delivery of a care service:
• To ensure the admission and discharge book is updated daily and liaise with ward staff to resolve any issues that may arise.
• Assisting with data collection as required for the purpose of audits as required.
• Assist the ward staff with collecting information for the friends and family and patients survey.
• Collect and deliver the ward post daily.
• Undertake administrative duties for Ward Manager and Matron, general typing – letters, references, documents, notices for the ward, photocopying etc.
• Carry out other duties required by the Matron commensurate with the grade

To provide clinical administrative support to the Consultants and their junior medical staff, ensuring that Trust standards are adhered to in relation to all documentation and data input concerning patients and treatment.

To provide an efficient copy typing and word processing service for GPs and health professionals as required. This includes the typing of letters, reports, patient referrals, minutes, memorandums, etc. in an accurate and quality manner. Sourcing /confirming referral routes where necessary. To read through referral forms to check reason for referral and ensure all necessary tests are completed and attached to the referral. Checking worklists on eRS to ensure advice and guidance, referrer action required and referral status are actioned. To process EMIS tasks, emails, workflow, Lexacom, eReferrals, within timescales. To attend meetings and take minutes on a rotational basis within the team. To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries. Building good working relationships with secretaries in all specialities at local hospitals. To provide cover for members of the secretarial team during periods of sickness and annual leave. Checking Docman for tasks and action and complete. Follow up on letters sent to consultants by clinicians advice and guidance, request for appointments etc Check the telephone list on EMIS and ensure patients are called back within a timely manner on the same day. An exciting opportunity has arisen for a Clinical Admin Officer to join the Obstetrics & Gynaecology Clinical Admin team at Frimley Park Hospital. Accuracy and attention to detail are a must. • To provide an administrative service to the Department.
• To plan and organise own work schedule with the use of appropriate planning aids, demonstrating good time management and ensure anticipated difficulties in meeting deadlines are promptly reported.
• Deal with Consultants requests for actioning urgent correspondence, medico-legal reports and any other appropriate adhoc correspondence requested in line with the Trusts policies and procedures.
• To obtain and organise information in support of own work activities, maintain confidentiality in accordance with organisation procedures.
• Answer queries from colleagues, GP’s and patients in a timely and professional manner.
• To ensure that secure systems are in place for the storage of all resources including computerised information.
• Scanning and uploading relevant patient medical documents into the Trust’s Electronic Patient Record system.

Adding / removing / dating patients on the Patient Management System and ensuring that patients are booked in accordance with the Trust Access Policy. Ensuring all records and referrals, both automated and manual are promptly and accurately filed and maintained. Communicating with patients efficiently and courteously to arrange, modify or cancel appointments. Generating patient admission letters from the computer system and updating records according. To adhere to the Trust Access Policy when patients do not keep appointments, or wish to delay appointments or treatment. To arrange pre-operative clerking appointments and to ensure all relevant information from the waiting list card is communicated. To ensure that the pre-admission assessment clinic is fully utilised and to co-ordinate and liaise with the relevant staff. To ensure patients medical notes are requested and obtained in time for pre-operative appointment and/or admission. To ensure that all PAS transactions are completed in accordance with the Trust Access Policy e.g. refusals/cancellations etc. Conduct regular reviews of suspended patients and action appropriately. Regular review of daily PTLs ensuring that patients are treated in accordance with Trust policy on waiting times. To ensure that the TCI lists are printed and distributing weekly. To input patient data into IQ Utopia, ensuring that all patients are entered in a timely manner. To conduct daily checks to ensure that all patients have had their planned procedure. To inform appropriate personnel of any patients who have been cancelled on day, ensuring correct COD code has been used. Ensure patients are re-admitted in accordance with the COD Policy.
