Role Objective

The role of the Cloud 9 Concierge is to provide a full and comprehensive concierge service to our Cloud 9 Members to ensure their every need is met in line with the Cloud 9 offering. The Cloud 9 membership is our ultimate spa membership and as such, the members receive a bespoke, and highly efficient service from our concierge. The Cloud 9 concierge is responsible for the entire Cloud 9 offering, from answering emails and booking spa days, to organising exciting monthly events.

Main Duties and Responsibilities

• Ensure a full, comprehensive and tailored service is provided to all Cloud 9 members.
• Responsibility for the Cloud 9 concierge phone line, ensuring calls are answered in a timely manner and in line with departmental targets.
• Have responsibility for the Cloud 9 email account, ensuring all email queries to the Cloud 9 inbox are responded to in an efficient, friendly, and helpful manner, ensuring queries are escalated appropriately to Reservations management when necessary.
• Responsibility for the entire Cloud 9 membership life cycle, including signing up new members, ensuring all relevant information is obtained and furnishing the members with all relevant information regarding their membership. The concierge is also responsible for responding to prospective members with relevant information when requested.
• Conduct all administrative tasks associated to the Cloud 9 membership, including but not limited to taking and confirming treatment bookings, providing complementary day passes to Cloud 9 member guests, booking meeting/work spaces, book personal training sessions and communicating special offers to Cloud 9 members.
• Liaise with the General Manager at each property to arrange and facilitate monthly and quarterly social events at each of our six properties, ensuring all Cloud 9 members have been invited, and communicated with.

JOB PURPOSE 

The Deputy Project Manager will be based in Hanoi/Son La office with frequent to travel to the field.  S/he leads and manages the planning, inception, implementation, closing and the workforce of the project in Son La Province, within scope, budget, timeline, and acceptable quality levels along the commitments specified in the contracts signed with the donor(s), consortium(s) and other relevant stakeholders. 

JOB DESCRIPTION  

The Deputy Project Manager works in line with SNV standards, SNV’s approach to project management and donor regulations, in order to achieve high quality and achieve the agreed results and deliverables of the project inception phase. The assignment is expected to comprise the following tasks and responsibilities: 

1. Project Design & Development: 

• Organize and oversee various assessments and analyses to inform the design and development of the RESTORE project. 

• Lead design of appropriate project interventions and approaches, aligned with key government policies and programs to develop and strengthen tree plantings, biodiversity conservation, ecosystem, circular bioeconomy, value chains for key products of agroforestry systems and Climate-Smart Agriculture that benefit smallholders and private sectors (SMEs/cooperatives). 

2. Project implementation, management and monitoring 

• Leads, manages, and motivates the project’s partners, consultants, provincial project team, partners, and relevant stakeholders. Plans and assigns deliverables and activities, reviews their progress and addresses deviations in terms of timelines and quality, based on project planning, deliverables agreed and budget set. Manages project closure and evaluation process including hand-over of complete and up-to-date project files to Project Manager and Sector Leader based on project management procedures. 

• Develop the work-plan and manage technical assistance with applying and adapting SNV approaches and tools. 

• Lead and manage consultant groups in delivering the selection of priority commodities and inclusive value chain and market assessments. 

• Developing detailed work plans and leading/managing tree plantings, key inclusive value-chain development project intervention activities. 

• Provide assistance to identify appropriate targets and related indicators as well as monitoring methods for project M&E 

3. Provide capacity building in tree plantings, sustainable production, inclusive business, and traceability systems. 

• Develop training courses plan for tree plantings, the value chains (coffee and mixed-trees), business plan, and marketing.  

• Advise the businesses to obtain sustainable production certifications in various sectors (coffee, fruits, nuts, timber, etc..). 

• Counsel/recommend integrating the digital traceability system and/or other monitoring systems in SME operations to adapt the market-based value chains. 

4. Project Technical Lead and Quality Assurance in the Province 

• Takes responsibility for the technical content of a project, ensures quality of the deliverables, and ensures sufficient technical input to meet the quality standards. 

• Facilitate and strengthen the partnership with key forestry and agriculture businesses, financial institutions, and development partners. 

