We are now seeking an experienced Workforce Scheduling Controller, to join us on a permanent basis at our Redditch office.

Your new role will be within our Central Operations Planning team, where you'll be covering a multitude of clients. You'll receive work orders via various systems, you'll manage and schedule engineers through our scheduling system in accordance with the agreed set SLAs and KPIs. You'll be liaising between our field-based engineers and client premises ensuring you allocate the correct skilled engineer to attend to the job, considering the store requirements, engineers' location, and priority of the job through to availability.

You'll be a proactive and solution-focused individual, as you'll be handling various requirements which could be anything from dealing with a power cut which requires an engineer within 2 hours, to reactive maintenance work where you'll need to schedule an engineer within 720 hours or legislative work against critical KPI's

You'll already be used to working against set SLAs and KPIs, therefore, it is essential you are SLA/KPI driven with a passion to deliver and succeed. You'll be resilient, tenacious, and confident when dealing with Engineers, you'll be able to manage challenge and persuade with ease ensuring you are achieving the best solution for the customer.

Our ideal candidate would have extensive knowledge of scheduling and be able to work on their own initiative. You'd have excellent administrative and time management skills, gained within a fast-paced time-pressured environment with the ability to adapt to change quickly. You'd be an advocate for continuous improvement, looking for ways to simplify and improve processes/results to ensure the customer receives the best resolution.

Your key stakeholders will be all Field Operational Managers, Engineers, various clients, and Helpdesk colleagues. Your new team will consist of Schedulers, Senior Customer Support colleagues, Team Managers and Operations Managers.

This is a 40-hour per week working 7am - 7pm across 7 days, as flexibility is required for this role.

For this role you could have this experience within any industry and sector but with an aptitude to learn quickly new processes within the Facilities Management world - What is key is that you are confident, have the experience and are adaptable to all technology solutions

You'll be responsible for the effective capture and recording of all materials and sub-contractor costs on to the company billing systems, to enable maximisation of recover of costs. You'll be providing analysis and reporting around cost recovery ratios for multiple clients.

You will be responsible for proactively managing and mitigating risks associated with Service Level Agreements (SLAs) for field engineer visits related to the successful completion of work orders. This role ensures that all work orders are completed within the agreed timelines, and any potential delays are identified and addressed before they result in SLA breaches. The Jeopardy Manager works closely with the planning, engineering and HD customer service teams to ensure seamless operations and improved customer satisfaction. • Continuously monitor all work orders to ensure they are on track to meet the agreed SLAs.
• Identify work orders that are at risk of failing to meet SLA requirements and take immediate action to address potential issues.
• Develop and maintain dashboards and reports to track SLA performance, highlighting jeopardy situations.
• Proactively identify potential risks and bottlenecks that could delay engineer visits and cause SLA breaches.

We are seeking a Contract Coordinator to join us on a permanent basis at our Redditch site. You'll have experience gained within a call centre to enable you to complete tasks within set deadlines. You'll be working within our finance department, within a team of 10 colleagues.

Shift pattern 4 on 4 off

One thing's for sure, you'll never be bored as there's so much variety from raising Purchase Orders, placing supplier orders, creating estimates, liaising with various colleagues and clients and so much more. Your attention to detail will be second to none and you'll have the ability to retain information at pace. You'll handle large volumes of information from validating data to updating the systems records, receipts or shipping of products on work orders.

As you're a great problem-solver, you'll thrive with some of our more complex queries. It'll be second nature working at pace with speed and accuracy. You'll be a 'whizz' at Excel and be able to do all sorts of formulas; creating, amending and formatting as required.

You won't shy away from attention as this role gives you exposure all the way up to Director level. You'll be confident and assertive as you'll challenge and push-back where required.

We require a Work Order Coordinator to join us on a permanent basis, at our Redditch site.

A key position to support our customers in being the first line support for Chase or escalation of work orders, to monitor through to resolution in line with Arcus procedures, to provide first line triage to ensure work orders raised are in line with Arcus Scope of Works

* Responsible for ensuring that all customer contacts are dealt with in a pleasant and professional manner, in line with Arcus processes, taking accountability to ensure effective resolution.

* Manage required processes to own the end to end work order life cycle for escalated work orders

* Managing all customer requests via various channels within specific timescales in order to meet KPIs and SLAs.

* Updating the appropriate CAFM system with all relevant call notes during and after each customer contact, providing full audit trail and updates on escalated work order

* Responsible for actioning items for chase resolution and referrals through to resolution in line with agreed service levels.

* Following Arcus procedures to ensure the best outcome is achieved for the customer and company.

* Liaise with planning, delivery teams and contractors to ensure that escalated work orders that are scheduled are adhered to and completed within set Service Level Agreements

* Manage workload and prioritise daily duties efficiently whilst communicating identified risks in line with escalation procedures.

* Additional tasks as required for work order journey an advised by line management

* Accountable for triaging client work orders and actioning pend accept, ensuring that Work Orders have been raised correctly and are flowing to the correct departments/resource.

We require Customer Support Coordinators to join us on a 9 months FTC basis, at our Redditch site. Working on a rotating 40-hour basis: Mon - Sun between 7 am and 7 pm. When working the weekend, you'll have staggered days off in the week to compensate.

You'll be joining as our first point of contact for all stores requiring our assistance. You'll take reactive calls, create Work Orders, chasing Engineers as and when required and provide stores with updates.

You'll have a confident phone manner, being assertive when required. It'll be challenging at times when you won't be able to provide a store with the answer they want, delivering that news may be hard for you. But the rewarding aspect is when you receive positive feedback advising the difference you made. You'll have a great ability to learn and retain information as speed, as you'll be using several systems and knowing which Engineer to send for which job is essential.
