The Personnel Security Assistant serves as an Assistant to the Personnel Security Specialist and assures that all appointees have the appropriate level of security/suitability clearance commensurate with their assignment. Work assigned is of a very confidential and highly sensitive nature.

Major duties may include, but not limited to:

• Reviews information submitted by the requesting office to validate level of background required, enters appointee information into a local data base tracking system and refers appointee for fingerprinting.
• Enters appropriate data in required databases related to an appointee's suitability from a wide variety of sources.
• Performs audits of official personnel folders to assure that information related to suitability is properly recorded and filed.
• Initiates, reviews and releases appointees background investigations in the Office of Personnel Managements, National Background Investigation Service (NBIS) or in conjunction with the VA- Adjudication Center.
• Regularly monitors the status of specific pending items, compiles data to produce reports, follows up to determine status and records results.
• Takes and transmits electronic fingerprints for appointees or when the Federal Bureau of Investigation (FBI) returns fingerprints unclassifiable for various reasons.
• Assemble position descriptions and functional statements for the Personnel Security Specialist for review.
• Serves as the initial point of contact for new appointees including but not limited to paid or without compensation employees, volunteers, students, residents, and contractors.

Major Duties:

• Advisory Services: Provided on the basis of persona; knowledge or on the basis of personal research in the guidelines or contacts with the offices and individuals within the service.
• Budget and Financial Management: Collects data for the unit's operating budget, consolidates material into an annual service budget; sets up controls to monitor expenses during the year; and recommends budget adjustments including restructuring budget allocations or work plans to deal with changing situations such as varying costs for equipment parts, or services, and changes in the availability of funds. Alerts the Administrative Officer or other authority of significant issues/problems, such as overspending in assigned accounts.
  • Serves as technical resource to unit personnel on travel policies and regulations, and provides information on travel allowances and requirements. Prepares travel authorizations and vouchers using automated systems and software for travel and voucher preparation.
  • Researches accounting problems such as erroneous payments, object class errors, unobligated commitments, and late payments, and ensures corrections and/or adjustments documents are entered into the accounting systems.
• Office Program Work: Collect data, review, analyze and develop plan (if necessary), monitors signed/unsigned clinical notes, to improve access and in support of completing outpatient encounters. Provides data and proposals to the Chief of Medicine (Service Chief) and Administrative Officer (AO) for this same function.
  • Assists with identification of staffing shortages and deficiencies assuring efficient allocation of clinical personnel needed to maintain safe unit staffing levels as needed. Ensures data validation from (Gains and Loss [G&L], inpatient rosters and Cost Data Reports [CDR]). Compiles data, produces trends and makes recommendations based on the data and requirements, to assist the Sub-Specialty Chief with VA, national and local regulatory compliance.
  • Participates in the development and review of clinical staffing and scheduling policies /procedures. Provides staffing and clinical outcomes data to interdisciplinary team members to establish and effectively trend staffing and clinical care outcomes metrics.
• Office Services: Assists Administrative Officer (AO) with Credentialing and Privileging of Physicians, Mid-Level Providers, and Dependent Providers.
  • Conducts extensive research and compilation of data from diverse sources. Extracts and assembles information, conducts analysis and develops reports. Demonstrates proficiency in Microsoft Word, Excel, PowerPoint and program management software.
  • Responsible for data collection, analysis, and reporting for the assigned Sub-Specialty Section. Pulls data from systems such as VHA Support Service Center (VSSC), Strategic Analytics for Improvement and Learning (SAIL), and Specialty Productivity Access Report and Quadrant Tool (SPARQ), including those reports built using Pyramid Analytics, and VISTA for Budget reports. Analyzes this data and prepares reports for Sub-Specialty Chief and Medicine leadership. Assist Sub-Specialty section staff in understanding and utilizing data gathered from these sources.
  • Serves as Sub-Specialty section expert on Managerial Cost Accounting (MCA) reports. Reviews and updates labor mapping for section staff, works with MCA staff to address concerns with cost outliers, and ensure person class code assignments are accurate and reviewed on a regular basis.

• Functioning as a liaison between Occupational Health and other areas of the Hospital to facilitate timely and efficient administrative workings of the clinic.
• Greeting, screening, and referring visitors appropriately.
• Coordinates Pre-employment exams and ensures results are received by the requesting Human Resource Offices.
• Schedules appointments for employees.
• enters information into the computer and updates demographics as needed.
• Maintains Occupational Health statistics and prepares scheduled reports.

• Arranges appointments for patients with specialty clinics, contract services and consultants. Coordinates appointments in a timely manner to avoid conflicts in patient treatment.

