The opportunity:
Our Technology team at AIA is growing and to support this growth, we are sourcing a Business Support Officer to provide organisational and administration support to our Technology Leadership and broader employee cohort. No two days will be the same in this role and the successful candidate will have exceptional stakeholder engagement skills and the ability to work in a fast paced and continually changing environment. This opportunity can be based in either Melbourne or Sydney and a Hybrid work model is on offer.
To be successful you will:
- Build positive relationships and trust with key leaders to proactively anticipate their needs and ensure they are prepared and have the required documents in advance of meetings
- Manage business expenses of the CTO and Technology Leadership team
- Manage vendor contracts and payment as required
- Organise travel and accommodation bookings for CTO and Technology Leadership, in line with the AIA Policy
- Assistance and preparation of presentations to support CTO and GM’s
- Events and conference management as required including but not limited to venue, catering and invitations
- Offboard contingent/contract staff/vendor resources according to projects and BAU demands from collaboration with business SME’s, Project Managers and other technology partners
- Recruitment support, including collection and collation of information and documents as required
- Act as a point of contact for various staff requirements in and around the office
- Provide additional administrative support, mail management, calendar management and updating of distribution lists as required
- Engage with Executive Assistants to ensure consistency in support across the organisation and to work on joint projects & events
Successful applications will demonstrate:
- Exceptional organisational skills and the ability to proactively anticipate the needs of key leaders
- Experience in a similar role supporting senior executives and a broader team
- High level communication and customer engagement skills
- Strong attention to detail and the ability to effectively prioritise
- The ability to maintain confidentiality and use appropriate judgement and discretion
- Flexibility in your approach to work and willingness to assist with additional tasks and pivot as required.
