Duties include, but not be limited to the following:
- Distributing the balance of workload among employees in accordance with established workflow responsibilities, day-to-day modifying workload to staffing levels, to assure timely completion of workload, assure each employee has enough work to keep busy and balanced workload.
- Keeps in touch with the status and progress of work. Reviews Delayed Order Report (DOR) daily. Make day-to-day adjustments to ensure orders are prioritized and acted upon within acceptable parameters set by VACO. Promptly apprises supervisor of problems and backlogs of consults.
- Provides estimates and reports on expected time of completion of work, maintains records of daily DOR.
- Instructs employees on specific tasks and job techniques. Provides written instructions, on-line references and materials, and supplies.
- Provide on the job training to new employees in accordance with established procedures and processes. Documents employee orientation, training and competencies.
- Maintains a thorough and current knowledge of all applications, VHA directives, policies, procedures, etc. Obtains information or decisions from supervisor on problems that occur.
- Checks purchasing agent's work in progress and reviews completed work to see if work is compliant with service line expectations.
- Amends or rejects work not meeting established standards, reports reoccurring failures to complete work per policy to supervisor. Refers to supervisor any questions or matters not covered by standard operating procedures and problems meeting performance standards.
- Approve annual and sick leave for purchasing staff.
- Informs supervisor of any needs regarding facility management such as seating, ventilation, lighting, safety, etc.
- Inform employees of available services and employee activities.
- Reports to supervisor on the employee performance and progress, training needs and behavioral problems.
- Provides information to supervisor as requested concerning promotions, reassignments, recognition of outstanding performance and personnel needs.
- Will advise, counsel and/or instruct subordinates on work and administrative matters pertaining to day-to-day operations of the administrative section of the Service.
- Takes disciplinary action as necessary or recommends it to next level supervisor, Service Chief of Assistant Service Chief.
- Checks on progress of work requiring review, reviews completed work to assure supervisors instructions are met.
- Adjusts staffing levels or work procedures within their organizational unit to accommodate resources allocations made at higher levels.
- Oversee the development of technical data, estimates, statistics, suggestions and other information useful to higher level managers in determining which goals and objectives to emphasize.
- Assigns work to subordinates based on the capabilities of the employee, the priorities assigned to the task, and the availability of the staff to accomplish the work.
- Will evaluate the work performance of subordinates to insure they are completing their work according to the current established policies, directives, regulations, and performance measures.
Work Schedule: Full-Time, Monday - Friday, 7:00AM - 3:30PM