POSITION SUMMARY
This position assists technologists and/or nurses in department by performing non-technical, patient and procedure-related duties in accordance with department/facility policies and procedures. This position is also responsible for a variety of clerical and administrative support functions and customer service for an assigned patient care area which promote an organized, efficient delivery of care to patients.

CORE FUNCTIONS
1. Performs a variety of tasks and functions associated with the department’s daily operations, including but not limited to, greeting patients, medical staff and the public, answering incoming telephone calls, scheduling appointments, entering orders and providing general information to customers. Participates in the resolution of customer problems or collects necessary data and follows through to appropriate person for problem resolution. Maintains adequate supplies of frequently used, patient education materials. May be responsible for QC/validations. Assists in facilitating requests for patient medical records.

3. Provides support in the acquisition and distribution of digital patient records. Digitizes, formats, and uploads film-based or digital images into PACS. Maintains accurate filling system as required based on established department protocols and procedures.

4. Fulfills requests for images and reports ensuring availability in system, hard copy (film), and/or CD as required and follows proper protocols for releasing confidential patient information.

5. Receives patient in applicable systems, confirms patient demographics and insurance information and performs insurance verification when required. May be required to calculate and collect copays, deductibles, and self-pay. Totals charges on patient’s super-bill at check-out. Enters pending discharges into the system. Coordinates patient appointments for procedures and treatments that may be required prior to timely discharge. Processes patient discharges. Coordinates transportation to care centers and residential homes as requested by patients or physicians.

6. Prints physician schedules, super-bills, labels and other applicable forms in preparation for next business day. Pulls and files patient charts and prepares new patient charts as needed. Prints and files transcription notes. Reconciles charge tickets to each day's schedule, identifies incomplete tickets, missing charge codes or missing diagnosis and notifies clinical staff. Forwards completed tickets and/or billing package to the business office or billing company.

7. Assists technologists and nurses in pre and post procedure room preparation by obtaining necessary supplies and assisting patients as necessary. Ensures procedure rooms are stocked appropriately. Understand sterile procedure and assists with setting up sterile trays, where applicable. Adheres to radiation safety policies. Escorts patients back to the patient exam rooms, takes vitals and patient history; may assist with patient treatment to include peripheral IV insertion, IV discontinuation and Point of Care Testing (POCT) if required by the assigned facility (completion of Banner’s peripheral IV insertion course and validation of skill must be completed prior to any peripheral IV insertion and discontinuation performed. 9. This position assists in the operations of the medical imaging department under direct supervision with technologists and nurses in department. Incumbents work in a fast-paced, sometimes stressful environment with a strong focus on customer service. Must navigate a variety of separate computer programs at any given time and handle multiple demands on time. Internal customers: All levels of medical imaging and nursing management and staff, medical staff, and all other members of the interdisciplinary health care team. External Customers: regulatory and health agencies, non-clinic providers and facilities, vendors, patients and family members.

MINIMUM QUALIFICATIONS

High school diploma/GED or equivalent working knowledge.

Certification for BLS is required.

Working knowledge of medical terminology and computer literacy is required. The position requires knowledge of commonly used office software and keyboarding skills. POSITION SUMMARY:
This incumbent provides routine patient care to promote patient comfort and contributes to the overall patient plan of care. This position is responsible for on-going patient data collection and documentation in the medical records. Procedures may include blood draws, foley catheter removal, IV removal, EKGs and Health Unit Coordinator duties. Provides necessary supplies, support and assistance to clinical staff and patients for procedures, under the direct supervision of a licensed professional.

5. Performs receptionist/clerical duties to support overall operating efficiency and effective flow of communication and information throughout the department. Participates in the resolution of customer problems or collects necessary data and follows through to appropriate person for problem resolution.

6. Maintains adequate levels of office, dietary, and medical supplies and completes requisition forms when supplies need to be ordered. Reconciles supply order upon delivery. 7. Based on area of assignment may assist with transporting patients, including pre-operative and immediate post-operative patients to critical care unit. Participates in room turnover.

POSITION SUMMARY
This position is responsible for assisting clinicians and nursing staff in providing medical care, as well as, implementing and evaluating direct patient care. This position utilizes specialized knowledge, judgment and skills to provide an excellent patient experience.

CORE FUNCTIONS
1. Prepares patient for exam and treatment by taking and recording vital signs, symptoms and other necessary measurements and recording chief complaint; documents pain scores as appropriate. Reports condition of patient which may be indicative of change in the patient's condition to the clinician.

2. Assists providers with exams and minor in-office procedures which could include taking patients’ blood pressure, documenting respiration and heart rate/pulse, taking temperature, as well as performing phlebotomies, ear irrigation and EKG’s. Acts as chaperon as needed. Uses universal blood and body fluid precautions at all times and personal protective equipment as needed. Responsible for prioritization of patient flow through clinical process.