• Contribute to achieving the inception phase indicators and annual work plans. 

5. Contract Management & Project Accounting related to activities in Son La Province 

• Manages and accounts for compliance of administrative, finance and HR components of the project with SNV internal procedures and requirements specified in the donor-, sub-grant-, sub-consultancy-, partner-, consortium- and Local Capacity Builders contracts. 

• Ensures that approval for, coding and booking of all expenditures is done according to the relevant procedures and authorization levels. Prepares, accounts for, manages and reports on project budget (and revisions thereof). Discusses and obtains approval of donor for contract / budget deviations. Ensures security and (financial risk) mitigation (incl. due diligence). Fully understands procurement and complies with requirements and contracts. 

6. People Management & Team Leadership 

• Guides, develops, coaches, and motivates team members and prepares resource estimation based on forecast to attract and recruit (SNV staff, consultants and/or Local Capacity Builders). 

• Advises Project Manager and country management on contract conditions for consultants and Local Capacity Builders, within guidelines and project budget. 

7. Business development 

• Builds and maintains effective relationships, with team, external partners, and the donor(s) by ensuring a high level of SNV visibility and branding in the province. Signals and acts on potential for positioning, innovation, upscaling, and potential follow up on project design. Timely recognises and analyses threats and makes sure relevant colleagues are informed. 

8. Analysis & Reporting 

• Ensures collection, consolidation, and review of project information, according to SNV’s monitoring and evaluation guidelines. Analyses and provides advice to management how to incorporate the new insights/best practices into the organisation’s policies and practices. 

9. Knowledge Development 

• Contributes to internal and external knowledge development, by full documentation and sharing of project insights and results. Develops knowledge by attending workshops and conferences. Ensures lessons learned are shared and applied in daily practice. When applicable, s/he can be appointed as (provincial) focal point of an expertise network. 

10. Development relationship and networking  

• Identify and engage key private sectors to build up the market-based value chains in project area.  

• Develop and strengthen relationships with local governments/organisations (e.g., microfinance institutions, agri/rural finance institutions), smallholder farmers and relevant government agencies. 

• Work closely with project staff (including Agriculture Sector Leader, National Project Manager, project consultants and team members as well as project partners and local stakeholders. 

11. Other tasks as required by the Project Manager.

Development and support the accomplishment of Work Plans

• Following the project inception plan, co-develop annual and quarterly work plan in collaboration with the Team Leader and team members for the entire project.
• Co-develop detailed implementation plans with MEL, Finance, Procurement and Communications team members and provide both supervision and support as required for successful accomplishment of their assigned tasks.
• Keep track of all deliverables from project team members; consultants; contractors and partners and centralize them in the project’s established filing and reporting systems.

Overseeing administrative tasks and providing support for project activities/field work

• Ensures timely and efficient administrative support to implement project activities as planned.
• Leads the organization of project activities and field work such as agricultural extension, forest protection, value chain and community development; Workshop /Conference /Meetings/Learning events; capacity building, surveys, interviews and other activities with local partners and communities on the ground with the administrative and logistic support from the Program Assistant and Logistic Officer. These will involve administrative tasks such as preparing permission letters, identifying venues for workshops/meetings, or other suppliers of goods/services that the project may need in line with relevant SNV procedures and cost norms in collaboration with the Project Financial Officer and Procurement Manager.

Support project implementation and documentation of project activity data.

• Support the MEL expert to develop a MEL following the approved MEL framework; the standards from donor and SNV and the project’s verification approach to track the project progress; inform timely adjustment/refinements as necessary; and the readiness of data for learning and reporting to the partners and donor on quarterly basis.
• Documentation of project meetings, milestones achievements, ad hoc issues, and solutions to inform required refinements of rules and support the knowledge management and sharing.
• Participate with consortium and consultants to collect and analyze data served for feasibility study/inception report in Lam Dong/Son La province.
• Support the Team Leader to prepare regular and ad-hoc reports.
• Work closely with the key local authorities (Lam Dong/Son La PPC, DARD, DPI) to prepare necessary legal procedures for getting approval from the PPC.

