• Support to the COE Director, liaising and co-ordinating various activities.
• Be responsible for production and distribution of various reports.
• Assist the Business Finance Director responsible with the organisation & preparation for the Finance Training Day
• Management of various pre-qualification portals, including Achilles and Construction Line and all business opportunities relating to them.
• Cash allocation activities including credit card payments.
• Design, develop and maintain several Sharepoint sites to a high standard.
• Manage all administration for Finance students undertaking CIMA, ACCA & AAT. This will include training agreements, booking forms and student tracking information.
• Manage all invoice coding and checking relating to Finance training.
• Ad hoc communications (internal and external).
• Management of various functional mailboxes.

What you'll need to succeed
You will need to be highly organised, efficient, influential and confident to handle a variety of tasks whilst working without line management supervision. This role will suit someone with experience as a PA/EA/Office Manager/Senior Administrator with strong experience and the gravitas to manage a busy, complex and challenging role. As the role is remote working, with travel to Worcester once a month, you will need to be confident working from home and able to manage your time well.
Essential criteria for this role:

• Microsoft Excel - advanced level, in order to manipulate data for reporting purposes.
• Microsoft Outlook - intermediate level to organise, respond to and archive incoming and outgoing messages.

PRIMARY DUTIES & AREAS OF RESPONSIBILITY Register new patients on iPMS (Information Patient Management System), ensuring double registration does not occur. Maintain out-patient follow-up waiting lists. Ensure that all referrals are put onto iPMS following the guidelines set out in the Trusts Access Policy. Ensure Choose and Book patients are correctly appointed on iPMS and send confirmation letters to the patient. Prepare hospital notes for clinics in line with Trust Waiting List and Directorate Policies. The LD&A directorate provide a range of services for children and adults with a learning disability, including specialist multi-disciplinary community services, intensive support services, specialist respite services and inpatient assessment and treatment services. The multi-disciplinary, Intensive Support Team provide a highly specialist service for with adults in Coventry, Warwickshire & Rugby who have a diagnosed Learning Disability who may also be Autistic as well as other complex needs. People are referred to the team for highly specialist, intensive intervention around mental illness and /or behaviours that may be challenging. The team work collaboratively with the core Community Learning Disability team colleagues, , trust mental health colleagues, social care, families, carers, Commissioners and private care providers. The services primary purpose is to provide person centred clinical interventions to avoid inappropriate admissions to mental health and specialist hospitals. Also, to support successful discharge for clients from those hospitals back into the community. Coventry and Warwickshire Partnership Trust provides a full range of expanding physical, mental health and learning disability services to children, young adults, adults and older adults over many sites across Coventry, Warwickshire and Solihull. An exciting technology service provider within the entertainment industry based in Solihull is currently looking to recruit a Temporary Accounts Payable Clerk to join their team. This would suit someone who has strong Accounts Payable experience.

Your new role

• Day to day processing of purchase invoices
• Ensure that invoices are authorised for payment by relevant department managers and matched to Purchase Orders.
• Ensure that invoices are recorded and entered on the Sage 50 system using appropriate account codes and that payments are posted on the system accurately.
• Dealing with all enquiries related to invoices/payments, answering telephone calls and emails, and liaising with relevant departments as necessary to ensure enquiries are dealt with in a professional and timely manner.
• Assist in the management of the shared AP inbox.
• Set up new supplier accounts and amend existing supplier details as and when required.
• Reconciliation of supplier accounts as well as identifying and correcting accounting errors.
• Assist with period end close activities

• Good IT skills and knowledge of using Excel and accounting software.

Key Tasks: To work with the Cluster Pharmacists and GPs to carry out Medication Reviews To work with GPs and practice staff to ensure that all repeat prescriptions produced at the practice are ready within 2 working days of request including My Health Online requests To work with the Prescribing Hub to ensure that all repeat prescriptions requests are issued if appropriate and ready for collection within 3 working days To deal with patient and staff queries via the phone line or front desk in a timely manner To carry out any Audit work deemed necessary by the practice around medication or clinic work. Transcription and production from digital dictation of typewritten reports/correspondence, using word processing packages, for the medical teams, which may include outpatient reports, detailed discharge summaries, operation notes and other relevant clinical and non-clinical correspondence. This may include correspondence that is time-sensitive (such as complaints) ensuring information is dictated and typed within any designated time limits. Type medico-legal summaries, maintain medico-legal files and liaise with legal department in respect of medico-legal cases. Manage patient investigation results effectively including maintaining systems for monitoring and retrieving outstanding investigations and responsibility for chasing up missing/delayed results. Retrieve patient results from Cerner/ICE systems. Check any external incoming laboratory/radiology results, ensuring that abnormal results are communicated promptly to appropriate Clinician/Nurse. Will be required to instigate appropriate referrals to other disciplines in respect of specific abnormalities in line with Departmental protocols. If required ensure reports are seen and signed by Clinician/Nurse prior to filing in case-notes. Ensure that patient encounters are closed where appropriate following admin paperwork. Process patients discharged from hospital; where standard letters have been generated at ward level, ascertain from electronic patient records whether any supplementary letter/action is required and deal with appropriately. Ensure that follow up appointments or referrals to other specialties are arranged where necessary. Ensure that relevant investigation results received after patients discharge are communicated to GP where appropriate, particularly where treatment may be required. Input and extract data from electronic patient record system (Cerner) and other relevant software programmes, which may be Trust-wide or specialty-specific. Provide appropriate cover by operating a buddy system for colleagues during periods of absence to ensure effective cross-cover is maintained within the directorate.
