Job Description:
Summary:
We are looking for a detailed minded and energetic Administrative Assistant to support Court Reporting operation team on transcription production and administrative activities in Hong Kong. The business is fast-paced and requires high level of organization, communication and administration skills, and the ability to learn the workflow and culture of a niche industry in a short time.
Responsibilities:
- Handle production of transcripts, audio cutting and conversion, CD / DVD creation per case info instructions (Private Diary & Tender Jobs)
- Submit the transcript and media to client before due date
- Follow up with reporters and case managers (via phone call, text message and/or email as applicable)
- Update the case info record and in-house database system, creating reports
- Print hard copies of transcripts (documents) and create transcript bundles including delivery (via daily delivery to Courts/Case Venues, via hand/courier delivery request for local and overseas jobs)
- Scan exhibits, case bundle documents and upload to in-house shared drive and folders
- Document binding & Data entry
- Prepare Binder files, dividers, tabs, spine, labels, etc.
- In-house prints, scan, binding, laminate support
- Keep track of the inventory level of the Production stationeries, printing paper, toners, etc., coordinate on a timely manner with relevant department to stock up as required
- Circulate Daily Roster at the end of the day
- Answer general phone enquiry and direct phone to appropriate staff members
- Meet and greet visitors or client in a professional and friendly manner
- Prepare and send out going faxes, mail and courier parcels
- Collect document and deliver deliverables on ad hoc basis
- Provide back up support to other departments e.g. transcription support & office administrative activities.
- Support Ad-hoc duties when required
- Manage travel bookings
Requirements:
- F.6 graduate or above
- At least 1-2 years’ experience in office setting / Fresh University Graduates are welcomed without office experience
- Good command of English and Chinese
- Proficiency in using computer, telephone system, fax & photocopier
- Good software skills e.g. word processing, excel
- Efficient, able to work under pressure and self-motivated
- Detail-oriented, time sensitive and accuracy
- Immediately available preferred
