**Job Title:** Property Administrator

Job Overview:

We are seeking a motivated and detail-oriented Property Management Assistant to join our team. This role is primarily administrative but also involves traveling for property inspections, viewings, fire safety checks, and maintenance site visits. The ideal candidate must have a valid driving license and be comfortable working both in the office and on-site. You will be responsible for ensuring smooth property operations, supporting compliance, and maintaining strong tenant and landlord relationships.

**Key Responsibilities:**

Property Inspections & Viewings:

⦁ Conduct regular property inspections and viewings.
⦁ Perform fire safety checks and ensure properties meet compliance standards.
⦁ Attend maintenance site visits and check work progress.

Administrative Duties:

⦁ Raise tenant invoices and prepare Section 13 (S13) rent increase notices.
⦁ Manage utility accounts, including entering meter readings and printing invoices.
⦁ Regularly update property management software, ensuring all data is accurate and organized.
⦁ Organize and tidy up software records related to tenants, landlords, and property compliance.
⦁ Liaise with landlords regarding compliance certificates (e.g., gas, electricity, fire safety) and ensure they are up-to-date.

Maintenance Coordination:

⦁ Take and log meter readings during property visits.
⦁ Raise work orders for necessary maintenance tasks and coordinate with contractors.
⦁ Monitor and track event dates (e.g., lease renewals, inspection schedules, certificate expirations) to ensure timely action.

Tenant & Landlord Communication:
⦁ Address tenant and landlord inquiries in a professional and timely manner.
⦁ Coordinate with tenants and landlords to resolve issues, schedule inspections, and provide updates on maintenance or compliance matters.

**Requirements:**

⦁ Valid UK driving license (essential).
⦁ Previous experience in property management, real estate, or a similar administrative role is preferred.
⦁ Strong organizational skills and attention to detail.
⦁ Excellent communication skills, both written and verbal.
⦁ Ability to work independently and manage multiple tasks simultaneously.
⦁ Proficiency in property management software (training can be provided).

About the role

To undertake extensive building contract administration, the preparation of legal contract tender documentation, specification, supervision and monitoring of capital contracts for Council owned Housing.

To carry out inspections of void and tenanted properties to agree work specifications.

Responsibilities

• To undertake feasibility studies and stock condition surveys, and to prepare specifications and schedule of works for possible remedial works.
• To provide regular updates of expenditure on capital budgets and performance of the services and to maintain financial and statistical records for all capital works including any special projects.
• Monitor and supervise contractors to ensure an effective and efficient delivery of work/contract
• To prepare and present regular progress and performance of contracts following monthly contract meetings
• To be responsible for dealing with any customer complaints and undertaking the necessary action
• To assist in the identification of properties and schemes requiring future planned maintenance programmes including carrying out stock condition surveys.

About the role
The post holder will be responsible for the development of appropriate contract documentation, procurement of goods, services and works contracts across Housing Property Services. With the delivery of these contracts the post holder is responsible for the financial measurement and valuation of works, preparing interim payments and final accounts together with all necessary project related financial reports.

Responsibilities
* To prepare contract documents (Tenders, Bills of Quantities, Work schedules, Specifications and Schedule of Rates) and to procure goods, services and works contracts. This will include participating in the evaluation of tenders and reporting on the outcome.
* To undertake site measurement and the valuation of works undertaken including the preparation of payment notification and all relevant associated documentation.
* To prepare and agree costs for variations and non-standard items of work.
* To prepare, analyse and agree claims and final accounts.
* To produce relevant financial reports for projects and contracts.
* To maintain knowledge of standard methods of measurement and standard forms of contracts.
* To assess, collate and present leaseholder contributions together with relevant service charges and conduct a review where required.
* To assist and prepare any relevant returns associated with Government or Regulator requirements including external funding providers.
