What You Will Achieve
The Administrative Professional in the Administrative Center of Excellence (ACOE) plays a crucial role in supporting the efficient functioning of the ACOE and providing administrative assistance and project management support to the team. This position requires excellent organizational skills, customer service and attention to detail. The Administrative Professional will be responsible for daily administrative tasks, meeting coordination, maintaining records, and supporting the overall operations of the ACOE.
How You Will Achieve It
Administrative Support: Assists the ACOE team by managing schedules and handling correspondence.
Document Management: Create, documentation, presentations, and reports as required. Ensure accuracy, consistency, and adherence to internal established process guidelines.
Data Management: Maintain and update databases, spreadsheets, and other records related to the ACOE's activities. Collate and analyze data to create reports and offer insights.
Meeting Coordination: Schedule and coordinate meetings, workshops, and training sessions for the ACOE team. Prepare agendas, take minutes, and distribute meeting materials as needed.
Communication: Assist in drafting and proofreading internal and external communications, including emails, memos, and announcements. Ensure timely and accurate dissemination of information.
Travel and Expense Management: Coordinate travel arrangements and expense reports for ACOE team, ensuring compliance with company process and policies..
Project Support: Assist in the coordination and tracking of ACOE projects, including monitoring timelines, preparing project documentation, and facilitating communication among team members.
Relationship Management: Establish and maintain effective working relationships with stakeholders, both internal and external, to facilitate collaboration and information sharing.
Process Improvement: Identify opportunities to streamline administrative processes and recommend improvements to enhance efficiency and effectiveness.
BASIC QUALIFICATIONS
High school diploma
Minimum of 1 year of experience as an Administrative Professional or in a similar role.
Proficient in Microsoft Office: Excel, PowerPoint
Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
Excellent written and verbal communication skills.
Attention to detail and accuracy in all work.
Ability to maintain confidentiality and handle sensitive information with discretion.
Strong interpersonal skills and the ability to work effectively in a team environment.
Flexibility and adaptability to handle changing priorities and work in a fast-paced environment.
PREFERRED QUALIFICATIONS
This job description outlines the general tasks and responsibilities expected of an Administrative Professional in the Administrative Center of Excellence. However, specific duties may vary based on the organization's requirements and the nature of the ACOE's activities.
The salary for this position ranges from $31.99 to $53.31 per hour. In addition, this position offers eligibility for overtime, weekend, holiday and other pay premiums depending on the work schedule and the Company’s policies.