3. Coordinates and manages patient care including pre-certifications, referrals, authorizations, prescriptions and scheduling of patients for clinic, hospital and other ancillary medical treatments and tests. Responsible for communicating test results to patient. Acts as a resource to clinician in order to provide optimal patient care. Most of the valley's Cystic Fibrosis patients come to us. They often require a lot of psychosocial care as well as medical care. MINIMUM QUALIFICATIONS

High school diploma/GED or equivalent working knowledge. Knowledge as normally obtained through graduation from an Accredited Medical Assisting Program. Completion of an approved medical assistant training program as defined by state regulations.

An Uncertified Medical Assistant will be placed in this position up to, but no more than 12 months from date of hire in order to obtain certification. Certification must be completed from one of the following agencies: Active Medical Assistant certification such as: Registered Medical Assistant (RMA) with proof of current membership from American Medical Technologists (AMT) or Certified Medical Assistant (CMA) with proof of current membership from American Association of Medical Assistants (AAMA) or Certified Clinical Medical Assistant (CCMA) with proof of current membership from National Health Career Association (NHA) (Test administered after 7/1/2017 only) or National Certified Medical Assistant (NCMA) with proof of current membership from National Certified Competency Testing (NCCT).

Certification for BLS is required.

Requires strong computer skills, including the ability to work with medical software. Requires exceptional interpersonal and communication skills. Requires the ability to manage multiple changing priorities in an effective and organized fashion.

Employees working at BUMG, BUMCT, or BUMCS in a Behavioral Health clinical setting that serves children must possess an Arizona Fingerprint Clearance Card at the time of hire and maintain the card for the duration of their employment. POSITION SUMMARY
This position provides routine patient care to promote patient comfort and contribute to the overall patient plan of care. This position is responsible for on-going patient data collection and documentation in the medical records and provides a variety of unit support functions which contribute to the overall efficient operation of the nursing unit/department.

CORE FUNCTIONS
1. Provides assistance in activities of daily living and completes necessary tasks to promote patient health, including assisting patients with basic hygiene needs, maintaining an optimum level of mobility and providing assistance with nutritional intake as needed.

2. Collects patient specimens and data, including vital signs, input/output and other delegated measurements in accordance with unit/facility policy and standards of care. Documents objective data and routine aspects of patient care. Assists in the transportation of patient specimens.

3. Recognizes and reports abnormalities and/or changes in the patient’s health status and responses to treatment to a licensed professional. Promotes continuity of care by accurately and completely communicating to other caregivers the status of patients for which care is provided.

4. Performs procedures and uses equipment as delegated by a licensed professional, consistent with demonstrated competencies and according to state scope of practice; procedures may include blood draws, foley catheters removal, EKGs, and EKG monitoring. Provides necessary supplies, support and assistance to medical staff and patients for unit specific procedures, under the direct supervision of a licensed professional.

5. Performs receptionist/clerical duties to support overall operating efficiency and effective flow of communication and information throughout the department. Participates in the resolution of customer problems or collects necessary data and follows through to appropriate person for problem resolution.

6. Maintains a complete patient record with admission, transfer, and discharge information, progress notes, and consent forms. Ensures that all reports and chart forms are scanned or filed into the patient’s record. Ensures that charting forms are labeled and accessible if they are needed. Maintains adequate supplies of frequently used, patient education materials. Assists in the ordering of patient specimens. May transcribe and process physician orders effectively using the electronic medical record.

7. Maintains adequate levels of office, dietary, and medical supplies and completes requisition forms when supplies need to be ordered. Reconciles supply order upon delivery. Monitors and tracks the use and whereabouts of electronic equipment such as patient ID scanners and lap top computers. Ensures that all are accounted for and in working order.

8. Based on area of assignment may assist with transporting patients, including pre-operative and immediate post-operative patients to critical care unit. Participates in OR room turnover.

9. This position works under supervision and has responsibility for assigned unit only. Incumbents work in a fast-paced, sometimes stressful environment with a strong focus on customer service. Interacts with staff at all levels throughout the facility, as well as patients, families and physicians

The Transplant PCU at Banner University Medical Center is supported by a strong multi-disciplinary team which includes: social workers, nutritionists, case managers, transplant coordinators, pharmacists, therapists, chaplains, and physicians: nephrologists, hepatologists, surgeons, hospitalists and the medical teaching staff. Focus of our care are patients with renal and liver transplant. We have close working relationship with the Kidney Center  and Banner Transplant Services.
