Job Description:
Under the broad supervision of the Assistant Dean of Recruitment Experience, the Assistant Director of Recruitment Experience will manage the successful development and implementation of Berklee College of Music and Boston Conservatory at Berklee audition and interview processes and initiatives, including, but not limited to operational logistics and communications, all while giving particular consideration to the use of technology in streamlining and maintaining procedures as well as the development and enhancement of the recruitment experience. The Assistant Director provides world-class service and VIP treatment to all prospective students and their families through relationship building and counseling.
Audition Scheduling & Operation Logistics:
Ensures the successful implementation of the Audition and Interview (A&I) program.
Coordinates and oversees operations and personnel for on campus, on the road, and online A&I events.
Creates and hosts online audition events using the Zoom Video Communications platform and collaborates with necessary Enrollment and Marketing team members.
Serves as a primary technical resource in the department for online auditions and interviews.
Assists with the scholarship auditions for special programs including various Berklee On The Road Events including scheduling and applicant outreach pre- and post- event.
Develops training materials and conducts auditions and interview training for staff, temporary hires, and student employees.
Assigns and supervises Student Workers, managing their time effectively.
Data Reporting includes A&I ROI Reporting and Strategy e.g., Review rating evaluations, cost analysis, and matriculation assessments for in-person and online A&I.
Audition Event Management and Facilitation:
Creates A&I sites and time slots in Salesforce.
Manages A&I databases and runs reports as needed.
Prepares logistical details and materials needed for on-campus events; collaborates with various Enrollment and Marketing teams to ensure all preparatory work is completed prior to an event.
Runs A&I Boston and Online events.
Coordinates A&I follow-ups and communication with prospective applicants and related departments.
Utilizes area protocols and applicable technology to ensure all applicants, staff, faculty, student assistants, alumni and related-stakeholders have an optimal A&I experience
Provides expert technical assistance during events for all those involved.
Manages student office workers and supervises audition team student employees.
Manages the catering and set-up for on-campus audition events, partnering with internal and external vendors.
Other duties as assigned.
Customer Service and Communication:
Serves as one of the main points of contact for communication relating to the auditions component of the admissions process.
Ensures that the highest level of service is provided to applicants with a view towards ensuring that their experience exceeds that of any competing institutions.
Counsels applicants and their families on the expectations, format and content of the audition and interview portion of the application and how it relates to the full admissions process.
Counsels students and their families regarding admissions eligibility, application procedures for scholarships, general financial aid information, housing and other pertinent topics via phone, email and in-person contact. Maintain familiarity with application, scholarship, financial aid, housing and Board of Admission processes, including technology resources, processing policies and correspondence procedures.

Knowledge and Skills Required/Preferred:
Minimum 1-3 years of relatable experience preferred.
Strong organization, administrative and time-management skills.
Proven track record of customer service-related skills.
Proficient technical skills; Experience with Salesforce, Zoom, FormAssembly, and Filemaker Pro strongly preferred.
Must be self-motivated, possess an entrepreneurial spirit, and have the ability to work independently.
Experience with event management and facilitation a plus.
Mature interpersonal skills to deal with a broad range of issues and personalities with particular emphasis on student audition counseling; ability to communicate effectively with faculty, staff, prospective students, parents, and other external contacts.
Able to conduct both written and oral communication in an articulate, professional and knowledgeable manner.
Music training and experience strongly preferred.
