About the Role:
We are seeking a skilled and proactive Facilities Assistant to join our team at a prestigious client site in London. As the Facilities Assistant, you will be responsible for supporting the day-to-day running of the facility. Your duties will include administrative tasks, building maintenance, health and safety compliance, and ensuring a clean and secure environment for staff, visitors, and clients. This role requires someone who can work both independently and as part of a team, with the ability to adapt to changing priorities and a variety of tasks.
Key Responsibilities:
* Administrative Tasks: You will manage phone calls, emails, and physical mail. You will also help coordinate bookings for meeting rooms, manage stock levels, and handle general office requests.* Security and Compliance: You will be responsible for managing access to the building, issuing security passes, and ensuring that only authorized individuals can enter the premises. You will assist in welcoming new joiners, ensuring they are properly set up with access keys and security protocols. You will also book in subcontractors and make sure they adhere to site policies.* Customer Service: As the first point of contact for staff and visitors, you will provide excellent customer service, addressing inquiries and ensuring that everyone has a positive experience while on-site. Your friendly and approachable demeanor will help maintain a welcoming atmosphere.* Facilities Support: You will play a key role in supporting the overall maintenance of the building. This includes ensuring the site is clean, safe, and operational, coordinating with contractors for repairs, and overseeing regular maintenance tasks. You will also ensure that meeting rooms and other common areas are well-maintained and prepared for use.* Health and Safety: You will carry out periodic health and safety checks, conducting risk assessments as needed. It will be your responsibility to ensure that the facility is compliant with health and safety regulations, and that staff and visitors are working and moving around in a safe environment.* Parking and Visitors: You will be responsible for coordinating parking availability for staff and visitors, issuing security passes, and ensuring a smooth booking process for visitors and clients who come to the site.
Additional Responsibilities:
* Building Maintenance: In addition to general site support, you will be responsible for overseeing the condition of the building, making sure that repairs are carried out in a timely manner and ensuring that the office is always clean, tidy, and fully functional. Your proactive approach will ensure that the facility runs smoothly, and any issues are addressed before they become larger problems.
