Job Purpose

As a Facilities Management Executive, you will oversee the management of facilities of Strides Premier. Your primary responsibilities include planning and supervising preventive maintenance and daily operations to create a conducive and safe working environment. You will implement proactive measures to enhance maintenance standards and efficiency, ensuring compliance with all regulatory requirements.

Key Responsibilities

Management & Administration

• Liaise with stakeholders (Contractors/Sub-contractors/Authorities/etc) on building matters
• Lead and drive the tendering processes, evaluations, recommendations, and contract awards.
• Maintain policies and procedures for facility management, operations, and administration, ensuring proper documentation throughout.
• Establish and implement Standard Operating Procedures (SOPs) and Work Instructions (WIs) for on-site staff, when necessary.
• Prepare budgets and monthly management reports.

Maintenance of Facilities

• Lead and oversee maintenance activities.
• Supervise contractors to ensure adherence to service standards.
• Establish, manage and monitor the efficient operation of office systems, equipment and facilities.
• Oversee capital expenditures, enhancement projects, and repairs, including contract documentation.
• Liaise and manage needs and requirements with relevant stakeholders (i.e. Contractors/Sub-contractors/Authorities/etc)

Safety & Security

• Coordinate with landlords for scheduled building fire drills and serve as the Fire Safety Coordinator during

Additional Responsibilities

• Convene, conduct or support premises inspections and meetings.
• Assist with the organization of office events.
• Act as the coordinator for the Business Continuity Management (BCM) framework.
• Ensure the achievement of all relevant plans and outcomes according to the stipulated timeline
• Support any ad-hoc duties and projects assigned by management.

Qualifications & Experience

• Diploma in Building/Facilities Management or a related field, with a preference for four (4) years of relevant experience.
• Familiarity with statutory requirements and knowledge of Energy Reduction and Sustainability Programs.
• Technical expertise in building and infrastructure maintenance, including custodial maintenance.
• Fire Safety Manager Certification is a plus.

What you will be doing:

• Manage the day-to-day operations of a cluster of properties, including maintenance, cleaning, security, and landscaping.
• Ensure all building systems, including ACMV, electrical, plumbing, sanitary, building management system, and fire safety systems, etc. are functioning normally and correctly.
• Schedule and supervise maintenance and repair work to keep the facility in optimal condition and ensure compliance with statutory requirements.
• Ensure fulfilment of FMC contractual requirements.
• Coordinate with external contractors and service providers as necessary.
• Ensure closure of all feedback related to facilities management services.
• Develop and implement preventive maintenance programme.
• Ensure compliance with health and safety regulations and company policies.
• Manage incidents and comply with incident reporting requirements.
• Prepare and manage the facilities budget, ensuring cost-effective solutions.
• Track and report on operation revenue, expenditures and identify cost-saving opportunities.
• Negotiate contracts and manage relationships with vendors, suppliers, and service providers.
• Monitor the performance of vendors to ensure quality and adherence to agreements.
• Ensure projects are completed on time, within budget, and to required standards.
• Implement and manage sustainability initiatives to reduce the environmental impact of the facility.
• Promote energy-saving, water-saving practices and waste reduction.
• Lead and develop the facilities management team, providing training and support as needed.
• Foster a positive and productive work environment.
• Prepare monthly KPI reports, meetings, and management report.
• Ensure proper filing of service reports and other relevant records.
• Work closely with Start-Up FMC on defects management during Defects Liability Period of the Building (if applicable).

You are:

• Minimally a Bachelor's Degree and have managed an accumulated building portfolio of > 200,000 sqm in the past 3 years.
• Possess minimally of 8 years if relevant working experience at his/her equivalent level as a Sr. FM and proven management background.
• Possess minimally of 5 years’ experience in providing integrated facilities management services
