Patient Safety Knowledge: Strong understanding of the NHS patient safety agenda, healthcare compliance, and clinical governance standards. Communication Skills: Excellent verbal and written abilities for effective engagement with healthcare stakeholders. Self-Motivated: Ability to work independently, prioritising demands in a healthcare assurance environment. Attention to Detail: High-quality work with meticulous accuracy, essential for maintaining clinical governance and assurance. Presentation Skills: Skill in preparing clear, detailed reports and presentations on complex healthcare information. Audit Experience: Proven experience applying audit findings to drive quality improvement in healthcare. Desirable Criteria Regulatory Knowledge: Understanding of relevant legislation for independent healthcare providers. Professional Development: Relevant qualifications or interest in further education in governance or quality assurance. You will need to provide a range of secretarial skills including Word-processing, PowerPoint presentations, Excel spreadsheets, electronic diary management and meeting arrangements via outlook and Teams. These skills will need to be demonstrated to the highest professional standard. Maintain an efficient and comprehensive administrative service, including photocopying, providing support to the department and other team members as requested. To prepare and submit draft agendas, action logs and minutes as well as other papers, for all Quality meetings arranged by the Audiology Quality lead including for Audiology QIPS (Quality Improvement and Patient Safety) To organise and attend meetings as delegated by the Audiology Quality lead including taking and transcribing minutes and to assist with actioning of decisions including any administrative duties in relation to those meetings including Audiology QIPS (Quality Improvement and Patient Safety) Provide specialist administrative support to UKAS accreditation visits and meetings including visit and room scheduling, coordination and communication with clinical teams and senior leadership team and monitoring of actions related to accreditation approval For further details please see the attached job description.

Assist the Quality System Officer and the Quality Information Manager in providing administrative support to the function and processes, supporting changes and enhancements to the Datix System. Management of the functions mailbox to facilitate prompt responses and actions to queries and requests. Support the Quality Information Specialist with statistical reports as and when required, including evaluating data to identify trends. Provide administrative support for Standard Operating Procedures (SOPs), with timely uploads of new or updated SOPs to the Trusts Document Management System. Participate in daily team huddles Support managing the departments intranet page and communication media when requested. Provide administrative support for the wider Quality Data Team and any additional duties.

The post holder is responsible for providing a comprehensive and confidential administrative support for the Quality Data team in accordance with Departmental, Trust and National standards, policies and procedures. To act as a source of advice and guidance regarding Datix, Policies and Procedures and Quality Information/Data processes.
• Prioritise all incoming work, responding promptly, appropriately and communicating clearly in relation to urgent/important issues via telephone, email and in person
• Review digital incident report forms on the Datix System for accuracy and consistency in accordance with departmental requirements.
• Review submitted incidents to the Learning from Patient Safety Events (LFPSE) National reporting system.
• Data entry of mortality reviews onto DCIQ

To monitor departmental change requests and action logs, supporting the Operational Team and ensuring compliance is met. To support the automated medicines cabinets (Omnicells) team in the management and compliance of the automated drug cabinets to ensure that medicines management and legislation is complied with. To support the implementation of new pharmacy processes, ensuring appropriate change control is utilised and regulated to deliver the Pharmacy Medicines Optimisation Strategy. To support the pharmacy Governance & Safety Team with Datix investigations and provide the SLT with assurance of relevant preventative or corrective actions. To support the management of the Pharmacy electronic quality management software system. To support the pharmacy Operations & Technical Lead in the review and validation of the pharmacy Business Continuity Plan (BCP) and Major Incident Plan (MIP). As part of the Assurance Calendar, create and manage a validation schedule, ensuring annual system or process challenges are carried out. To support the pharmacy Governance & Safety and Operational Teams to ensure pharmacy staff are working to safe standards, meeting legislation for medicine requirements and the safe custody of medicines. To support the Ward Services Operational Manager to ensure regular audits of medicines management technical services are undertaken, supporting actions for ward manager or modern matrons to achieve compliance. Responsible for the review and auditing of all relevant Standard Operating Procedures (SOPs) and Clinical Operating Procedures (COPs) for the operational delivery in the dispensaries, and stores areas on both sites (UHCW & Rugby St Cross). Responsible for ensuring all mandatory inspections and audits relating to the Wholesaler Dealer License and Quality systems for the clinical areas are completed, documented and reported back to the RP. To work with the pharmacy IT/EPR team, ensuring regular system challenges form part of the Assurance calendar and contingency plans are fit for purpose. To work with the Dispensary and Stores Operational Manager and Procurement Manager to ensure the goods receipt area is regularly inspected for WDL compliance along with annual supplier qualification criteria.
