Job Description

Job Responsibilities:

• Preparation of technical data submissions for customers
• Creation of documentation in SAP
• Generation of material planning reports and placing orders with vendors
• Collaborating with other departments such as marketing, logistics, and finance to ensure a smooth sales process
• Coordinating the shipping and logistics of shipment rights and documentation; from the factory production readiness all the way to when the customer picks up the goods
• Assisting with the resolution of customer complaints and disputes
• Prepare sales reports and forecast future export sales

Job Requirements:

• Preferably with a diploma/degree in Business Operations/Sales & Marketing/Engineering or equivalent
• Independent and pro-active individual
• Good communication and interpersonal skills to handle external customers from different backgrounds and internal departments
• Experience with SAP
• Export/Regional Sales working experience will be advantageous
• Fluency in Bahasa Indonesian/Malay will be favorable

Task: The Intern, Sales Administration will have the opportunity to support in sales and marketing events (e.g. trainings, seminars, workshops etc.) for the Singapore Sales Team. This includes and not limited to event preparation, logistics and administrative support, events management.

Responsibilities:

• Coordinate with logistics forwarder or courier for the arrangement of incoming and outgoing shipment and delivery
• Other ad-hoc assignments as assigned by the supervisor

Requirements:

• Graduating students Diploma in Business Administration or relevant field of studies
• Good communication (i.e. writing and speaking) and interpersonal skills
• Attention to detail, proactive, self-motivated and willingness to learn
• Possess good customer-focused and results-oriented attitude
• Willingness to coordinate and work with colleagues across other departments or countries
• Proficiency in MS Office (MS Excel, Words and PowerPoint)
• Excellent time management skills and the ability to prioritize work

Responsibilities will include:
Customer Order Management

• Pro-actively manage customer orders, from receipt to completion.
• Manage customer stocks through effective knowledge of internal systems, order patterns and sales forecasts, whilst ensuring on-going customer communication.
• Managing delivery schedules and taking ownership for transportation costs on allocated accounts
• Preparing stock, production, and demand forecasts on a regular basis.

Service Level/Managing Expectations

• Responding in a timely and accurate manner to customer requests, queries, and general communication; actioning customer orders in a timely manner.
• Negotiating order lead times with customers.
• Liaising and communicating with the internal functions and stakeholders to ensure agreed customer targets are met.
• Attend customer review meetings as and when required.

Business Support

• Active participation in Team Meetings and Continuous Improvement Projects.
• Assisting other departments where appropriate and when requested.
• Answering main switchboard calls.

Customer Service

• Working closely with the UK Customer Services Manager to ensure individual and team targets are met.
• To review and understand current CSC processes and drive automated/system improvements.
• Providing cover and back-up to customer accounts during holiday periods.
