Document Production Specialist
Predominantly a remote role - with 4 days per month going to a regional office for meetings.

• Creating, formatting and updating pitches, presentations, posters and other collateral to align with the businesses' branding;
  Supporting the team with transcription of legal documents from digitally-dictated material (BigHand/Speech Recognition/Windows Media Player);
  Supporting the team with creating, amending legal documents, adhering to house styles, using MS Office suite;
  Supporting the team with reformatting of lengthy and complex documents, performing comparisons and conversions to different formats;
  Managing tight deadlines in a high-volume production environment;
  Communicating with our clients to ensure the product meets the clients' expectations and timeframe;
  Liaising with colleagues and your line manager to ensure work is produced to the highest possible standard; and
  Following set working processes and conforming to the businesses' high standards of professionalism.

What you'll need to succeed

• Experience of creating or designing work within an MS Office and/or Adobe is essential.
  Experience of working in a Document Production, Word Processing or secretarial position is preferred.
  Experience of working within a busy legal or corporate environment would also be an advantage.
  A suitable homeworking environment is essential.
  You have excellent knowledge of the full Microsoft Office suite.

Issue temporary mobile phones (out of hours) to on call staff, assess the impact of failed communication equipment and issue temporary when deemed necessary. Maintain equipment inventory for audit purposes. In the event of a lost/stolen mobile phone device (out of hours) advise Trust staff of the procedure to follow and record the information. Issue temporary pagers (out of hours) (crash, fire, security) when original becomes faulty. Record information for supervisor and also inform Trust staff of contact changes when required. Be conversant and able to operate all back up equipment and procedures in case of failure of the bleep system, switchboard consoles or system failure. Use systems including the Patient Administration System (PAS) to advise and help both internal and patients/relatives who are experiencing difficulties getting through to the correct department. Out of hours staff must accurately record extension and payphone faults to the relevant internal/external department or agency as directed. Carry out daily testing of crash team bleeps, record response and provide the information for monitoring/audit purposes. Also ensuring peripheral site bleeps are in working order. To be responsible for own work load and work without direct supervision out of hours. On an ad hoc basis provide switchboard supervisor with changes to telephone numbers and extensions and other information as necessary to update switchboard server. Participate in a regular rolling programme to review, audit and update information held on the switchboard console, by contacting users to ensure data integrity. Complete necessary paperwork to document changes for data input. To work flexibly to maintain adequate staffing levels to ensure a 24/7 service is maintained. All staff working on this flexible contract are required to provide cover at short notice in order to maintain essential first line and emergency services. Any other appropriate duties delegated by the Switchboard Supervisor.

RESPONSIBILITIES

Key Responsibilities
Process works orders so that stock product orders can be processed without delay, and non-
stock orders can be planned into production, including material purchasing, external
processing etc.
Provide quotes for non-standard orders including accurate lead times and pricing.
Monitor the production team to ensure timely production, and maintain quality at all times.
Process orders to completion, dispatch, and invoice.
Identify opportunities of improvement, both efficiency and quality, and cost justify plans to
implement new processes.

Team Leadership
Monitor and cultivate a good working relationship with all staff members, working
collaboratively to help improve their working experience and the aims of the business.
Provide training where applicable, and keep all staff updated with H&S standards, health
monitoring etc.
Effectively communicate goals to staff members, including expectations and performance
requirements. Encourage communication to be a two-way process.

Inventory Management
Manage inventory levels and implement the use of software packages provided to support
production management processes.
Monitor levels of our own stock products which need planning into production, sometimes
requiring purchasing months ahead.
Communicate with suppliers to maintain good working relationship, monitoring supply prices,
and ordering in good time to reduce delays, whilst minimizing excess stock held and keeping
shipping costs to a minimum.

Quality Control
Establish Quality control procedures, working with staff and the managing director to
improve standards and reduce waste.
Regularly review quality standards to actively prevent issues.

Health and Safety
Ensure compliance with health and safety regulations and standards to maintain a safe
working environment for all. Assess any changes and update risk assessments regularly.

Business Development
Communicate frequently with the managing director about any issues which you feel could
benefit the business and the staff.
Work pro-actively to improve any element of the business within your remit/scope.
Simplify manufacturing processes to remove the reliance of engineering skills that are
currently provided by the managing director.

Role and responsibilities :
Hands-on TissuePatch manufacturing:
Solution preparation, casting and cutting out;

Are you ready to set sail on a new career adventure? The FCL Import Sea Freight department is on the lookout for a dynamic and enthusiastic junior to join the team in Basildon. If you are looking for your 2nd job in logistics and are eager to grow, we want YOU!

What You'll Be Doing:

Navigate the Seas: Assist in managing FCL full load container movements from China, the US, and beyond to the UK.

Global Connections: Liaise with our Westbound China offices and local UK suppliers.

Customs Maestro: Work with our Customs Department to arrange clearances.

Warehouse Wizard: Coordinate with our own and third-party warehouses.

Delivery Dynamo: Organize final deliveries with local transport companies.

Documentation Guru: Handle import customs entries and Bills of Lading.

What We Need:

Phone Pro: Great telephone manner and not afraid to chat.

Customer Service Savvy: Some experience in customer service is a plus.

Team Player: Join a tight-knit team of three, including a Supervisor.

Tech-Savvy: Familiarity with FCL (Forward Computers Freight System), Destin8/CNS systems, Google Docs, and

Microsoft Office (Outlook, Word, Excel).

Work Schedule:

Monday to Friday: 08:30 to 17:30 with a 1-hour lunch break.

Salary & Benefits:

Competitive Pay: £24k to £28k, depending on experience.

Probation Period: 6 months with a 3-month review.
