We are looking for an Office Administrator to provide office administration and coordination within the service department. You will gain a Level 3 Business Administration qualification.

As an apprentice, you’ll work at a company and get hands-on experience. You’ll gain new skills and work alongside experienced staff.

What you’ll do at work


Main responsibilities:



Answering calls for the service department.
Logging, recording, and managing calls outs including those that require access booking.
Monitoring and managing jobs on the internal systems to ensure they are issued to engineers or subcontractors.
Dispatching customer calls to engineers and contractors.
Booking access with customers for engineer visits.
Raising purchase orders to contractors for call outs or suppliers for equipment.
Managing the engineers’ diaries and daily route planning.
Receive engineer requests for training, tools, etc., and pass them on to the relevant supervisor.
Managing and booking PPM’s (planned preventative maintenance).
Creating and issuing of O&M documentation.
Reporting on logged jobs, and engineer visits attended.
Run, populate & manage reports for the maintenance division within AIS.
Attend office or onsite meetings if required.
Assisting with engineer/operatives timesheets.
Typing and recording of invoices/payment applications.
General administration duties that may also be required, i.e., scanning/filing or any reasonable request by manage mentor directors.
Areas of responsibility/accountability:

Liaise with other departments within the business to help ensure the smooth and efficient passage of high-quality information and data.
To help maintain (and improve) all of the company's procedures in accordance with the Health & Safety, Quality Management and Operational Systems.

About the role:

• Manage and grow assigned account base and business segments;
• Understand and gather clients’ requirements, analyse, design and implement business performance approaches, develop tailor-made solutions;
• Work closely with clients to ensure positive impact and sustainable results;
• Manage and ensure clients are compliant with relevant statutory and regulatory requirements;
• Manage and mitigate risks;
• Maintain a strong understanding of the competitive landscape, industry trends and emerging technologies in the blockchain and cryptocurrency space;
• Research, business analysis and process re-engineering based on industry’s best practices and accelerators;
• Manage client files and update information daily in accordance to the Company’s policies and procedures;
• Identify and establish partnerships with key stakeholders, industry associations to drive user acquisition and brand awareness
• Monitoring and reporting of personal sales activities and performances;

You should have:

• Outstanding problem-solving skills with demonstrated ability to identify business issues, conduct analyses and synthesise conclusions into recommendations
• Strong general business acumen, broad understanding of current Finance trends and technologies, their impact on business strategy;

Responsibilities:

• Conduct research and source for information/insights online to support team mates for respective projects

• Work closely with design team to ensure creative works meets clients’ expectations/brief

• Develop project timelines for respective jobs, keep track of project progress and ensure key deadlines are met

• Be time-sensitive with attention for details and competent written skills

• Strive to be an excellent wordsmith, with a good understanding of different tonality and context

• Support, organise and administrate effectively for project management purposes

Requirements:

• Fresh graduates are encouraged to apply!! Those with internship experience would be a bonus

• Bachelor’s Degree in communications, Marketing, and Business, Psychology, Social Media Management, Art & Design or related discipline

• Passion for project management and creativity

• Fun, confident, positive, enthusiastic, witty team player with good communication and interpersonal skills

• Able to work well with creative folks

• Good command of written and spoken English and Chinese. Other languages would be sweet too!

• Well-organised, meticulous with a strong sense of urgency, team spirit and good time management skills

• MS Word, Excel or PowerPoint as well as other project management software knowledge. Bonus if you have interest in digital programming

• Excellent interpersonal & communications skills
