Job Overview:
We are seeking a highly organized and proactive Office Manager to join our team at Aone Children's Services Ltd. The Office Manager will be responsible for overseeing the day-to-day administrative operations of our office, managing office resources, and providing support to our team members. This role requires excellent organizational skills, attention to detail, and the ability to multitask effectively.
Key Responsibilities:
Administrative Management:
Oversee and manage all administrative tasks within the office, including answering phones, handling correspondence, and managing office supplies.
Coordinate and schedule appointments, meetings, and events for staff members and clients.
Maintain organized filing systems and ensure the security and confidentiality of office documents and records.
Human Resources Support:
Assist with human resources functions, including recruitment, onboarding, and employee relations.
Maintain employee records and files, ensuring accuracy and compliance with company policies and regulations.
Coordinate training and professional development activities for staff members as needed.
Financial Management:
Assist with financial tasks, such as invoicing, billing, and expense tracking.
Prepare financial reports and assist with budgeting and forecasting activities.
Coordinate with accounting personnel to ensure accurate and timely processing of financial transactions.
Client Communication and Support:
Serve as a point of contact for clients, providing excellent customer service and addressing inquiries and requests in a timely manner.
Manage client appointments and assist with scheduling and coordination of services.
Communicate effectively with clients to relay messages, gather information, and provide updates as needed.
Office Operations:
Ensure the smooth operation of office systems and procedures, including IT systems, telecommunication systems, and security protocols.
Implement and enforce office policies and procedures to promote efficiency and productivity.
Identify opportunities for process improvement and implement solutions to enhance office operations.
Qualifications:
Proven experience in office management or administrative roles.
Strong organizational and multitasking skills.
Excellent communication and interpersonal skills.
Proficiency in office software applications, including Microsoft Office Suite.
Previous experience in a childcare or educational setting is advantageous.
Education and Experience:
Bachelor's degree in Business Administration, Office Management, or related field preferred.
Minimum of 2 years of experience in office management or administrative roles.