Support field work implementation.

The Project Field Coordinator may be called upon to support the implementation of field activities. This may include accompanying consultants and other project staff on field visits, supporting facilitation of events, acting as a resource person for surveys, interviews, workshops or other project activities in the field.

Maintain and strengthen partnerships.

The Ops Sup Sr. Analyst is an intermediate level position responsible for providing operations support services, including but not limited to; record/documentation maintenance, storage & retrieval of records, account maintenance, imaging and the opening of accounts in coordination with the Operations - Core Team. The Business Risk Analyst II is a developing professional role. Applies specialty area knowledge in monitoring, assessing, analyzing and/or evaluating processes and data. Identifies policy gaps and formulates policies. Interprets data and makes recommendations. Researches and interprets factual information. Identifies inconsistencies in data or results, defines business issues and formulates recommendations on policies, procedures or practices. Integrates established disciplinary knowledge within own specialty area with basic understanding of related industry practices. Good understanding of how the team interacts with others in accomplishing the objectives of the area. Develops working knowledge of industry practices and standards. Limited but direct impact on the business through the quality of the tasks/services provided. Impact of the job holder is restricted to own team.

Responsibilities:

• Track and fully document changes for functional and business specifications; write detailed universally understood procedures for permanent records and for use in training
• Review all updates to procedures with the analyst, team leads, and managers to identify any possible considerations that management and compliance should evaluate.
• Break down technical process flow charts and then translate the data into easy to follow step by step procedures to complete day-to -day activities
• Liaison with training on procedure updates to ensure items are incorporated into the training maternal for new and existing employees
• Identify opportunities for improving business processes through information systems and/or non-system driver changes.
• Assists in the preparation of proposals to develop new systems and/or operational changes
• Participate in studies of new and existing programs and special projects to determine feasibility.
• Strive to resolve problems including organizational, procedural, technical, research and analysis.
• Develop process and procedures to improve efficiency, cost-effectiveness, and/or improve internal and external customer service;
• Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency.

Qualifications:

• 0-2 years prior experience in writing procedural documents, driving process improvements and experienced in executing change management concepts.
• Consistently demonstrates clear and concise written and verbal communication skills
• Proficient in Microsoft Office with an emphasis on MS Excel
• Self-motivated and detail oriented
• Good understanding of how the team interacts with others in accomplishing the objectives of the area. Develops working knowledge of industry practices and standards.

Education:

• Bachelor’s/University degree or equivalent experience

Responsibilities and Duties: the candidate will assume the role of Sales and Business Development Manager inside the Cyber and Identity Security (CIS) Unit at Thales Edisoft. The person will lead the CIS team commercial activities and management of selected Key Accounts. Will continuously liaise with the CIS area Unit Manager and Sales Managers for the definition and implementation of the unit’s strategic commercial plans. Will be the point of contact for partnerships with industrial players enabling CIS business. The role carries responsibility to materialise Thales’s ambition in finding new opportunities engaging current and further customers, exploring the full commercial potential of Thales Group portfolio.  The manager will drive the Unit’s growth, widen awareness of Thales brand and have leadership in expanding company footprint in Portugal.

Required Experience:

• Minimum 5 years of professional experience as Project Manager or Bid Manager in the ITC domain
• Minimum 3 years of professional experience in Information Security projects
• Significant experience in commercial activities and direct contact with customer

Required skills:

• Degree in computer engineering or similar
• Know-how in Information Security technology, directives and standards
• Knowledge of system engineering and project management processes
• Coordination of technical teams in proposals
• Demonstrate capacity to identify, manage and communicate with all project stakeholders
• Experience in project management documentation (Project Management Plan, e.g.)
• Good capacity to manage risks and priorities
• Capacity to define and direct procurement activities
• • Mother tongue level of Portuguese speaking, writing, listening
  • Good level of English: speaking, writing, listening

Preferable requirements:

• IPMA or PMI certification
• Knowledge of the Defense and Security functional domain
• Information security certifications (NIS, ISO27001, etc.)
• Previously having held NATO/EU/National security credentials
