Job Summary: The Head of Finance plays a pivotal role in managing the financial operations of East Anglias Childrens Hospices (EACH) and subsidiary companies, ensuring financial responsibility and transparency. They provide financial guidance to support the achievement of organisational goals and uphold the highest standards of financial management. This is a senior role in the charity and is a member of the Operational Management Team. The role manages a team of five staff, some of whom are part-time, and reports to the EACH Director of Finance. The Head of Finance will deputise for the Director of Finance in their absence. Responsibilities Financial Reporting and Management Prepare the Annual Report and Accounts for the charity and its subsidiaries and prepare monthly management accounts and commentary by working day five each month. Lead the finance team to deliver a full set of transactional accounting and financial reporting services for the charity, schedule and plan activities to ensure services are delivered on a timely basis with effective resilience in place. Work with the Management Accountant to ensure the annual budget process and forecasts align with reporting and planning requirements. Operate treasury management processes to securely maximise investment returns on cash deposits to include regular cash flow reporting and analysis. Manage restricted funds and ensure processes are in place and operational to match income with expenditure and monitor and report on fund balances. Provide financial support for assessing asset values, by management of the fixed asset register, for insurance cover and oversee the management of all insurance claims. Submit all claims, returns and statutory payments accurately including Gift Aid, VAT, PAYE, Pension returns and payments, Statistics etc. Support the development and ongoing learning of all team members by creating and supporting a culture of continual learning and excellence. Financial Insight and Analysis: Provide financial insight and analysis to senior managers to support organisational planning, strategy development, budgets, forecasts, and performance monitoring. Including a monthly commentary on financial performance. Support robust financial decision-making, including lease or buy decisions, costing information provision, and price decision support for statutory funding contracts. Provide expert advice to the organisation on, financial management, asset management, tax, vat, gift aid, payroll, pensions, income recognition, stock management and valuation etc. Compliance and Risk Management Horizon scan and keep up to date with external factors affecting the charity including changes to legislation or recommended practice and implementing systems and processes to ensure compliance. Monitor financial risk, implement mitigations and update risk registers accordingly. Ensure appropriate financial controls are in place for the organisation and monitor or audit as required. Ensure finance policies and procedures are implemented as required and kept up to date. As an Information Asset Owner ensure finance systems comply with data protection legislation, complete relevant risk assessments and report to the Senior Information Risk Officer. Manage the annual audit process and agree time tables and processes with the external auditors and other parties and ensure all required audit schedules and draft accounts are prepared in advance of audit meetings including all reconciliations, schedules, and analysis. Payroll and Pensions Manage the financial aspects of payroll and pensions, ensuring adherence to HR pay policy and legislation. Working with our outsourced payroll bureau, ensure controls and processes are in place for effective payment of salaries, pensions, taxes and National Insurance. Management of Contracts and Outsourced Services Coordinate tender processes for key financial services, including banking, investment managers, payroll bureau, and auditors and ongoing management of outsourced contractors. Support managers in financial aspects of commercial negotiations and directly manage financial contracts, including leases, outsourced services and mercantile agreements. Monitor and account for investment performance.
