The work of the Medical Support Assistant (Advanced) impacts the administrative aspect of patient care including access, scheduling/coordinating appointments using approved clinic access principles, patient processing, and customer service. Duties include but are not limited to:

• Plays an integral role in identifying and developing ways to resolve problems with the administrative and clinical staff related to access, customer service, patient flow, etc.

• Screens each consult request to the Non-VA Care Coordination Program and/or the Choice Program to determine patient's eligibility status, technical completeness, accuracy and urgency of request.
• Serves as primary administrative contact and process expert related to the EL Paso VAHCS NVCC and Choice Program
• Serves as a trusted resource for patients who are receiving Non-VA care.
• Provides accurate information related to specific Non-VA providers (location, office contact, etc.), the NVCC or Choice process, as well as basic payment and authorization information, etc.
• Establishes constructive and effective working relationships with the office staff of NVCC providers to effectively schedule appointments, resolve issues, and ensure ongoing patient (and vendor) satisfaction. Maintains these relationships through ongoing customer service activities, problem resolution, and timely response to requests.
• Communicates with Non-VA care providers to identify clinic and specialty availability.
• Shares this information with NVCC RNs, El Paso VAHCS providers and clinic staff to ensure appropriate and timely coordinate of care.
• Ensures special instructions or requirements for each request are clearly outlined prior to submitting to the Non-VA care provider or Choice contractor.
• Identifies and provides any supporting information or documentation needed for each consult.
• Utilizes extensive knowledge of NVCC vendor availability, specialties and expertise, the patient's home address, desired date of service, and any special needs or requirements before submitting requests to Non-VA providers or the Choice contractor.
• Determines the appropriate category of care, period of authorization, fund control point, and dollars to be obligated for each request.
• Clearly outlines the authorized services (procedure, exam, test), and approved number of visits.
• Ensures authorization is transmitted to the identified Non-VA care provider.
• Provides information and education to Non-VA staff regarding the NVCC and Choice Program.
• Provides extensive information and education to VA clinical and non-clinical staff to promote understanding and compliance with program requirements and time frames. Examples include required supporting documentation for each type of request (i.e., current/previous MRI or imaging studies for mammogram or neurosurgery requests, current lab values for CT scans, biopsy results for radiation oncology requests, etc.)
• Schedules non-count Non-VA care appointments using VistA scheduling options.
• Complies with mandatory training requirements for outpatient scheduling process.
• Completes the scheduling process by checking out patients once appointments have been completed.
• Collaborates with vendors to resolve issues related to these areas.
• Ensures accurate accounting of released records in accordance with Privacy regulations and requirements.
• Receives results for NVCC consults. Notates receipt on the appropriate consult and scans results into the patient's record, ensuring accuracy in attaching the results to the correct consult, etc.
• Assists providers in obtaining results when timely receipt is critical.
• Participates in meetings to identify and resolve issues that impact continuity of care for patients who are receiving Non-VA care.
• Identifies issues for process improvement and actively participates in service or center-level process improvement activities/teams.

Major duties include:

• Program administration and clerical needs of the Nurse Education Program, i.e. Basic Life Support/Advanced Cardiac Life Support Program (BLS/ACLS), Nurse Call, Safe Patient Handling Program, and the nursing educational needs for the El Paso VA.
• Responsible for the coordination of administrative duties for the Nurse Education Program in an effort to guarantee the primary goal of optimally ensuring the certification of all the BLS for Healthcare Providers, BLS for Heart Saver and Advanced Cardiac Life Support is obtained.
• Coordinates course for Basic Life Support (BLS) Certification; scheduling the classes, managing instructor and participant schedules, obtaining required supplies, and distributing required materials for the courses.
• Orders and maintains an adequate supply of training resources (e.g. space, textbooks, equipment and supplies)
• Responsibility for managing the Nursing & Patient Care Services Website, uploading documents and updating material on the internet.
• Responsible for recording committee minutes, ordering office/medical supplies, placing work orders, and assisting with filing and record-keeping.
• Serves as the initial point of contact via phone, or face to face encounter, using accepted, first-rate customer service techniques.
• Responsible for fostering and maintaining good public relations which requires a considerable amount of tact, diplomacy and a genuine concern for BLS instructors, veterans and VA staff and their problems.
• Receives phone calls and determines the nature of their needs, questions or complaints and answers questions, provides information, if appropriate or refers them to the Nurse Educator, or re-directs the call as needed.
• Organizes and coordinates obtaining education material for in-servicing employees.
• Monitors resource levels of all office supplies and utilizes them prudently.
• Attends staff meetings, prepares meeting agendas, reports, and minutes.
• Utilizes the TMS system as a Tracking System to ensure that all employees who are required to be BLS, Heart Saver, or ACLS certified are up to date.
• Assists with responsibility for serving on various committees and performing other administrative duties, such as recordkeeping, filing, tracking, data gathering, coordination, and documentation in support of and in an effort to extend the ability of the Nurse Educational Program.
• Will use Microsoft Word, Excel, PowerPoint and Outlook to coordinate and schedule certification courses, other nurse education activities/programs, and meetings.
• Edits and composes letters and reports for the nurse education program.
• Processes incoming and outgoing material.
• Researches medical references and retrieves appropriate information.

The Medical Support Assistant (Advanced) works collaboratively in an interdisciplinary coordinated care delivery model and performs receptionist duties, customer service and other duties assigned for the proper and timely treatment of patients and maintains appointment schedules for one or more outpatient clinics.

The Medical Support Assistant (Advanced) is responsible for:

• assisting with clinic access contingency plans by adjusting appointment times, location, or dates as well as shifting patients to other healthcare providers as conflict with staffing and/or coverage occurs;
• screening/receiving phone calls in a courteous and timely manner, determining the nature of requests and providing the information desired using privacy rules and established clinic processes;

Position Details:

• Hybrid - working on site 4 days per week, and remotely from home the remaining day(s).

• Full Time M-F schedule. Must be flexible.

Responsibilities:

• Assist the clinical team with moving the patient through the continuum of care by communicating with and completing tasks as directed.

• Assist the care management staff with implementation and documentation of the discharge care plan that includes initiation of referral forms, gathering clinical information, initiating the process of completing a chart and appointment scheduling.

• Communicate directly with patients on a timely basis for all scheduling requirements.

• Maintain accurate and complete documentation of records. Forms are fully-completed, legible, have no unapproved abbreviations and have the proper signatures.

Responsibilities include:

•Complete various aspects of recurring legal documents.

•Use general reference sources and legal research tools to gather information to assist attorneys and staff in performing legal research duties.

• Search internal plus external files for material used in a variety of recurring reports.

• Assemble file data or secures data from staff members into the proper format based on the purpose and nature of the report.

• Accurately input data for the case and matter statistical management system.
